What LeadLocate CRM is, and who runs on it
LeadLocate CRM is the dealership customer relationship system at the center of the LeadLocate platform: every lead, text, call, email, appointment, deal and report for a store lives in one login, and that same login opens SecureWebX, Inventory Link and DealTracker. That is the sentence to remember. The rest of this page is that sentence unpacked, module by module, using the names you will actually see on screen.
It runs in the browser at the desk and as the LeadLocate app on the phone. The main menu reads Workspace, Leads, Contacts, Desking, Inventory, Messaging, Calendar, Email, Calls, Files and Website. The dock along the bottom carries My Office, Marketing Tools, Referral Program, Design Studio, My Inventory, SecureWebX, Reports, Feedback, More Options and Jax. If you have only ever seen the lead inbox, you have seen about a tenth of it.
Who runs on it: franchise stores that want lead intake, communications and desking in one place next to the DMS they already own; independent lots that need the same tools without a franchise software budget; buy here pay here operations, which the desking engine covers with its own field set; auto brokers who work without a lot or a feed; and individual salespeople who want their own website, booking link and follow up engine under their own name. An inventory feed and DMS access are not required, which is exactly why the last two groups can run on it at all. When you do have a feed, Inventory Link takes it and the CRM shows your actual units in every text and email composer.
Leads and contacts: the menu you work from every day
Leads is where the day starts. The lead inbox and lead detail autosave in real time, so a note typed while the customer is still on the phone is already on the record when the manager opens it. Contacts hold everyone who is not yet a lead, and contact import brings in the list you are carrying over from the last system. Each store sets its own custom lead statuses, row colors and tags, keyword triggers can act on what a customer texts back, and when a lead is marked lost a lost reason popup captures why, so the end of month report says something more useful than lost.
Lead Feeds Manager is the intake side. Each source gets its own feed, custom source feeds handle the sources nobody else supports, and new leads push into the CRM instantly. Distribution is rules based: round robin across the team, global lead distribution with distribution lists, and routing rules per rooftop for groups. Duplicate leads merge into one record. The Customer Profile is a single shared buyer record, co-buyer included, with the personal information encrypted.
The housekeeping most CRMs make you ask support for is on the menu. The DNC Blacklist page blocks a number in both directions, imports a blacklist you already keep, and runs a live do not call lookup on a number. Quality Control Requests let a rep report a bad lead for approval or rejection and replacement review, which is how lead problems are handled at LeadLocate, after delivery, rather than by any sorting at the source. A trash bin restores what somebody deleted by mistake. Notifications go to the emails and numbers each user chooses, with sound alerts and on screen toasts, and the In-Store Now flag tells the whole floor who is physically on the lot right now.

Texting, email and the phone system, all inside the CRM
The top bar of every screen starts with Send a Text, Make a Call and Send an Email, and each is a working tool rather than a launcher for another vendor. The SMS inbox shows every thread with delivery status on every bubble, sent, delivered or failed, so nobody wonders whether the customer saw it. MMS carries pictures and multiple attachments. RCS messaging runs where the customer's phone supports it and falls back to SMS automatically. A vehicle button in every text and email composer attaches a unit from your inventory with photos and price, and trackable short links report who clicked. An AI writing assistant drafts texts and emails on request, AI merge fields personalize them, and voice dictation lets a rep talk instead of type.
Email is its own inbox with a composer, single message view and archive, plus email campaigns and lists, Bulk Email with recipient management, and Email Automation drips. Email domain authentication means messages go out from the store's own domain rather than a shared one. The Email Validator and Phone Validator check contact information and show the result as validity dots right on the lead, which gives you a cleaner list before the first campaign goes out.
The phone system is the part dealers most often assume is a separate vendor. It is not. A VoIP softphone runs in the browser, click to call dials from any record, and a call can be triggered to a physical desk phone instead. Calls are recorded, and a transcript opens in a lightbox next to the lead. Tracking phone numbers are provisioned per source and synced to SecureWebX. Call forwarding rings a Forward Calls To list built from your own users. The virtual receptionist switches on or off, hours can be set to 24 hours, and press 5 call screening is there when you want it. An IVR call flow builder holds your options, uploaded audio and revisions. Company and per user voicemail greetings are recorded in the browser, and the Voicemail Drop library sends a drop to an entire list. Inbound calls show a caller ID name lookup, outbound caller ID can be confirmed, business hours routing sends after hours calls where you decide, and answering service controls cover the missed ones. Every call, text, MMS, email and voicemail lands in one communications log on the record.
The Marketing Tools menu on the dock collects the campaign versions of all of this in one place: Bulk Texting, Texting Chatbots, Text Automation, Voicemail Drops, Phone Validator, Bulk Email, Email Automation and Email Validator. Automation, calendar and desking with DealTracker
Automated Templates are the inbound responses: a template set per lead feed, a master set, and automation for leads that land unassigned. Follow Up Processes are the multi step drips per lead type, with a restore defaults control for the manager who experimented too far. Intake Process Automation is the in house replacement for the third-party automation tools stores used to pay for separately, with an intake hook for the sources that post into it. The Workspace screen gathers appointments, reminders and to-dos with snooze and bulk clear, so the first ten minutes of a shift are a list rather than a hunt.
The Calendar has one Calendar Settings popup with a booking link and booking hours per calendar, team availability, and a Google Calendar connect and disconnect. Round robin assignment works on the shared calendar as well as on leads. On the phone, Quick Schedule mirrors the rep's public booking link, so a customer standing at the desk is booked in a few taps.
Desking is the DealTracker engine, and it sits on the main menu rather than behind a separate purchase. EZ Desking builds cash, finance and lease structures, with a multi pencil grid and goal seek bays, a 50 state tax matrix, semimonthly frequency, trade credit caps, three lease tax methods and centralized deal defaults. The field set is universal, covering auto, RV, powersports, marine, BHPH and fleet. Every deal has a Road to Sale checklist, a Deal Jacket with upload, rename, rotate, preview and delete plus QR intake from a phone camera, a trade-in form with photos and a trade VIN scan, and OEM incentives shown at deal level inside the Incentives Showroom. Start New Deal works from a lead or straight from the Unit field, deals duplicate, and deal history and a visit log record what happened. The customer sees a deal page branded to the store, with PIN access, e-signature, a revision view and deal chat with the salesperson, and PencilRecap produces a shareable recap sheet. Print packets carry payment ranges and a finance breakdown, with #10 envelope templates and First Class postage with printed indicia. The desking tool page walks through the engine in detail.
Customer facing tools, team tools, Jax and the mobile app
The Website menu is a landing page builder called Lead Pages, with per page URL settings, personal salesperson websites, and a free live chat widget for the dealer site. The website editor is organized in tabs: Business Info, Branding, Menu Links, Social Media, Inventory and Analytics. Domains can be searched, purchased and transferred out, with a self service DNS editor. Visitor analytics show overview, realtime, sessions, geography, devices, sources, search, top pages, session detail and performance without a separate analytics account. The Referral Program is a standalone page with referral campaigns, a shared referral code and real gift card style rewards paid to the referrer. Design Studio makes business cards, referral cards, NFC cards, vCards and floating buttons from a stock media library, with print ready output. My Office is a personal desk canvas with widgets, text to speech, AI images, VIN decode, link previews and saved spaces. Team Chat gives every user channels, direct messages, reactions, polls, file upload, presence and read receipts. The Files menu is a file library with folders, secure file sharing with tracking, and QR file share. Reports cover activity, company and management reporting, with the Reports dashboard on the dock. User Management assigns the User, Manager and Master Administrator roles, per user notification toggles, a Quick Access PIN per user and default file folders. The Feedback button on the dock files a bug or feature request with a screenshot attached, and the video training library, Live Training and Schedule Training sit in the top bar.
Jax is the AI assistant inside the CRM, opened from the dock, with chat and voice input. It detects whether the rep is speaking English or Spanish and answers in that language. Jax assists the rep; the live chat agent that talks to shoppers on your website is a separate product.
The LeadLocate app for iPhone and Android carries the Workspace, Leads, the SMS inbox and composer, the Email inbox, the Deal Chats inbox, Calendar, Call Logs, a VoIP dialer with an inbound call alert screen, a voicemail greeting recorder, the inventory list with a detail sheet and picker, Quick Schedule, New Lead, the File Library, DealTracker desking and the deal jacket, Team Chat, Profile, Video Training, VIN lookup and driver license scan, and Quick Access PIN login. The bottom dock on the phone is Text, Call, New Lead, Email and Team, which is the whole job in five buttons.
One login connects SecureWebX, Inventory Link and DealTracker
The platform is four products, and the login is what makes them one. Ecosystem single sign on means one set of credentials launches the CRM, Inventory Link, SecureWebX and the My LeadLocate account portal. The phone app adds biometric login, and My LeadLocate adds passwordless login by magic link or text message. Inside the CRM, the SecureWebX button on the dock opens the credit application console directly, and the store's users and tracking phone numbers sync across, so there is no second user list to maintain.
Data crosses in both directions. A worksheet penciled in CRM desking can be pushed into SecureWebX, where the worksheet engine runs at parity with the CRM. An application a customer abandoned on a SecureWebX apply link feeds back to the CRM for follow up. Inventory Link ingests the dealer's feed, or imports inventory from the dealer's own website when there is no feed, and that inventory is what the CRM's vehicle button attaches to a text, what the Inventory menu lists, and what the mobile inventory picker shows. DealTracker is the desking engine on the Desking menu and the customer's deal page at once, so the number the rep built and the number the customer signs are the same number.

What LeadLocate CRM replaces at the store, and what keeps working when we are down

We would rather say that plainly here than have you find it out on a Saturday.
Compliance and security are part of the CRM, not an add on
Contact rules live on the record, not in a binder. The DNC Blacklist blocks a number in both directions and backs it with a live do not call lookup, and blacklist import brings in the list the store already keeps. The communications log holds every call, text, MMS, email and voicemail against the lead, with delivery status on each message, which is the record you want when a question about a conversation comes up months later. Call recording and transcription turn a disputed phone call into a playback rather than a memory contest. Email domain authentication keeps the store's outbound email identifiable as the store's own.
Access is by role, User, Manager and Master Administrator, with a Quick Access PIN per user and biometric login on the phone app. The Customer Profile stores personal information encrypted. Customer deal pages are PIN protected and e-signed with a revision view, and a store can share them, revoke all of them at once, or void one. Where a credit application is involved, SecureWebX adds two factor authentication on every sign in, encryption at rest, a full audit log, virus scanning on uploads, a watermarked PDF viewer and an archive never delete policy. LeadLocate stores consumer data in order to do all of this, and the Privacy Policy describes what is held.
How to start, month to month
Every plan is month to month with no long term contract. CRM Only starts at $199 per month for a store that already has its own lead sources and wants the software. Plans that include exclusive local leads start higher, and every one of them includes the full CRM, because the CRM is what receives and delivers the leads. Setup is the ordinary sequence: users and roles in User Management, tracking numbers and a receptionist choice, Lead Feeds Manager pointed at your sources, Automated Templates and Follow Up Processes reviewed against how your store actually follows up, and a Calendar Settings booking link for each rep. No. LeadLocate CRM is the customer layer: leads, communications, follow up, desking, customer facing deal pages and reporting. Accounting, contracts and the back office stay in the DMS the store already owns, and the CRM sits beside it under one login with SecureWebX, Inventory Link and DealTracker.
Do I need an inventory feed or DMS access to use it?
No. Neither is required, which is why auto brokers and individual salespeople run on the same platform as franchise stores. When you do have a feed, Inventory Link ingests it, or imports inventory from your own website, and the CRM attaches those units to texts and emails.
Is the phone system part of the CRM or a separate vendor?
It is part of the CRM.
