What is the first screen a salesperson opens?

The Workspace, on the phone before the first coffee. It lists today's appointments, the reminders that came due and the to-dos left from yesterday, with snooze for the ones that can wait and bulk clear for the ones that are done. It is the same Workspace on the desktop, so a rep who checks it from the car and again at the desk sees one list, not two. The mobile app page lists everything the phone version carries.

Then Leads. The lead inbox shows the leads assigned to you, with row colors and tags your store set up so a fresh internet lead looks different from a customer who is due for a follow up call. When a new lead arrives it does not wait for you to look: round robin assignment puts it in the next rep's rotation, and lead notifications reach you by text, by email, by a sound in the browser and by an on screen toast, whichever you turned on in your own notification preferences. The lead notifications page shows the settings. A lead that came from an inventory listing arrives with the VIN attached, so the lead detail already names the car.

How does the first lead get worked in the first five minutes?

By text first, because that is how the customer reached out. Open the lead, tap Text, and the composer opens on that customer's thread. The vehicle button attaches the unit they asked about with its photos and price as an MMS, so the reply is the car rather than a paragraph about the car, and the send vehicles by text page shows what lands on their screen. If the words do not come, the AI writing assistant drafts the message from the lead and you edit it, or you dictate it with voice dictation while walking the lot. A trackable short link to the booking page or a landing page reports whether they clicked.

Then a call, from the same lead. Click to call dials from the VoIP softphone in the browser, or the phone app's dialer, or triggers a call to your desk phone if you prefer to talk on that. The call is recorded and a transcript opens in a lightbox next to the lead, which is useful when the customer named a payment and you want the exact words later. If nobody answers, a Voicemail Drop leaves a recorded message from your library without you talking to a machine. The two way texting inbox page and the softphone page cover both channels in full.

Every bubble in the thread shows delivery status: sent, delivered or failed. That sounds small until the day a customer says they never got your message and the thread shows it delivered at 10:14.

How does a salesperson book the appointment and know the customer arrived?

Each rep has a public booking link and booking hours in Calendar Settings, so the text that follows a good conversation can be one line and a link: pick a time. The customer books on their phone, the appointment lands on your calendar and on the shared team calendar, and a reminder fires before it. On the phone app, Quick Schedule mirrors the same booking link so a customer standing at the desk is booked in a few taps. The appointment booking links page walks through the setup. If your store uses Google Calendar, Calendar Settings connects it so the appointment shows on your personal calendar too.

When the customer walks in, the In-Store Now flag on the lead tells the whole floor they are on the lot, which ends the Saturday problem of two reps greeting the same appointment. The driver license scanner in the app reads the customer's license into the customer record, so the name, address and date of birth on the deal are the ones on the card rather than the ones typed in a hurry.

How does a salesperson desk a deal and get it signed without leaving the customer?

Desking is on the main menu and in the phone app. EZ Desking builds cash, finance and lease structures from the unit already on the lead, with a multi pencil grid to show three payments side by side and goal seek bays to hit the number the customer named. Start New Deal works from the lead or from the Unit field. Trade-in capture takes the trade VIN by scan and the photos from the phone camera, and OEM incentives for the unit show inside the deal view in the Incentives Showroom, so the rebate is on the worksheet rather than remembered. The EZ Desking worksheets page explains the engine, and the manager sets the deal defaults once so every rep pencils from the same policy.

The customer sees a deal page branded to the store, opened with a PIN, with e-signature, a revision view when the numbers change and deal chat back to you, and the deal pages page shows it from their side. A customer who wants to think about it overnight takes the PencilRecap sheet home and messages you from the deal chat at 9pm instead of calling a store that is closed. When they want to know what payment looks like before they visit, the store's SecureWebX apply link goes into the same text thread, and the finished credit application is waiting in the console before they arrive; the apply links page covers that step.

What does a salesperson do with the quiet hours?

Build the book. Follow Up Processes run multi step drips per lead type on the leads that went quiet, so the customer who said maybe in the spring hears from you in the spring without a sticky note. Contact import brings the book of business from your last store or your last CRM. Email Validator and Phone Validator check the list before you work it, and the results show as validity dots on each lead so you are not dialing dead numbers.

Then the personal side. Every salesperson can have a personal website with their own name on it, built from the Website menu, and the personal websites page describes what goes on it. Design Studio makes a business card, a referral card or an NFC card from a stock media library with print ready output. The Referral Program gives a customer a shared referral code and a real gift card style reward when the friend they sent buys, and the referral program page explains the payout. Team Chat is where you ask the used car manager whether the trade number can move, with the answer on the record.

What does the sales manager see of a salesperson's day?

Everything that went through the CRM, which is the point of putting it through the CRM. The communications log on each lead holds every call, text, MMS, email and voicemail against the customer, with delivery status on each message. Activity reporting on the Reports dashboard shows the same work by rep: calls made, texts sent, appointments set and shown, leads that sat. A manager who wants to know whether a lost deal was effort or technique listens to the call recording rather than asking.

For a salesperson that visibility cuts both ways, and it is mostly good. A rep whose work is in the log is a rep who gets the next round robin lead and the benefit of the doubt on a disputed customer.
