LeadLocate for BDC Agents

The agent's shift on the platform, screen by screen: the alert, the lead record, the text, the call, the appointment, and the report your manager reads.

For a BDC agent, LeadLocate is one screen for the whole shift: the lead alert arrives by text, email, sound and toast, the lead record shows the source and whether the number is live, the two way texting inbox sends the car with photos, click to call records the call, the booking link sets the appointment, and Follow Up Processes keep working the leads that go quiet.

What numbers is a BDC agent judged on, and how does the pay work?

Dials, contacts, appointments set, appointments shown, and sold from those appointments. Most BDC pay plans pay on some mix of set, shown and sold, so the agent's income depends on two things the software can either help or hide: how fast the first contact happens, and whether the appointment the agent set is on the record when the customer walks in. A BDC agent wants a system that gives credit where it is earned, and a manager who can see the work without asking.

LeadLocate does both, because the phone, the texting and the calendar run inside the CRM rather than beside it. Every call is recorded, every text carries delivery status, every appointment sits on one calendar with the agent's name on it. This page walks an agent's shift in the order the screens get used, with the real names on screen, then covers what the BDC manager sees and how to start. The LeadLocate CRM product page covers the software module by module.

What is the first screen a BDC agent opens?

The Workspace, the CRM's home screen: today's appointments, reminders and to-dos with snooze and bulk clear. It is the agent's list for the shift, built from yesterday's follow ups and this morning's new leads. On the phone, the LeadLocate app opens to the same Workspace with a Quick Access PIN or biometric login, and the bottom dock reads Text, Call, New Lead, Email and Team, which is the whole job in five buttons.

New leads announce themselves. Lead notifications go to the emails and numbers the agent chose in their own preferences, with a sound alert and an on screen toast, so a lead that lands while the agent is on another call is heard rather than found later. The rotation is round robin, so the agent knows the lead is theirs and not also three other people's.

What does the agent see when the first lead opens?

The lead record, which autosaves in real time, so a note typed while the customer is still talking is on the record when the manager opens it. The source is stamped on the lead by Lead Feeds Manager, so the agent knows whether this was a website form, a campaign or a phone call before dialing. Custom lead statuses, row colors and tags set by the store make the inbox readable at a glance.

Two small marks save the most time. The Phone Validator and Email Validator show validity dots on the lead, so the agent knows the number is live before dialing it, and inbound calls show a caller ID name lookup. The Customer Profile is one shared buyer record, co-buyer included, with personal information encrypted, and the communications log under it holds every call, text, MMS, email and voicemail anyone at the store has exchanged with this customer. The agent reads that log before saying hello.

How does the first text go out?

From the two way texting inbox, on the desktop or the app. Every bubble shows delivery status, sent, delivered or failed, so the agent knows whether the customer got the message before deciding they went quiet. RCS runs where the customer's phone supports it and falls back to SMS automatically. Pictures and multiple attachments go through as MMS.

The vehicle button in the composer attaches a unit from inventory with photos and price, which is how an agent sends a vehicle by text without a screenshot. Trackable short links report whether the customer clicked. The AI writing assistant drafts a message on request, AI merge fields drop in the customer's name and the unit, and voice dictation lets an agent talk instead of type between calls. Jax, the AI assistant on the dock, answers the agent's own questions about the software in English or Spanish.

How does the first call go out, and what happens when nobody picks up?

Click to call from the lead record dials through the VoIP softphone in the browser, or the call can be triggered to a physical desk phone. An agent at home is on the same store number as an agent in the building. The call is recorded, and the transcript opens in a lightbox next to the lead, which is the agent's own record that the call happened and what was said.

When nobody picks up, a Voicemail Drop from the library leaves the message without the agent talking to a beep for the fortieth time that day. The agent's own voicemail greeting is recorded in the browser, and outbound caller ID can be confirmed so the store's name shows on the customer's phone. The DNC Blacklist blocks a number in both directions with a live do not call lookup, so an agent is not the one who has to remember which numbers are off limits. Every dial lands in the communications log.

How does the agent set the appointment and hand it to the floor?

Each salesperson has a public booking link with booking hours set in Calendar Settings, and the agent drops the link into a text or books the slot on the shared calendar, where round robin lands it on the next salesperson by rule. Quick Schedule on the phone mirrors the booking link for a customer who calls instead of clicking. Text Automation sends the reminder.

Before the visit, the agent can text a SecureWebX apply link, and the customer completes the five step credit application on a phone with e-signature and consent captured, so the salesperson opens a lead that already has an application on it. When the customer walks in, the In-Store Now flag marks the arrival, which is the show the agent gets paid on, timestamped on the record. The agent does not desk the deal; the floor opens Start New Deal from the same lead and everything the agent typed is already there.

What happens to the leads that never answer?

Most of them, at first. Follow Up Processes run a multi step drip per lead type, texts and emails in the order the manager set, so the agent's unanswered leads keep getting worked while the agent works the ones that answered. Texting Chatbots text back when a customer replies to a campaign at night, and keyword triggers act on what the customer texts. The Workspace to-do stays on the agent's list until the lead answers or the manager reassigns it.

When a lead is finally marked lost, the lost reason popup asks why, which is the agent's record that the lead was worked rather than dropped. If the lead was bad, wrong number, wrong state, never asked for a car, the agent files a Quality Control Request from the lead, the manager approves or rejects it, and it goes to replacement review. Leads are delivered without sorting at the source, and that review is how a bad one is handled. The what to expect page is worth ten minutes for a new agent: the shopper with a small budget and a big wish list is a real lead, and nearly every buyer intends to negotiate.

What does the agent see before going home, and what does the BDC manager see?

The agent's own line on the Reports dashboard: dials, contacts, texts, appointments set and shown. The call logs. Tomorrow's Workspace, already built from today's follow ups. An agent who wants to argue a pay plan number has the record to argue it with.

The BDC manager reads the same dashboard for the whole room, opens any texting thread and steps in, and reads the call transcripts for coaching. User Management gives the agent the User role and the manager the Manager role, with per user notification toggles. All of it is built so the room keeps selling: the store's main phone line is the store's own, and every dial, text, appointment and note an agent makes is safe on the record the second it happens, so the line an agent argues their pay plan with is still there tomorrow morning.

How does a BDC agent start?

The store buys the platform and the agent gets a login. Every plan is month to month with no long term contract; CRM Only starts at $199 per month for a store with its own lead sources, and plans with exclusive local leads start higher and include the full CRM. Current plans are on the pricing page. A remote agent needs a browser and the LeadLocate app, described on the mobile app page; an inventory feed and DMS access are not required.

An agent's own setup is short: notification preferences, a voicemail greeting recorded in the browser, and a look through the video training library, Live Training and Schedule Training in the top bar. The recorded demo shows the screens, the contact page reaches a person, and the BDC manager's page and every other role are on the solutions hub.

Frequently Asked Questions

What does a BDC agent at a car dealership actually do all day?

Answers new lead alerts, reads the lead record and its communications log, texts from the two way inbox with the vehicle attached, calls through the softphone with the call recorded, sets the appointment on a booking link or the shared calendar, and lets Follow Up Processes work the leads that went quiet.

Can I work as a remote BDC agent on LeadLocate?

Yes. The VoIP softphone runs in the browser and the LeadLocate app runs on the phone, so a remote agent is on the same store number and the same rotation, with every call recorded and every text logged the same way.

How do I know the customer got my text?

Every bubble in the texting inbox shows delivery status, sent, delivered or failed, and trackable short links show whether the customer clicked.

Do I get credit for the appointment I set?

The appointment sits on the shared calendar with the agent's name on it, the In-Store Now flag timestamps the arrival, and the Reports dashboard shows sets and shows per agent.

What do I do with a lead that is clearly bad?

File a Quality Control Request from the lead. The manager approves or rejects it and it goes to replacement review. Leads are delivered without sorting at the source, so that review is how a bad one is handled.

Does Jax talk to my customers for me?

No. Jax is the AI assistant inside the CRM for the agent's own questions, in English or Spanish. The AI writing assistant drafts texts and emails the agent reviews and sends.
