What numbers is a sales manager judged on?
Units and gross per unit, front end, and then the ratios the GM asks about on Monday: closing ratio by source, appointment show rate, how many pencils it took to close each deal, and how many leads went to a rep and died without a call. A desk manager adds the quality of the structure, whether the deal was built on the store's numbers or on whatever a rep typed, and whether the customer signed the figure the desk approved.
The job is a hundred small decisions a day, and most of them happen while somebody is standing at the desk waiting. What does a desk manager open first?
The Workspace, which is the CRM's home screen: today's appointments, reminders and to-dos for the whole floor, with snooze and bulk clear. Ten minutes on it before the doors open tells you who is coming in, which rep owns each visit and which follow ups are already late. The In-Store Now flag on the Leads menu tells the floor who is physically on the lot right now, so the desk knows a customer has arrived before the rep walks over to say so.
Then Reports, on the dock, for yesterday: leads in by feed, who was assigned what, calls, texts and emails per rep, appointments set and shown. Team Chat is where the morning note goes, with channels, direct messages, presence and read receipts, so the manager knows who has read it rather than hoping the group text reached everyone.

How does the manager keep leads moving across the floor?
Round robin assignment puts each new lead on the next rep in rotation, global lead distribution adds rules and distribution lists, and a manager can reassign from the lead record when a rep is off or overloaded. Because Lead Feeds Manager stamps the source on every lead, the rotation can be shaped by source when the store wants the internet leads on the internet team and the walk in log on the floor.
The first response goes out before the rep opens the lead: Automated Templates send the inbound reply per feed, and Follow Up Processes run the multi step drip per lead type until the rep takes over or the customer answers. Lead notifications reach each rep by the emails and numbers they chose, with sound alerts and on screen toasts, and the manager can be on the notify list for every lead or only for the feeds that matter. When a lead sits, the Workspace to-do is overdue in red, and the manager sees it before the customer does.
How does the desk manager coach a conversation while it is happening?
The two way texting inbox shows every rep's threads with delivery status on every bubble, sent, delivered or failed, plus pictures and multiple attachments. A manager can open a thread mid conversation, see what the customer asked and what the rep replied, and step in with a message of their own. The vehicle button in every composer attaches a unit from inventory with photos and price, so sending a vehicle by text is one tap rather than a screenshot. The AI writing assistant drafts a text or email on request, AI merge fields personalize it, and voice dictation lets a rep on the lot talk instead of type.
Calls through the CRM phone system are recorded, and the transcript opens in a lightbox next to the lead; the call recording page covers it. Click to call dials from any record, and a call can be triggered to a physical desk phone instead of the browser softphone. Every call, text, MMS, email and voicemail lands in one communications log on the lead, which is what the manager reads before deciding whether a stalled deal needs a different rep or a different number.
How is a deal desked, penciled and countered?
Start New Deal works from the lead or straight from the Unit field, and the pencil opens in EZ Desking: cash, finance and lease structures in a multi pencil grid with goal seek bays, a 50 state tax matrix, semimonthly frequency, trade credit caps and three lease tax methods. Centralized deal defaults mean every pencil starts on the store's doc fee, rates and terms, so the desk is adjusting a structure rather than rebuilding it. The field set covers auto, RV, powersports, marine, BHPH and fleet. The desking tool page walks through the engine.
The trade comes in through the trade-in form with photos and a trade VIN scan from the phone, and OEM incentives show at deal level inside the Incentives Showroom so the desk is not looking them up on a second screen. When the pencil goes to the customer it goes as a deal page branded to the store, PIN protected, with e-signature and a revision view, and the customer can chat with the salesperson on that page. A PencilRecap sheet gives the customer something to share with the person at home. Each counter is a revision on the same page, so the desk, the rep and the customer are looking at one number with a history behind it.
What does the manager check before the deal goes to F&I?
Every deal carries a Road to Sale checklist, and the desk manager's last look before the handoff is that list. The Deal Jacket holds the documents with upload, rename, rotate, preview and delete, and QR intake lets the rep photograph a document with a phone straight into the jacket; the identity scanner reads a driver license and insurance card into the customer record. The Customer Profile is one shared buyer record, co-buyer included, with personal information encrypted, so F&I is not retyping what sales already collected.
If the customer has not applied yet, the rep texts a SecureWebX apply link from the CRM, and the customer completes the five step application on a phone with e-signature and consent captured. A worksheet penciled in CRM desking can be pushed into SecureWebX, where the worksheet engine runs at parity, so the structure the desk approved is the structure F&I opens. The deal status syncs, the visit log and deal history record who did what, and the print packet with payment ranges and a finance breakdown is there when a paper copy is wanted.
Which reports does a sales manager pull before going home?
The Reports dashboard for the day: leads in, contacted, appointments set and shown, deals started and deals signed, per rep. The lost reason popup makes a rep say why a lead was marked lost, so the day's losses read as reasons rather than a count. Quality Control Requests show which leads the reps flagged as bad, which the manager approves or rejects for replacement review; the replacement review page explains that leads are delivered without sorting at the source and problems are handled after delivery.
The call logs show who dialed and who did not, and the custom lead statuses, tags and row colors the store set up make the lead inbox readable at a glance, so the last ten minutes of the day is a scan of colors rather than a scroll through records. What does the GM see above the sales manager, and what stays the store's own?
The GM reads the same Reports dashboard across the whole store, listens to the same recordings and opens the same texting threads. User Management gives the sales manager the Manager role and the GM or owner Master Administrator, with per user notification toggles and a Quick Access PIN per user; the user roles page covers the permissions. Centralized deal defaults are set at the store level, so the desk works inside them rather than around them.
