LeadLocate for Dealer Principals and Owners
The owner's view of the platform: the numbers you are judged on, the screens that produce them, and what one login replaces on the software bill.
What numbers is a dealer principal actually judged on?
An owner is judged on a short list: total gross, front and back, net to sales, expense to gross, advertising cost per unit sold, days supply, and the one number that never makes the financial statement, how many leads the store paid for and nobody touched. Every other report at the store rolls up into those. The trouble is that the numbers live in four or five different systems, each with its own login, and by the time somebody hands you a spreadsheet the month is half over.
LeadLocate is built so those numbers come out of the same place the work happens. Lead intake, texting, calling, email, appointments, desking, customer deal pages and credit applications all run under one login, and the Reports dashboard reads from the same records the salespeople typed into an hour ago. This page walks a normal owner's day through the platform in the order the screens get opened, using the names you will actually see on screen, and then covers what an owner of more than one store sees and how to start. If you want the software described module by module instead, the LeadLocate CRM product page does that.
What is the first screen an owner opens in the morning?
Reports, on the dock at the bottom of the CRM. The Reports dashboard covers activity, company and management reporting: how many leads arrived yesterday and from which feed, who was assigned what, how many calls, texts and emails each person sent, how many appointments were set and how many showed, and where every deal in progress sits. It is the same data the sales manager and the BDC manager see, so nobody spends the morning meeting arguing about whose report is right.
Then the Workspace, which is the CRM's home screen. Appointments, reminders and to-dos for the store are on it, and an owner who wants to know what today looks like before the doors open can read it from a phone in the LeadLocate app on the drive in. The In-Store Now flag on the Leads menu tells the whole floor, and you, who is physically on the lot right now, which is the fastest way to know whether the appointment board and the showroom agree with each other.

How do I know where every lead came from and who touched it?
Lead Feeds Manager is the intake side of the CRM and the first place an owner should look when a lead source is up for renewal. Each source gets its own feed, custom source feeds handle the ones nobody else supports, and every new lead pushes into the CRM instantly with the feed name on the record. The Lead Feeds Manager page shows the setup. Because the source is stamped on the lead, the Reports dashboard can tell you the cost side of advertising cost per unit sold by feed rather than in total, which is the difference between cutting a vendor and guessing.
Assignment is rules based, not a manager's memory. Round robin assignment distributes new leads across the team, global lead distribution adds rules and distribution lists, and stores with more than one rooftop route by rooftop. Every phone source gets its own tracking phone number, so a call from a sign on the freeway and a call from a website form are two different lines on the report.
What happens to a bad lead matters to an owner because it is money. LeadLocate does not sort or filter leads at the source; the consumer answers pre-screening questions at capture and every submitted lead in the zone is delivered. When one is wrong, a rep files a Quality Control Request from the lead, a manager approves or rejects it, and it goes to replacement review. The what to expect page explains why a shopper asking about a truck they cannot afford is still a real lead, and why nearly every buyer intends to negotiate.
How do I hear how my people talk to customers without standing behind them?
Every call placed or received through the CRM's phone system is recorded, and a transcript opens in a lightbox next to the lead. An owner who wants to know why a hot lead went cold can read the conversation in two minutes instead of asking three people what they remember. The call recording and transcription page covers how it works. Texting is the same: the two way texting inbox shows every thread with delivery status on every bubble, sent, delivered or failed, so a rep's claim that the customer never answered can be checked against whether the customer ever received anything.
All of it lands in one communications log on the lead: every call, text, MMS, email and voicemail, in order. That is the record you want when a customer complaint arrives months later, and it is also the record that protects the store. The DNC Blacklist page blocks a number in both directions, imports a list the store already keeps, and runs a live do not call lookup, which is the owner's protection against the texting habits of an enthusiastic new hire; the do not call page has the detail. When a lead is marked lost, a lost reason popup makes the rep say why, so the month end report says something more useful than lost.
What does the desk look like from the owner's chair?
Desking is on the main menu, not behind a separate purchase, and it runs on the DealTracker engine. EZ Desking builds cash, finance and lease structures with a multi pencil grid, goal seek bays, a 50 state tax matrix, semimonthly frequency, trade credit caps and three lease tax methods. The part that matters most to an owner is centralized deal defaults: doc fee, default rates, default terms and the rest are set once for the store, so every pencil on the floor starts from the numbers you approved rather than whatever the last manager typed. The EZ Desking page and the desking tool page go through the engine.
The customer sees a deal page branded to the store, PIN protected, with e-signature and a revision view, and every deal carries a Road to Sale checklist, a deal history and a visit log. So the number the rep built, the number the manager approved and the number the customer signed are one number with a timeline behind it, which is what you want when a deal is questioned. Print packets carry payment ranges and a finance breakdown when a paper copy is needed. The deal pages page shows what the customer gets.
Where is my exposure on the credit side, and who can see an application?
Credit applications run in SecureWebX, which opens from the SecureWebX button on the CRM dock under the same login. From the owner's chair the important parts are the controls: two factor authentication on every sign in, encryption at rest for application data, a full audit log of who opened what, virus scanning on uploads, a watermarked PDF viewer that gates print and download, and an archive never delete policy so a record is retained rather than removed. The credit application security page lists them.
Compliance is in the workflow rather than in a binder. OFAC screening runs on every application. Adverse action notices generate from the application record. State specific disclosures, the privacy notice and the terms are edited per store, and every user is forced to accept the terms. When an application goes to a lender, Send to Lender creates a code gated, expiring, revocable, watermarked share to the lender the store chooses, with a lender response portal, rather than an emailed PDF that lives forever in somebody's sent folder. The store's own credit bureau account is stored in SecureWebX; LeadLocate does not pull credit. The SecureWebX product page is the full picture.
Which bills does this replace, and what does my store keep as its own?
Walk the software line on the expense statement and most entries line up against a module under this one login: the texting app, the softphone subscription, the call recording add on, the virtual receptionist or IVR bill, the appointment scheduler, the link shortener, the e-signature service for deal sheets, the team messaging tool, the landing page builder and its hosting, the business card designer, the referral platform and the third-party automation tools stitching intake together. LeadLocate absorbs those into one month to month subscription, and the store stops paying an integrator to connect them.
It does not replace the DMS, and that is deliberate. Accounting, deal posting and the back office stay in the dealer management system the store already owns, and the CRM sits beside it as the customer layer. That is also the plain answer to the question every owner asks about a vendor, which is what stays mine. Your DMS is yours, so accounting and the back office never leave the building. Your store's main phone line is yours. Your website is yours, wherever it is hosted. Each product, the CRM, SecureWebX, Inventory Link and DealTracker, is its own application under one login, so you get one subscription and one password without tying everything you own to a single screen. And every record your store creates, every lead, text, call, deal and application, is safe the moment it lands and sits exactly where your people left it. The platform is built so your store keeps selling.
What does the owner of more than one store see?
User Management assigns three roles, User, Manager and Master Administrator, with per user notification toggles, a Quick Access PIN per user and default file folders. An owner holds Master Administrator and sees every rooftop's leads, conversations and deals from one login, while a store manager sees their store. Lead routing rules per rooftop keep a lead that came in for the import store from landing on the domestic floor. The user roles page covers the permissions.
Ecosystem single sign on means one set of credentials launches the CRM, Inventory Link, SecureWebX and the My LeadLocate account portal, with biometric login on the phone app, so there is no second user list to maintain when somebody leaves. My LeadLocate is where the owner's side of the relationship lives: billing, invoices and receipts, add ons for an active subscription, Skip A Month and Automatic Renewal controls, service and referral credits, support tickets, and which users can launch which apps. The My LeadLocate page walks through it.
How does a dealer principal start, and what does it cost to find out?
Every plan is month to month with no long term contract. CRM Only starts at $199 per month for a store that already has its own lead sources and wants the software. Inbound, with exclusive local buyer leads, starts at $799 per month, and every plan that includes leads includes the full CRM, because the CRM is what receives and delivers them. If the store wants leads routed into a CRM it already runs, that is done at no price change. Current plans and figures are on the pricing page.
Setup is the ordinary sequence, and our team does it with you: users and roles in User Management, tracking numbers and a receptionist choice, Lead Feeds Manager pointed at your sources, Automated Templates and Follow Up Processes reviewed against how your store actually follows up, and centralized deal defaults set to your numbers. Contact import brings the list from the last system along. The recorded demo shows the screens before you commit, and the contact page reaches a person who will set it up for your store. Other roles at the store have their own pages on the solutions hub, so the GM, the sales manager and the BDC manager can each read the part that is theirs.
Frequently Asked Questions
What is a dealer principal, and is this page for a general manager too?
A dealer principal is the owner or the person holding the franchise, the one whose name is on the dealer agreement and who answers for the whole statement. A general manager runs the store day to day for that person. This page is written from the owner's chair; the GM's page on the solutions hub walks the same platform from the operator's side.
Does LeadLocate replace my DMS?
No. LeadLocate CRM is the customer layer: leads, communications, follow up, desking, customer facing deal pages, credit applications and reporting. Accounting, deal posting and the back office stay in the DMS the store already owns, and the CRM sits beside it under one login with SecureWebX, Inventory Link and DealTracker.
Can I see every call and text my staff sends?
Yes. Calls through the CRM phone system are recorded with a transcript next to the lead, every text shows delivery status, and the communications log holds every call, text, MMS, email and voicemail against the record. A Master Administrator sees all of it across the store.
What happens when a lead is bad?
Leads are not sorted or filtered at the source; the consumer answers pre-screening questions and every submitted lead in the zone is delivered. A rep files a Quality Control Request from the lead, a manager approves or rejects it, and it goes to replacement review after delivery.
Do I need an inventory feed or DMS access to use it?
No. Neither is required. When you do have a feed, Inventory Link takes it, or imports inventory from your own website, and the CRM attaches your actual units with photos and price to texts and emails.
Am I locked into a contract?
No. Every plan is month to month with no long term contract. Skip A Month is on the plan list for the slow season, and Automatic Renewal is a switch in My LeadLocate, so staying is a monthly decision rather than a contractual one.
See the owner's dashboard before you pay for a seat
Watch the recorded demo or book a walkthrough on your own store's leads. Month to month, no long term contract, and your DMS stays exactly where it is.
