Round robin lead assignment takes every new lead that enters LeadLocate CRM and hands it to the next salesperson in line, so the lead has a name on it before anyone has read it. That is the whole idea, and it solves a problem every sales manager recognizes: the lead that sits in a shared inbox for forty minutes because three people assumed someone else had it, and the lead that got quietly grabbed by the rep who happened to be standing near the screen.

In LeadLocate the rotation is not a single global switch. It is set per lead source, feed by feed, in Lead Feeds Manager. Each feed carries an assignment choice: All (Round Robin), which rotates the feed's leads through the team, a single assigned user, or Unassigned (Up for Grabs), which leaves the lead open for the first rep to claim it. How a dealership uses it on a normal day

Picture a Tuesday at a two rooftop store with six salespeople on the floor. The internet manager set up the feeds weeks ago, so nobody is thinking about assignment at all. At 9:12 a website form comes in through the store's inbound feed. The feed is set to All (Round Robin), so the lead lands on the third rep in the rotation, her phone gets a notification, the CRM plays a sound at her desk, and the lead is already sitting in her Leads view with her name on it when she opens the app. Her Automated Templates for that feed send the first text while she is walking back from the lot.

At 9:40 a seller lead from a LeadLocate offer request page arrives on the acquisitions feed. That feed rotates too, but the rotation is its own count, so the fourth rep gets it rather than the same person who took the website lead. Where round robin lives in the CRM

The setting lives under Billing and Admin in the main menu, on the Lead Feeds Manager page. Each feed on that page shows its Feed Label, its intake method, and an Assign control where the rotation is chosen. Custom source feeds have their own Lead Assignment dropdown next to Default Status for New Leads, so a custom feed can rotate leads and drop them into a specific status in the same breath.

Who is in the rotation is decided in User Management. Each user record carries a Round Robin setting, so a salesperson on vacation, a BDC agent who only works appointments, or a manager who should never be handed a lead can be left out of the rotation without changing any feed. The user roles and permissions page covers the rest of that screen.

The other place round robin appears is the shared calendar. When a customer books through the store's booking link rather than a specific salesperson's link, the appointment rotates through team availability the same way a lead does, so the rep who takes the appointment is the next one up, not the one whose name happened to be first on the page. On the phone app, the rep sees the leads assigned to them in the Leads view and gets the same notification a desktop user gets, so a rotation that lands on someone at lunch still gets answered.

What it replaces, and what the alternative costs a store

The honest alternative to round robin at most stores is a person. Someone reads the shared inbox, decides who gets what, and forwards it, which works right up until that person is in a deal, at lunch, or on a day off. The second alternative is the free for all, where the inbox is open and the fastest rep wins, which rewards the salesperson who camps on the screen rather than the one who is in the showroom working a customer.

Both alternatives show up in the numbers the same way: leads that were paid for and then went unworked for hours, and a floor where the quiet reps stop believing the leads are distributed fairly. A rotation removes the person from the loop and removes the argument from the floor. It also gives a manager a truthful answer to the question every rep eventually asks, which is why they got fewer leads than the person next to them. With round robin per feed the answer is on the screen: they are in the same rotation, on the same feeds, and the CRM took turns.

Because the assignment is per feed rather than per store, there is no separate rules product to buy and no integration to maintain. Does round robin help a store with response time and accountability?

Speed to first contact is mostly a question of whether someone owns the lead. A lead with an owner gets a text; a lead in a shared pile gets a meeting about the pile. Round robin gives every lead an owner at the moment of arrival, and the rest of the CRM builds on that. The owner is notified by email, by text to their notify number, by a sound at the desk and by an on screen toast, as described on the lead notifications and alerts page. Accountability follows from the same fact. Every call, text, email and voicemail on the lead is written to one communications log against the rep who owns it, so a manager reviewing a lead that went nowhere is looking at one person's work, not guessing whose turn it was. The compliance angle: a rotation is also a record

Assignment is not usually what a dealer thinks of as compliance, but a fair and recorded distribution matters in two practical ways. The first is internal. There is nothing to install and nothing to buy. Open Lead Feeds Manager under Billing and Admin, find the feed you want to rotate, and set its assignment to All (Round Robin). Save. From that point every lead that enters through that feed takes the next turn. Repeat for each feed that should rotate, and leave the feeds that should go to one person set to that person. For a custom source feed, open it, set Lead Assignment to Round Robin, and choose the Default Status for New Leads those leads should land in.

Then check User Management. Confirm the Round Robin setting on each user matches who should actually be taking leads, and take out anyone who should not. A new hire is added to the rotation the day they are added as a user, and a departing rep is taken out the day they leave, which is how a store keeps a rotation honest without a spreadsheet.
