SecureWebX: Secure Credit Applications for Car Dealers
The credit application is where a deal is won or quietly lost. SecureWebX moves it onto the customer's phone and gives the finance office one place to work it.
SecureWebX is the secure credit application system inside the LeadLocate platform
SecureWebX is a secure credit application system for car dealers that takes the application from the customer's phone, works it in a dealer console, and delivers it to the lender or DMS the store already uses. That is the one sentence version. The longer version is that it replaces the clipboard, the paper app that gets photographed and texted to the finance office, the shared email inbox where applications age, and the spreadsheet somebody built to keep track of which lender has which deal.
It is built for the people who actually touch an application. F&I managers get an inbox, a pipeline, stipulations, adverse action notices and a worksheet that pencils cash, finance and lease with the same math as the desk. Special finance departments get co-applicant and ITIN support, supporting documents attached to the file rather than scattered across a text thread, and a Send to Lender share that puts a specific application in front of a specific lender without a fax cover sheet. Buy here pay here stores and auto brokers get a professional application path that runs without a DMS or an inventory feed, which is why they can start on it the same week they sign up. Franchise stores get two factor sign in, encryption at rest, a full audit log and export in the STAR XML format their DMS expects.
SecureWebX runs alongside the LeadLocate CRM and is part of the platform subscription rather than a separate product you buy from a second vendor. The dealership CRM with credit application page covers the CRM side of that relationship. This page is the product itself, module by module, using the names you see in the console.
Your customer finishes the application on their own phone, privately
The applicant side is a five step online credit application: personal, residence, employment, income, review. Five short screens instead of one long form, each one savable, so a customer who gets interrupted picks up where they stopped rather than starting over. A co-applicant is added inside the same application. Identification accepts an ITIN as well as a social security number, which matters in markets where a good buyer would otherwise be turned away at the first field. Income, down payment and a trade-in section are part of the standard flow, so the finance office gets the numbers it needs to structure a deal on the first pass rather than on the third phone call.
The application ends with an e-signature and consent capture against versioned terms. Versioned is the important word. When your disclosure language changes, SecureWebX keeps the exact version each customer agreed to and when, so a question about what a specific applicant consented to has a specific answer. Bot protection sits on the public form so the inbox holds applications from people, not scripts.
Every store gets its own branded apply links, and each link is customizable from the console: extra sections, custom fields, document uploads and disclosures specific to that link. A store can run one link for the website, one for the special finance desk and one for a sales event, each collecting what that path needs. The link is sent by text from the CRM conversation the customer is already in, dropped on a landing page or printed on a card. The customer applies where they are comfortable, which is usually at home, and the store gets a completed application before the appointment instead of a walkout after it. If a customer starts and stops, the abandoned application flows back to the CRM for follow up, so a half finished form becomes a task for a salesperson instead of a mystery.

Every application lands in one inbox and moves through one pipeline
The dealer console opens on a dashboard with live badges, then the application inbox. Each application carries a status, an assignee, an amount, notes and its email thread, so the pipeline view answers the finance manager's first question of the day: what came in, who owns it, where is it stuck. Nothing depends on a particular person's mailbox, which is the failure mode of every store that runs credit applications through email.
Send to Lender is how an application leaves the store. It is a secure share, not a lender portal integration, and it is worth being exact about what that means. The console produces a code gated, expiring, revocable, watermarked share of the application. You send it to any lender you choose, including the local credit union that has never been on anyone's portal. The lender opens a lender response portal, reviews the file and records a response, and that response comes back to the application. When the share expires or you revoke it, the lender's access ends. Your lender relationships stay yours; SecureWebX makes the handoff secure and documented.
From there the application picks up the paperwork a real deal generates. Stipulations are tracked per application and fulfilled by upload, so proof of income or proof of residence arrives against the stip that asked for it. Supporting documents attach to the submission itself. Adverse action notices are generated from the application record when a deal is declined, rather than typed from memory. State disclosures are added, edited and removed per state, and a privacy notice and terms editor lets each company keep its own language current, with forced terms acceptance for every console user. OFAC screening runs against the application so the name check is done inside the file, not in a separate browser tab someone may or may not remember to open.
Worksheets pencil cash, finance and lease with the desk's own math
An application on its own is half a deal. The worksheet is the other half, and SecureWebX carries a full one. Cash, finance and lease pencils run at parity with the CRM desking engine, so the figures the finance office quotes are the same figures the salesperson showed on the floor. That is not a small point. A customer who sees two different payments from two different people in the same building stops trusting both. The desking tool page describes the engine in detail; here it is enough to say that a worksheet can be duplicated, given defaults, attached to an application or detached from it, and printed as a deal recap PDF the customer can take home.
The deal vehicle section is where the worksheet learns what it is pricing. Decode a VIN, look up a stock number against the store's own inventory, or hold a wish list for a customer whose unit has not landed yet. A manager can confirm the build and options so the pencil reflects the car that is actually on the lot. Then the checks: title, stolen vehicle, sales history, auction and warranty, run from the worksheet against the vehicle in the deal so the finance manager knows what they are financing before the lender does.
Kelley Blue Book QuickValues book-outs live inside the worksheet. A finance manager values the trade or books out the unit without leaving the deal, and the value lands in the pencil rather than on a sticky note. Worksheets can also be pushed from CRM desking, so a deal structured in the CRM arrives in SecureWebX with its numbers intact instead of being rekeyed.
Mailbox, partners, reports, users and support tickets round out the console
The Mailbox is dealer to lender and partner email with inbound handling, kept inside the console so the correspondence about a deal sits with the deal. A finance manager writing to a lender about a stip is not switching to a personal inbox and hoping to find the thread later.
The partner list holds the lenders and vendors your store works with. Verified Partners is a directory by category, and a partner integrations catalog sits next to it with a custom integration request for anything your store needs that is not already there. Anything not listed is available on request, and our team puts it in production for your dealership.
Reports cover applications, pipeline and activity, with PDF export for the morning meeting or the owner who wants numbers on paper. Users are invited into the console with roles, so a salesperson sees what a salesperson should and a finance manager sees the rest. Credit bureau key storage lives under settings: the store's own bureau account credentials are stored there and pulls run through the store's account, with a referral request if the store needs one set up. Support tickets and feature requests are filed from inside the console with reference numbers, so a question about a specific application is tracked rather than lost in a phone call.
Export an application to your lender or DMS in the format it expects
Most stores have a system that needs to receive the application once it is worked, and that system is particular about format. SecureWebX exports in the format the receiving side expects rather than asking the receiving side to change. STAR XML, the DMS standard, is supported alongside fixed width, CSV and JSON. Transport matches the same range: SFTP, SOAP, a REST API, PGP encrypted email, structured email and a secure portal. Mapping templates line up your fields with theirs once, and every export after that follows the map.
This is described plainly on purpose. It is an export to your lender or DMS in the format it expects, set up for your store's specific destination. It is not a live two way integration with a named system, and nobody on our side will tell you otherwise. What it gives a store is the practical thing: the application leaves SecureWebX as a file the other side can ingest, without a finance manager retyping thirty fields into a second screen.
eFax is included for the lenders and partners who still live on fax, and there are more of them than the software industry likes to admit. Fax numbers are assigned per company and per partner, and inbound fax status shows in the console, so the countersigned approval that arrives by fax is seen by the person waiting on it.
Security and compliance are built into every sign in and every record
A credit application is the most sensitive document a dealership handles, and the controls around it should not be optional settings someone has to remember to turn on. In SecureWebX they are the default.
Two factor authentication runs on every sign in, with a code sent to the user's phone. Application data is encrypted at rest, and the keys and credentials the system depends on live in a secrets vault rather than in a configuration file someone can open. A full audit log records who viewed, edited, shared and exported each application, alongside a security log for the account as a whole, so the answer to who looked at this file is a report, not a guess. Every upload is virus scanned before it is stored. PDFs open in a watermarked viewer with print and download gated, which means an application shared with a lender or opened by a user carries a watermark and cannot be quietly saved to a desktop.
Then the retention rule: archive, never delete. When a company, a user or an application is archived, every record is retained for compliance. A store that has to answer a regulator, an auditor or a lawyer about an application from years back finds the file, the consent version, the disclosures shown, the adverse action notice and the audit trail together. Combined with the versioned consent capture on the applicant side, OFAC screening on the file and state disclosures per state, this is the record keeping layer that supports a store's own compliance program. It does not replace that program, and a vendor who says their software makes you compliant on its own is telling you something about the vendor.
SecureWebX connects to the LeadLocate CRM with one login and one click
SecureWebX is part of one platform, and the connection to the CRM is what makes it feel that way. When a dealership joins LeadLocate, company onboarding and user sync from the CRM create the SecureWebX company and its users, so nobody sets up the same people twice. Ecosystem single sign on means one login. From the CRM dock there is a SecureWebX button, and one click launches the console for the signed in user with no second password. Ghost login lets our support team see exactly what a user sees when they call in, which shortens most support calls to the length of the question.
The store's tracking phone numbers sync into SecureWebX, so the number a customer sees on an apply link, a disclosure or an outbound message is the same number the CRM is already tracking. Worksheets are pushed from CRM desking into SecureWebX, which is how a deal structured on the floor arrives at the finance desk with its numbers intact. And the abandoned application feed runs the other direction: a customer who opens an apply link and stops on the income step becomes a follow up in the CRM, so the salesperson who sent the link knows to make the call.
The practical result is that texting a credit application link, working the application, structuring the deal and sending it to a lender happen inside one system with one login. The online credit application software page covers the buying question of application intake in general; the all features list shows where SecureWebX sits among everything else in the platform.
What keeps working at your store when we are down, and how to start
Every vendor has downtime, and a store should know what that looks like before it happens. SecureWebX runs as its own system, separate from the CRM, so an interruption on one side does not take the other with it. If the CRM is unavailable, your apply links still open, customers still complete applications, and the console still works them; abandoned applications flow back to the CRM once it is reachable again. If SecureWebX itself is unreachable, everything that already left it is unaffected: the application file you exported to your DMS is in your DMS, the deal recap PDF you printed is in the customer's hand, the lender who received a Send to Lender share has already reviewed the file through the lender response portal, and your bureau account, your lender relationships and your phone numbers are yours and keep working without us. Records are archived, never deleted, so nothing worked in the console is lost when the console comes back. If you ever need a person during an interruption, the contact page reaches one.
Starting is simple because SecureWebX is part of the platform subscription rather than an add on with its own contract. Plans are month to month; the pricing page lists them, from CRM Only for a store that wants the software without lead delivery to the Inbound, Marketplace Acquisitions and Buyers & Sellers Hybrid plans that include exclusive local leads. When your account is created, the SecureWebX company and users are created with it, the SecureWebX button appears in the CRM dock, and the first apply link is ready to customize and send that day. If you want to see it before you sign up, the pre-recorded live demo shows an apply link going out by text and coming back as a worked application.
Frequently Asked Questions
Is SecureWebX a lender portal integration?
No. Send to Lender is a secure share: a code gated, expiring, revocable, watermarked view of the application that you send to any lender you choose, with a lender response portal for their reply. Your lender relationships and your bureau account stay yours. Export to a lender or DMS is a file in the format that system expects.
Who pulls credit?
Your store does, through its own credit bureau account. SecureWebX stores the bureau key under settings and offers a referral request if you need an account set up. LeadLocate is the application system, not the bureau.
Can a customer apply with an ITIN or add a co-applicant?
Yes. The five step application accepts an ITIN as well as a social security number, and a co-applicant is added inside the same application. Income, down payment and trade-in are standard sections.
How is the customer's consent recorded?
With an e-signature and consent capture against versioned terms. SecureWebX keeps the exact version each customer agreed to and when, so a question about a specific applicant's consent has a specific answer.
What formats can an application be exported in?
STAR XML, fixed width, CSV and JSON, delivered over SFTP, SOAP, REST API, PGP encrypted email, structured email or a secure portal. Mapping templates line your fields up with the receiving system's fields once.
Is SecureWebX included with LeadLocate, or is it extra?
It is part of the platform subscription. Your SecureWebX company and users are created with your account, and the console launches from the SecureWebX button in the CRM dock with one login. Plans are month to month and listed on the pricing page.
