Automated Templates, Tasks and Reminders

The first minutes after a lead arrives decide whether you get a reply. Automated Templates make sure the first text, email and voicemail go out, and a task lands on someone's desk, before anyone has to remember.

Automated Templates are the per feed first touch inside LeadLocate CRM: the automated text, email and first voicemail that go out on lead receipt, the appointment confirmation text and email, and the BDC Follow-Up Call task, each set per lead feed from a Company Default master set, with an account wide Automation switch and a separate template set for unassigned leads.

What Automated Templates do the moment a lead arrives

Automated Templates are the messages and tasks LeadLocate CRM fires on its own the moment a lead is received or an appointment is confirmed, set once per lead feed so every source gets the right first touch without a person typing it. That is the one sentence version. The page in the CRM is called Automated Templates, it sits in the Billing and Admin menu, and it is the first thing a new store should open after User Management.

The template set covers the whole first contact. On lead receipt: Automated TEXT Messages (on Lead Receipt), Automated Email Messages (on Lead Receipt) and a First Automated Voicemail (on Lead Receipt) recorded in your own voice. On appointment: Automated TEXT (on Appointment Confirmation) and Automated Email (on Appointment Confirmation). And a task: the BDC Follow-Up Call, which puts a call on a person's list rather than hoping they notice the new lead. Each has its own on and off switch, so a store that wants a text and a call but no email simply leaves the email off.

A normal day: the lead that came in during the sales meeting

It is 9:05 on a Saturday and the whole floor is in the sales meeting. A lead arrives from the store's website form for a used SUV. Nobody is at a desk. On a store without automation that lead waits until 9:40, and by then the customer has submitted the same form to two other dealers.

On a store with Automated Templates set up, the lead is received, the feed it came through is matched, and the feed's templates run. The customer gets a text within the minute that names the salesperson, the store and the SUV, because the template uses merge fields for the vehicle of interest and the dealership name. An email follows with the salesperson's business card attached, since the store turned on Attach Business Card for that feed. A voicemail in the salesperson's own recorded voice lands on the customer's phone. And a BDC Follow-Up Call task appears on the salesperson's Workspace with the lead attached.

When the meeting ends at 9:30, the salesperson opens the Workspace, sees the task at the top of Tasks & To-Dos, and calls a customer who has already heard from the store three times in twenty five minutes. The reply rate on that call is nothing like the reply rate on a cold call at 9:40.

Per feed templates and the Company Default master set

The design decision that makes Automated Templates work is that they are set per lead feed. A lead from a third party listing, a lead from the store's own website, a lead from an acquisitions campaign for a seller and a lead from a walk in typed by hand should not get the same first text, and in the CRM they do not have to. The page is split into Inbound Lead Automated Templates and Acquisitions Lead Automated Templates, and within each the store sees a row per feed.

Above the feeds sits the Company Default (used to set up new feeds) row, the master set. When a new feed is created in the Lead Feeds Manager, it inherits the Company Default, so a store never has a feed with nothing behind it. A feed that needs its own wording overrides only what it needs; the rest keeps inheriting. That is why a store with fifteen feeds maintains one set of templates and a handful of exceptions rather than fifteen copies.

Unassigned leads get their own treatment. A feed set to Unassigned (Up for Grabs) in the Lead Feeds Manager has no salesperson yet, so the unassigned lead templates speak for the store rather than for a person until someone claims the lead. Merge fields, the first voicemail and the business card

A template that reads like a template gets ignored. The merge fields are what keep the automated first text from sounding automated: the customer's name, the vehicle of interest, the original lead inquiry, the dealership name, the store's street address, the salesperson's name and phone. A store can add its own with Save Custom Merge Fields, and the AI merge fields described on the AI writing assistant page can write the variable sentence for each lead so no two customers get an identical message.

The first voicemail is recorded in the browser under My Recording. It goes out as a voicemail, not a call, so the customer hears a real voice from the store without a phone ringing during dinner. The voicemail drop page covers the library and the drops to lists; the first automated voicemail is the same tool pointed at the moment of lead receipt.

Attach Business Card puts the salesperson's card, designed in Design Studio, on the automated email. It is a small thing, and it is the difference between an email from a store and an email from a person.

Tasks, reminders and to dos on the Workspace

The templates handle the messages; the tasks handle the human. The BDC Follow-Up Call creates a task for the assigned user the moment the lead lands, and that task shows up on the Workspace, the first screen a rep sees on the desktop and in the LeadLocate mobile app. The Workspace shows Today's Appointments, Tasks Open and Tasks Overdue, plus the rep's own To-Dos, which are quick items added with Add To-Do.

Reminders behave the way a rep needs them to. A task can be marked complete, snoozed with Snooze 1 Hour, or moved to tomorrow. A list that piles up can be cleared in bulk with Clear All rather than one row at a time. Overdue is a count, not a color someone might miss, so a manager glancing at a rep's Workspace knows in a second whether the follow up calls are being made.

None of this needs a separate task app. The task is attached to the lead, the lead is attached to the customer, and the call the rep makes from the task is logged in the same communications log as the automated text that went out before it.

What it replaces, and the account wide Automation switch

The thing Automated Templates replace is not a piece of software; it is a person remembering. Most stores have a rule that new leads get a text within five minutes, and most stores miss it on Saturdays, at lunch, during the sales meeting, and whenever the one person who does it well is off. A template that fires on receipt makes the rule true every time, including at 11 PM when the form is submitted from a couch.

What it also replaces is a stack of per store automations built in third party automation tools, each one a monthly bill and a point of failure. The Intake Process Automation page covers that side of the story; the templates on this page are what those automations used to try to trigger.

Sometimes a store wants everything off. A dealer who decides to contact every lead by hand for a month should not have to flip forty switches. The Automation switch in the Automated Templates header turns the whole set off for the account in one move and greys the page so nobody re enables a template by accident; turning it back on restores the standard set. Every send path honors it, including the manual automate buttons and the appointment confirmations.

The compliance angle: consistent wording, honored opt outs, one log

Automation is where a store's messaging is either consistent or careless, and consistency is a compliance property. A text template written once, reviewed by a manager, and sent by the system carries the store's identification in every message, which is what the rules for commercial texting expect. A text typed at speed by a salesperson in a parking lot may or may not.

The automated first touch respects the same opt out and blacklist handling as every other message in the CRM. A number on the DNC blacklist is not texted by a template any more than by a person, and the delivery status on every text bubble shows whether the automated message was sent, delivered or failed. Every automated text, email and voicemail lands in the customer's communications log next to the calls, so a manager or an auditor sees the whole sequence in order. None of this replaces the store's consent practice at capture; it makes sure the messages sent after capture follow it.

How to set it up, and what to pair it with

Automated Templates are part of the LeadLocate CRM subscription, and a new account starts with a standard set already on, so the first lead gets a first text before anyone has edited anything. The work is in making the words yours. Open Automated Templates under Billing and Admin, edit the Company Default row first, record the first voicemail under My Recording, then walk the feeds that deserve their own wording.
