Greetings are the other half of the same feature, and they are the half most stores forget. A customer who calls the store's tracking number and reaches nobody hears a greeting. How a salesperson uses it on a normal afternoon

A rep has a list of twenty unsold showroom visitors from the weekend to call back. The first two answer. The third rings out to voicemail, and instead of improvising a message for the fortieth time this month, she presses Drop Voicemail on the softphone and picks the recording she made on Monday: her name, the store, a line about the vehicle they looked at, and her direct number. The CRM leaves it and the call is logged as a voicemail drop rather than as a mystery. She is already dialing the fourth.

Where it lives in the CRM

The library is Voicemail Drop Files, under Billing and Admin, where a store's recordings are kept: a rep's personal drops and the store's shared ones. Recordings are made in the browser or over the phone and saved as Saved Voicemail Recordings, or uploaded as an audio file the store produced elsewhere. Any of them can be picked from Select Voicemail Recording on the softphone.

The drop button itself lives on the VoIP Phone, reached from Make a Call in the top bar or from the phone number on any lead. When the far end rolls to voicemail, Drop Voicemail is right there. List delivery is Voicemail Drops under Marketing Tools on the dock, described on the dock itself as straight to voicemail, where a store builds a Voicemail Recipients list, chooses the recording and sends the blast, with a Bulk Voicemail History of every send.

Greetings live on IVR Settings, reached through Account Settings, for the Company Voicemail, and with each user for the personal greeting. The LeadLocate mobile app carries a voicemail greeting recorder so a rep can record theirs from a phone. And every voicemail a customer leaves shows on the Calls page and the lead's timeline with its recording, because the communications log holds calls, texts, emails and voicemails in one list.

What it replaces and what a store pays for it elsewhere

Voicemail drop is sold on its own as a per drop service by companies that do nothing else, and as a paid add on by phone system vendors. Either way the drop lives outside the CRM: the rep switches to a second app, uploads a list, and the CRM never hears that a voicemail was left. Greetings are worse. On most stores' phone setups, a forwarded call that reaches a salesperson's cell and rolls to voicemail lands in that rep's carrier mailbox, which the store cannot hear, cannot log, and loses entirely when the rep leaves.

The rules that govern outbound calling to consumers, including do not call registries and consent for marketing contact, apply to messages left in a mailbox too, and some states treat a drop delivered without a ring as its own category. A store should check the rules where it operates and talk to its own counsel about its own list.

Recording a drop takes a minute. Open Voicemail Drop Files, record in the browser or call in to record over the phone, name the recording, and it appears in the softphone's Select Voicemail Recording list. A store can also upload an audio file it recorded elsewhere. Greetings work the same way: the Company Voicemail greeting on IVR Settings, and a personal greeting per user recorded in the browser or from the mobile app. A new account starts with a standard greeting so callers never hear silence before the store records its own.

List delivery needs nothing more than a recording and a Voicemail Recipients list, built from a lead list or pasted in, and a validated, scrubbed list is the one to send to.
