Phone Validator: Weed Out Dead Numbers Before You Dial
Paste a list or upload a CSV, learn which numbers are live and which are on a do not call list, and see the answer as a dot on the lead before anyone picks up the phone.
What the Phone Validator does
The Phone Validator checks whether the numbers on a list are worth dialing or texting, flags the ones a store should not contact, and records the result where the rest of the CRM can see it. That is the one sentence version. The dock tile that opens it reads Weed out dead numbers, and the page inside is titled Phone Number Lookup: a List Name field, a box that takes one number per line, a CSV File upload for a list from a spreadsheet, and a Results view with a Do Not Call column, a Scrubbed column and a Not checked marker for numbers that have not been run yet.
Below the form is Phone Lookup History, a table with Date, List Name, Pulled By, Total Number and a Report Link for every run, so a manager can see that the service customer list was checked last week by the BDC lead and open the report rather than spending credits to run it again. It is a separate tool, built for the person who owns the store's outbound calling and texting, and it has a sibling: the Email Validator does the same work for addresses.
Both sit under Marketing Tools with Bulk Texting, Texting Chatbots, Text Automation, Voicemail Drops, Bulk Email and Email Automation. The full features list shows where they fit, and the caller ID and contact validation page covers the wider set of phone hygiene tools this one belongs to.
How a dealership uses it on a normal day
The BDC manager at a store has a Saturday sale coming and a list of six hundred customers who inquired about a truck in the past year. He wants the BDC to call the list Thursday and Friday and send a bulk text Saturday morning. Some of those numbers were typed wrong at a desk. Some belong to people who changed carriers or dropped the line. And some belong to people who have asked, somewhere, not to be called, which is the group that turns a sale announcement into a complaint.
So he opens the CRM, clicks Marketing Tools on the dock, then Phone Validator. He names the list, uploads the CSV, and runs it. The Results view comes back with the Do Not Call flags and the scrubbed numbers, the run lands in the Phone Lookup History with his name on it, and he builds the call list from what is left. Thursday morning the BDC agents open the leads and dial from the softphone in the browser, and every number they reach is one that was worth reaching.
The same check runs in miniature on every lead. The lead detail page carries a validity dot for the phone number, so an agent about to click to call sees whether the number was checked and what it came back as. If the dot says the number is dead, she goes to the email or asks for a better number in the first reply, instead of dialing a disconnected line, marking the lead as no answer, and moving on from a customer who was never actually reached.

Where the Phone Validator lives in the CRM
On the dock. The bottom taskbar in LeadLocate CRM carries My Office, Marketing Tools, Referral Program, Design Studio, My Inventory, SecureWebX, Reports, Feedback, More Options and Jax. Click Marketing Tools and the Phone Validator is one of eight tiles, the one that reads Weed out dead numbers. Every user who can see the dock can find it, though in practice it is run by a manager with a list rather than by a salesperson between customers.
The results also live on the lead. Validation results are shown as validity dots on the lead record, next to the phone number and the email address, so the person working the lead sees the outcome of a check a manager ran on a whole list without opening the tool. That shared result is what turns a marketing hygiene job into something the sales floor uses on the next call.
On the phone, the LeadLocate mobile app shows the same lead record with the same dot, alongside the VoIP dialer and the text composer, so a salesperson on the lot knows whether the number is live before he taps Call. The list tool itself is a desktop job, and the mobile app shows its results rather than its form.
Do Not Call, scrubbed, and what the columns mean
The Results view has two columns that matter most. Do Not Call flags a number the store should not contact, and Scrubbed shows the number has been through the check. A number marked Not checked has not been run yet, which happens when a list is added to but the new rows have not been validated. A manager who sees Not checked on a list before a call session runs it again, and the history table records the second run next to the first.
The Do Not Call flag is the one that keeps a store out of trouble. The Phone Validator is the list side of that protection; the lead side is the DNC Blacklist page under Billing and Admin, which blocks inbound spam in both directions and runs a live do not call lookup on a number. Together they cover the two ways a bad number reaches a salesperson: on a list a manager built, or on a lead that arrived on its own.
Validation draws on lookup credits, shown as a Credits figure on the page and topped up from My LeadLocate, the account portal, so a manager knows before a large run whether the whole list will be checked. The tool checks numbers; it does not touch leads. Every lead delivered to your store is delivered whether or not its number validates, and a lead with a dead number is still a lead with an email address and a name.
What it replaces and what a bad list costs
The direct replacement is a standalone phone lookup service: a separate account, an export from the CRM, an upload, a download, an import back, and a spreadsheet nobody trusts a week later. The steps are the problem. Every one of them is a reason the check gets skipped before a call session, and a skipped check is how a BDC spends Thursday dialing disconnected lines and how a store texts a number on a do not call list on Saturday morning.
The cost of a bad list is paid twice. The first payment is time: an agent who dials thirty dead numbers in an hour has made no contacts and logged thirty no answers that will be worked again next week. The second is exposure: a sale text to a number that should not have been contacted is a complaint at best. A list checked two clicks from the dialer, with the Do Not Call flag on the same screen as the number, is how a store avoids both. The what to expect from car sales leads page explains why a lead that is hard to reach is still worth reaching, which is exactly why the number has to be right.
The Phone Validator is part of every LeadLocate plan, from CRM Only at $199 a month to the lead plans, with lookup credits managed from the account portal. The pricing page lists what each plan includes.
The compliance angle: a checked list with a name and a date on it
Calling and texting rules are stricter than email rules, and the record matters more. The Phone Validator supports a store in two ways. First, the Do Not Call flag surfaces the numbers a store should not contact before anyone contacts them, on a list built for calling or texting. Second, the Phone Lookup History records that the store checked the list, when, by whom and how many numbers, which is the ordinary diligence a manager wants on file when a question is asked later.
The validator is about hygiene and flags, not consent. A number that is live and not flagged is still a number that should only be texted with the customer's permission, and consent lives in the lead record and the communications log, which records every call, text and voicemail with its date. Texting from the CRM carries delivery status on every message and handles opt outs, and the two way texting inbox page covers that side. The DNC Blacklist handles the lead that arrives already on a list, and the blacklist import brings a store's own do not contact list in so it applies everywhere.
How to turn it on
There is nothing to turn on. The Phone Validator is part of LeadLocate CRM from the day the account is created and appears under Marketing Tools for every user with access to the dock. The first run takes a list and a name. If the store's contacts are not in the CRM yet, contact import brings the spreadsheet in first, and the validator can be run on the imported list before any call list or campaign list is built from it.
Lookup credits are managed by the Master Administrator from My LeadLocate, and the Credits figure on the validator page shows the balance before a run. Our team walks through the tool on the onboarding call, and the pre-recorded live demo shows a list going in and the Results view coming back if you want to see it before you sign up.
What to pair the Phone Validator with
Pair it with Bulk Texting and Voicemail Drops before any list send, because a text or a drop to a dead number is a credit spent on nothing and a text to a flagged number is worse. Pair it with the VoIP softphone and click to call, where the validity dot on the lead is the difference between a contact and a no answer. Pair it with the DNC Blacklist so the list side and the lead side of do not call protection are both covered.
Pair it with the Email Validator so a list is checked on both channels in one sitting, and with contact import for any list arriving from outside the CRM. Pair it with tracking phone numbers and caller ID verification, which keep the store's outbound number trusted in the same way the validator keeps the list clean. And pair it with the Reports dashboard on the dock, where call activity by user and by day shows whether cleaner lists are producing more conversations, which is what the BDC manager is measured on.
Frequently Asked Questions
Is the Phone Validator free with LeadLocate?
The tool is part of every plan, from CRM Only up. Lookups draw on credits that the Master Administrator tops up from My LeadLocate, and the Credits figure on the page shows the balance before a run.
How do I check a list of phone numbers?
Open Marketing Tools on the dock, choose Phone Validator, give the list a name, then paste numbers one per line or upload a CSV file. The Results view shows Do Not Call and Scrubbed per number, and the run appears in the Phone Lookup History with a Report Link.
Does it flag do not call numbers?
Yes. The Results view has a Do Not Call column. For a single lead that arrived on its own, the DNC Blacklist page under Billing and Admin runs a live do not call lookup on the number and blocks inbound spam in both directions.
Do results show on the lead?
Yes. Validity dots on the lead record show the outcome for the phone number and the email address, so an agent sees whether a number has been checked before clicking to call.
Does validating change which leads I receive?
No. Every lead delivered to your store is delivered regardless of whether its number validates. The validator is a hygiene tool for your outbound calling and texting lists, not a filter on your leads.
What does Not checked mean in the results?
The number has not been run through the validator yet, usually because rows were added to a list after the last run. Run the list again and the new rows are checked, with the second run recorded in the history.
