Single Sign On, Quick Access PIN and Biometric Login

A salesperson should sign in once in the morning and never think about it again. One LeadLocate login carries a person into every product, and the phone app opens with a face, a fingerprint or a PIN.

Single sign on in LeadLocate means one login launches the LeadLocate CRM, SecureWebX, Inventory Link and the My LeadLocate account portal. Each user also has a Quick Access PIN, set in User Management, for fast re-entry on the desktop and the phone app; the phone app adds biometric login; and the account portal adds passwordless login by magic link or text message. It is part of every plan.

What single sign on means at LeadLocate, in one sentence

One login, tied to one person, opens everything that person is allowed to use: the LeadLocate CRM at the desk and on the phone, the SecureWebX credit application console, the Inventory Link portal and the My LeadLocate account portal. There is no second username for the credit app system, no third password for the inventory tool, and no shared login taped under the keyboard so the weekend crew can get in.

Around that one login sit three conveniences that decide whether people actually use it. A Quick Access PIN, per user, for getting back into the CRM and the phone app quickly during the day. Biometric login on the LeadLocate phone app, so the app opens with a face or a fingerprint. And passwordless login on the account portal, by magic link or text message, for the owner who checks an invoice twice a month and should not have to remember a password to do it. Sign in is not a feature anyone asks for in a demo. It is the feature that decides, at eight in the morning on a Saturday, whether the CRM gets opened or the personal phone does.

How a store uses it on a normal day

A rep walks onto the lot at eight with the phone app already on her phone. She opens it with her face, and the Workspace is there: appointments, to dos, a new lead that came in overnight. She texts the lead from the app. At nine she sits down at a shared desk in the showroom, opens the desktop CRM, and gets back in with her Quick Access PIN rather than typing a password in front of a customer. At eleven she has a buyer who wants to apply for financing, so she texts him an apply link; when the application comes back, the finance manager opens the SecureWebX console from the SecureWebX button on the CRM dock, already signed in, and starts working it.

Across the floor the used car manager needs to fix a photo on a unit. He clicks My Inventory on the dock and is inside Inventory Link without a login screen. Where it lives: the dock, the app and the account portal

In the desktop CRM, single sign on shows up as the buttons that just work. SecureWebX on the dock opens the credit application console for the same user, signed in. My Inventory on the dock opens Inventory Link the same way. The account portal has a launcher that goes the other direction: from My LeadLocate, a user launches into the CRM, Inventory Link and SecureWebX from one place, and its account access page shows which users can launch which apps.

On the phone, the LeadLocate mobile app signs in with the same login as the desk, then offers biometric login and Quick Access PIN login so the full password is typed once and rarely again. Because the same identity is used everywhere, the roles set in User Management travel with the person: a User sees what a User sees, whether the door was the desktop CRM, the phone app, the SecureWebX button or the portal launcher. There is one roster and one set of rules, however many doors there are.

The Quick Access PIN: fast re-entry without a password on screen

Dealerships have a specific problem most software ignores: the CRM is used at shared desks, in front of customers, on a lot, and dozens of times a day. Typing a strong password in each of those situations is slow and public, so people either choose a weak password or stop signing out. The Quick Access PIN is the answer. Each user has their own PIN, set per user in User Management alongside their role, and uses it to get back into the desktop CRM and the phone app quickly during the day after the full sign in.

Because the PIN belongs to one user, it keeps the store's record honest. The rep who steps up to a shared showroom desk and enters her PIN is working as herself, so the text she sends carries her name and activity reporting counts it for her, rather than for whoever signed in that morning and walked away. A manager who has ever tried to reconstruct who actually texted a customer from the shared BDC computer knows the value of that. Biometric login on the phone, passwordless login on the portal

The phone app opens with a face or a fingerprint, using the biometrics already on the phone, once the user has signed in the first time. For a rep who opens the app forty times a day on the lot, that is the difference between working leads from the CRM and working them from the personal messaging app that is one thumb away. Biometric login is also safer than the alternative, because the alternative is a four digit phone passcode and an app that is left signed in.

The account portal takes a different approach for a different user. The person paying the bill opens My LeadLocate a few times a month and should not need a password for it, so the portal offers passwordless login by magic link, sent to the email that is the person's identity on the account, or by text message. Tap the link, or enter the code from the text, and the dashboard is open. The help center article covers the two options. Password, PIN, biometrics and magic link are four doors into one identity, matched to where and how often each person actually shows up.

What it replaces, and what that costs elsewhere

It replaces password sprawl. The typical store runs a CRM from one vendor, a credit application tool from another, an inventory tool from a third and a billing portal from each, and every person on the team has a login for some of them, a shared login for others and a sticky note for the rest. The costs are the ones nobody invoices: the ten minutes a manager spends resetting a rep's password for the inventory tool, the former employee who still has a working login to the credit app system, the shared account that means nobody knows who did what.

Because SecureWebX, Inventory Link and the account portal are part of the same LeadLocate platform as the CRM rather than products from other vendors, one identity is possible in the first place. The compliance angle: one identity, removed once

A store's record is only as good as its attribution. When a customer disputes what a salesperson texted, when a manager reviews a recorded call, when a regulator asks who handled a do not call request, the answer has to be a person. Single sign on with one identity per user, a personal PIN and personal biometrics means the text, the call and the credit application were done by the login that did them, and the reports and the communications log say so. Shared logins, the thing password sprawl encourages, turn every one of those answers into a guess.

The other half is removal. When someone leaves, a Master Administrator removes the user in User Management and that access is gone from the CRM, the phone app, SecureWebX, Inventory Link and the account portal at once, because there was only one identity to remove. There is no checklist of five vendors to call and no login that gets forgotten. The customer information stays where it belongs, in the Customer Profile with personal information encrypted and in the credit application system, which is separate from the CRM and keeps working on its own if the CRM is unavailable. What leaves with the person is nothing.

How to turn it on, and what to pair it with

Single sign on is on from the first login; there is no identity project to run. A Master Administrator adds each person in User Management with a role and a Quick Access PIN, and that one identity is what they use everywhere. Each rep installs the LeadLocate phone app, signs in once with the same login as the desk, and turns on biometric login when the app offers it. The owner opens My LeadLocate by magic link or text message the first time an invoice is due and never looks for a password again.

Pair it with the roles in User Management, which decide what the one login can see; with the account access page in My LeadLocate, which shows the owner who can launch what; and with Team Chat, which is another place the same identity shows up, so a name in a channel is the same name on a text and a deal.
