LeadLocate for General Managers

What numbers is a general manager judged on?

What does a GM open first, before the doors open?

Two screens, in this order. The Reports dashboard on the dock, which carries activity, company and management reporting: leads in by feed, assignments, calls, texts and emails per person, appointments set and shown, and where every deal in progress sits. Then the Workspace, the CRM's home screen, where the store's appointments, reminders and to-dos for the day are listed. Both are on the LeadLocate app, so the morning read happens on the phone before the first cup of coffee, not at the desk after the first fire.

The In-Store Now flag on the Leads menu tells the floor who is physically on the lot right now, which is the GM's quickest check that the appointment board and the showroom agree. How does a GM know leads are being worked, not just assigned?

Assignment is a rule, not a manager's memory. Round robin assignment spreads new leads across the team, global lead distribution adds rules and distribution lists, and stores with more than one rooftop route by rooftop. Lead Feeds Manager gives each source its own feed and pushes every new lead into the CRM instantly with the source stamped on the record, which is what lets the Reports dashboard show closing ratio by source rather than in total.

Working the lead is automated before a human touches it and tracked after. Automated Templates send the inbound response per feed, with a master set and automation for leads that land unassigned, so a lead that arrives at lunch gets a reply while the rep is at lunch. Follow Up Processes are the multi step drips per lead type, with a restore defaults control for the manager who experimented too far. Notifications go to the emails and numbers each user chooses, with sound alerts and on screen toasts. A GM who wants to know whether a rep is keeping up looks at the Workspace to-dos and the activity report rather than walking the floor asking.

How does a GM check a conversation without asking three people?

Calls through the CRM phone system are recorded, and the transcript opens in a lightbox next to the lead; the call recording and transcription page covers it. The two way texting inbox shows every thread with delivery status on every bubble, sent, delivered or failed, with pictures and multiple attachments, and every call, text, MMS, email and voicemail lands in one communications log on the lead. When a customer says nobody got back to them, the GM reads the log, not the rep's memory.

The same log is the store's protection. The DNC Blacklist page blocks a number in both directions, imports a list the store already keeps and runs a live do not call lookup. When a rep marks a lead lost, a lost reason popup captures why, so the end of month report says something more useful than lost. Bad leads are handled after delivery, not by any sorting at the source: a rep files a Quality Control Request, a manager approves or rejects it, and it goes to replacement review.

What does the GM control at the desk?

Desking is on the main menu and runs on the DealTracker engine. The GM's lever is centralized deal defaults: doc fee, default rates and terms and the rest are set once for the store, so every pencil starts from the numbers you approved. EZ Desking builds cash, finance and lease structures with a multi pencil grid, goal seek bays, a 50 state tax matrix, semimonthly frequency, trade credit caps and three lease tax methods, and the field set covers auto, RV, powersports, marine, BHPH and fleet. The customer sees a deal page branded to the store, PIN protected, with e-signature and a revision view, and can chat with the salesperson on that page. Every deal carries a Road to Sale checklist, a deal history, a visit log and a Deal Jacket with QR intake from a phone camera, so when a deal is questioned the GM has the timeline rather than two versions of it. OEM incentives show at deal level inside the Incentives Showroom, and print packets carry payment ranges and a finance breakdown when a paper copy is needed.

How does a GM keep the appointment board honest?

The Calendar has one Calendar Settings popup with a booking link and booking hours per calendar, team availability, and a Google Calendar connect and disconnect. Round robin works on the shared team calendar as well as on leads, so an appointment set by the BDC lands on a salesperson by rule. Each rep has a public booking link, and on the phone Quick Schedule mirrors it, so a customer standing at the desk is booked in a few taps.

Show rate is where the GM's attention goes, and the platform gives it two supports: Text Automation triggered by lead activity sends the reminder, and the In-Store Now flag confirms the arrival. Appointments set and shown are on the Reports dashboard by person, which turns the Saturday morning meeting from an argument about who set what into a read of one screen.

What does the GM see on the credit side and in inventory?

Credit applications run in SecureWebX, opened from the SecureWebX button on the CRM dock under the same login. The dealer console has a dashboard with live badges and an application inbox and pipeline with status, assignee, amount and notes, so the GM can see how many applications are in, who owns each and where it sits. Every user signs in with two factor authentication, application data is encrypted at rest, and a full audit log records who opened what. OFAC screening runs on every application and adverse action notices generate from the application record. An application a customer abandoned feeds back to the CRM for follow up. Inventory is under the Inventory menu and on the phone app through Inventory Link, which takes the store's feed or imports inventory from the store's own website when there is no feed. Neither a feed nor DMS access is required to run the platform. Once inventory is in, a vehicle button in every text and email composer attaches the unit with photos and price, which is how the GM knows the units that need to move are the ones being sent.

What does the owner see above the GM, and what stays the store's own?

User Management assigns three roles, User, Manager and Master Administrator, with per user notification toggles and a Quick Access PIN per user; the user roles page covers the permissions. The owner typically holds Master Administrator and reads the same Reports dashboard the GM does, across every rooftop, from one login. Billing lives in My LeadLocate, the account portal, with invoices and receipts, add ons, Skip A Month and Automatic Renewal controls, credits, support tickets, and which users can launch which apps. There is no separate report the owner sees that the GM cannot; the difference is scope.
