What is the credit application inbox?
The credit application inbox is the working list of every application your store has received, and the pipeline is that same list arranged by stage. Both live in the SecureWebX dealer console. An application arrives from an apply link, appears in the inbox with a status, and from there it is assigned, worked, shared with a lender, decisioned and exported, with every one of those steps recorded on the application itself.
The reason a store needs this, rather than a mailbox, is that a credit application is not a message. It is a file with a life cycle. It has an owner, an amount, a set of documents, a lender waiting on it, stipulations outstanding, a decision and a notice. Email can hold the first of those and none of the rest. The inbox holds all of them, and the pipeline shows the finance office where each file is in that cycle.

How a finance office works the inbox on a normal day
The finance manager opens the console at 8:30. The Financing Dashboard shows live badges: how many applications are in, how many are unassigned, applications by status. Three came in overnight from the website apply link. She opens the first, reads the notes the salesperson left, sets the amount requested and assigns it to herself. The second is a co-applicant deal from the special finance link with a pay stub already uploaded; she assigns it to the special finance manager, who sees it appear in his list. The third is thin on income detail, so she adds a note and sends the customer an email from the application's own thread asking for what is missing.
Mid morning a lender responds through the lender portal on an application she shared yesterday. The response lands on the application, the status moves, and she records a stipulation for proof of residence. At two o'clock the salesperson on that deal asks where it stands. She does not have to search anything. The application shows the stage, the assignee, the lender share, the outstanding stip and the last note, and the salesperson can see the same thing from the CRM by opening the application in SecureWebX.
By close, the pipeline shows every application by stage and the dashboard badges are back where she wants them. Nothing depended on remembering a thread in a personal mailbox, which is the failure mode of every store that runs credit through email.

What does each application in the inbox carry?
Every application in the inbox has a status, an assignee, an amount, notes and an email thread. The status is the pipeline stage, changed with Change pipeline stage as the file moves. The assignee is set with Change assignee, and an application nobody has picked up shows as unassigned so it cannot quietly age. The amount requested is set on the application so the pipeline reads in dollars, not only in counts. Notes are a running log: a call, an update, next steps, whatever the person working the file wants the next person to know. The email thread is the correspondence with the customer, sent from the application itself through the console's Mailbox.
Around those five things sit the rest of the record. The application shows which apply link it came from. Supporting documents attach to the submission. Stipulations are tracked on the application and fulfilled by upload. Send to Lender shares are listed with their access status. OFAC screening runs against the record. Worksheets attach and detach. An audit log on the application records who viewed, edited, shared and exported it. Searching the inbox by applicant, email or reference finds a file in seconds.
Where does the inbox live: the console, the dashboard and the CRM dock
The inbox lives in the SecureWebX dealer console, which opens from the SecureWebX button in the LeadLocate CRM dock with one login. The console opens on the dashboard with its live badges, then Applications for the inbox and Pipeline for the stage view. Users are invited into the console with roles, so a salesperson sees what a salesperson should and the finance office sees the rest.
The CRM side sees the inbox too, in the way that matters to a salesperson. Completed applications and abandoned applications both flow back to the LeadLocate CRM, so the rep working the lead knows an application was started or finished without asking the finance office. Because SecureWebX runs as its own system, the inbox keeps working if the CRM is unavailable, and applications keep arriving from apply links. Anything worked in the console is retained; records are archived, never deleted.
What does the inbox replace?
It replaces the shared finance email inbox where applications arrive as attachments and age in whichever order the mail client sorts them. It replaces the spreadsheet somebody built to track which lender has which deal, the one that is accurate on the day it is updated and wrong every other day. It replaces the folder of paper applications on the corner of the desk, and the photographs of those applications on personal phones. It replaces the question, asked several times a day in most stores, of who has that deal.
It also replaces a purchase. Stores that want a real application pipeline usually buy a separate finance tool with its own login and invoice. The compliance angle: who touched the file, and when
A credit application is the most sensitive document a dealership handles, and the inbox is built around that fact. Two factor authentication runs on every sign in. Application data is encrypted at rest. A full audit log on each application records who viewed, edited, shared and exported it, alongside a security log for the account. PDFs open in a watermarked viewer with print and download gated, so an application opened from the inbox carries a watermark and cannot be quietly saved to a desktop. Every upload into the file is virus scanned.
Then retention. Archive, never delete: when an application, a user or a company is archived, every record stays. When a regulator, an auditor or a lawyer asks about an application from years back, the store finds the file, the consent version the customer signed, the disclosures shown, the lender shares, the adverse action notice and the audit trail together, from one inbox. Software supports a compliance program rather than replacing one, and the inbox is the record keeping layer that program needs.
What happens from the inbox: lender, stips, notices, worksheets, export
The inbox is where the rest of SecureWebX starts. From an open application, Send to Lender creates a code gated, expiring, revocable, watermarked share for any lender of the store's choosing, with a lender response portal for the reply; the Send to Lender page covers it. Stipulations are added to the application and fulfilled by upload, described on the stipulations workflow page. When a deal is declined, an adverse action notice is generated from the application record rather than typed from memory. Worksheets pencil cash, finance and lease at parity with the CRM desking engine and produce a deal recap PDF. When the file is done, it exports to your lender or DMS in the format it expects: STAR XML, fixed width, CSV or JSON.
Every one of those actions lands back on the same application in the same inbox, which is the point. The finance office has one place to look, and the answer to what happened with this deal is a record.
How to turn it on and what to pair it with
There is nothing to set up.
