Team Chat for Dealership Staff
The sales floor, the BDC and the tower talk all day. Team Chat puts that conversation inside the CRM, for every user, instead of in a group text on personal phones.
What Team Chat is, in one sentence
Team Chat is the messaging tool for the people who work at your dealership, built into LeadLocate CRM, with channels, direct messages, reactions, polls, file upload, presence and read receipts, available to every user on the account. It is the conversation that is not with a customer: the manager telling the floor a unit just got marked down, the rep asking the tower for a number, the BDC telling a salesperson their two o'clock just pulled in, the finance office asking who has the keys to the demo.
That conversation has always existed. What changes is where it lives. In most stores it lives in a group text on personal phones, which means the store does not own it, cannot see it, and loses it every time a phone or a salesperson leaves. Team Chat moves it into the same LeadLocate CRM that holds the leads, the calendar and the desking tool, so the question and the thing the question is about are on the same screen. A rep asking for a number on a deal has the deal open. A manager answering has the same lead in front of them.
How a store uses it on a normal day
The day starts in the Sales Floor channel. The sales manager posts the units that need to move this week and the weekend spiff sheet as a file upload, and the reps react to it rather than replying one by one, so the channel stays readable. A used car manager posts a poll about which two units to feature on the front line and the floor votes between customers. Presence shows who is actually in the building and who is still on the way, which matters when a walk in needs a rep now.
Mid morning, a BDC agent books a fresh appointment and sends the assigned salesperson a direct message with the customer's name and the unit. The read receipt tells her the rep saw it, so she stops chasing him. At the desk, a rep is working a payment with a customer across from him and does not want to leave. He messages the tower, the manager reads it, opens the same deal in Desking, and sends back the number. The customer never saw the rep walk away, and there is no post it note with a payment on it lying on a desk.
After close, the finance manager posts in the Managers channel that two deals still need stipulations, with the checklist attached, and the general manager reads it from the phone app at dinner without calling anyone. None of that touched a personal phone number, and all of it is there in the morning.

Where it lives: the top bar at the desk, the Team button on the phone
On the desktop CRM, Team Chat sits in the top bar with Send a Text, Make a Call, Send an Email, Notify, the Favorites bar, Support and Schedule Training, so it is one click from any screen rather than a separate application to switch to. A rep working a lead in the Leads menu can open Team Chat, ask the question, and get back to the lead without losing their place.
On the phone, Team Chat is one of the five items on the app's bottom dock: Text, Call, New Lead, Email and Team. The LeadLocate mobile app treats it as a first class destination because that is where most of the conversation happens for people who are on the lot, in the service drive, or on a demo. Channels, direct messages, reactions, polls, file upload, presence and read receipts are the same on the phone as at the desk. A manager between tasks can answer a rep from the phone without walking back to the office, and a rep who never opens the desktop CRM still has the whole team in a pocket.
Channels, direct messages, polls, presence and read receipts, explained for a sales floor
Channels are rooms the store creates for a purpose. Most stores start with three: one for the whole sales team, one for the BDC, and one for managers. Groups add a channel per rooftop or per department. A channel is where announcements live, so a rep who was off yesterday can read what was said rather than asking around. Direct messages are the one to one conversation between any two users, which is where most day to day questions go.
Reactions keep channels readable. Twelve reps acknowledging a spiff sheet with a thumbs up is one line of reactions rather than twelve replies. Polls settle small decisions quickly, from which unit goes on the front line to whether the Saturday meeting moves to eight. File upload puts a spec sheet, a checklist or a photo of the lot in the conversation where it was asked for. Presence shows who is online, which for a dealership means who is available to take a walk in or a hot lead right now. Read receipts answer the question every BDC manager asks a dozen times a day: did he see it? They also change behavior; a message everyone knows was read tends to get acted on.
What it replaces, and what that costs elsewhere
The honest answer is that it replaces a group text, and the group text is more expensive than it looks. It runs on personal phones the store does not control. It mixes the customer's phone number, sent as a screenshot, with lunch orders. It disappears when the rep who started it leaves. And it puts the store's internal conversation in a place a manager cannot see, which means nobody can coach it.
The alternative most stores consider is a general purpose team messaging product with per user seats, a separate login, and no idea what a lead or a deal is. That is another monthly line item for a tool that has to be explained to every new hire. Team Chat is included for every user on every LeadLocate plan, from CRM Only up, with no seat count to manage and no separate bill; the plans are on the pricing page. And because it lives in the CRM, the message about a lead is a click from the lead. The mobile CRM for car sales teams page covers the wider case for running the store from a phone; this page is about the conversation layer inside it.
The compliance angle: keep customer conversation in the lead, keep team conversation in the store
There are two conversations at a dealership and they should never share a channel. The customer conversation belongs in the lead record: the texting inbox, the email inbox, the call recordings and the communications log that holds every call, text, MMS, email and voicemail for that customer in one place. That is where consent lives, where the do not call check runs, and where a manager can review what was said. The team conversation belongs in Team Chat, owned by the store, tied to the users the store controls in User Management.
When both live in the CRM, the store stops doing the thing that creates most of its exposure: photographing a customer's information and sending it around on personal phones. A rep who needs a manager to look at a lead sends the manager to the lead, not a screenshot of it. A rep who leaves takes no thread with them because the thread was never theirs. And when a question comes up about what the team was told, in a dispute or a review, the store can look at its own record rather than asking a former employee for their phone. The texting inbox handles the customer side; Team Chat handles the store side; the line between them is the policy.
How to turn it on
There is nothing to switch on. Team Chat is part of LeadLocate CRM for every user from the first login. The setup that matters is social rather than technical. A Master Administrator or Manager creates the first channels, usually the whole team, the BDC and the managers, and posts the first announcement there rather than in the group text, so the team learns where announcements now live. Reps install the phone app, sign in with the same login as the desk, and find Team under the Team button on the dock. The help center article shows the clicks for channels, direct messages and polls.
Two habits make it stick. First, managers answer in Team Chat, not by walking over, for a week, so reps learn a message gets a reply. Second, the group text is retired on purpose, with a last message in it saying where the conversation moved. Stores that do both are fully over within days because the tool is already open on every screen the team uses.
What to pair it with
Team Chat is most useful next to the tools that create the questions. Lead notifications and alerts tell a rep a new lead landed; Team Chat is where the rep asks who else is talking to that customer. The Workspace lists the appointments and to dos for the day; the BDC channel is where the schedule gets adjusted when a customer moves. The desking tool produces the number; the direct message to the tower is how the rep asked for it. In-Store Now marks who is physically on the lot; a channel post is how the floor hears that the customer with the trade just arrived.
Keep Deal Chat separate in your head. Deal Chat is the conversation between a customer and a salesperson on a customer deal page, with link previews and photo drops. Team Chat is between employees. Both are in the CRM, both are on the phone app, and they never mix. If you want to see Team Chat alongside the rest of the CRM before signing up, the pre-recorded live demo shows the desk and the phone together, and the contact page reaches a person who can talk through how a store your size usually sets up its channels.
Frequently Asked Questions
Is Team Chat included for every user or only managers?
Every user on the account. Channels, direct messages, reactions, polls, file upload, presence and read receipts are available to Users, Managers and Master Administrators alike, on every plan, with no per seat charge.
Where do I find Team Chat?
In the top bar of the desktop CRM, next to Send a Text, Make a Call and Send an Email, and under the Team button on the bottom dock of the LeadLocate phone app.
What is the difference between Team Chat and Deal Chat?
Team Chat is between employees at the store. Deal Chat is between a customer and a salesperson on a customer deal page. Both are in the CRM and the phone app, and they stay separate on purpose.
Should reps share a customer's information in Team Chat?
Send the manager to the lead rather than a screenshot of it. Customer conversation and customer information belong in the lead record, where the texting inbox, call recordings and communications log keep them; Team Chat is for the store's internal conversation.
Does Team Chat work on the phone?
Yes. The LeadLocate mobile app carries the same channels, direct messages, reactions, polls, file upload, presence and read receipts, and Team is one of the five items on the app's bottom dock.
Can I post a file or run a poll in a channel?
Yes. File upload puts a spec sheet, a checklist or a lot photo in the conversation, and polls settle small decisions such as which unit goes on the front line without a meeting.
Move the store's conversation off personal phones and into the CRM
Team Chat is included for every user on every LeadLocate plan, month to month. See it at the desk and on the phone in the demo, or ask us how stores your size set up their channels.
