My Office: A Personal Desk Inside the CRM

Every salesperson builds a desk of their own out of sticky notes, browser tabs and a second phone. My Office moves that desk inside the system the store owns.

My Office is the personal desk on the dock of LeadLocate CRM. Each user arranges a canvas of widgets for their own work: text to speech for reading a note aloud, AI images for a quick visual, a VIN decode, link previews, and saved spaces so a rep keeps one layout for the floor and another for the desk. It is included in every LeadLocate plan.

What My Office is, in one sentence

My Office is the personal desk inside LeadLocate CRM: a canvas each user lays out with the widgets they use, kept in saved spaces, with text to speech, AI images, a VIN decoder and link previews built in, one click from the dock. It is the one part of the CRM that is deliberately about the person rather than the store. The Workspace is where the store's tasks and appointments live; My Office is where a rep keeps their own way of working.

Every salesperson already has a desk like this. It is the sticky notes on the monitor, the browser with thirty tabs, the notes app on a personal phone, the VIN decoder site bookmarked years ago, the image someone made for a social post. None of that lives in the store's system, which means none of it survives a new laptop, a new phone or a new employer. My Office puts that desk inside the CRM, where it is backed up, signed in with the same login as everything else, and next to the leads it exists to serve. The personal CRM for individual car salespeople page covers the wider case of a rep running their own book on the platform; this page is the desk.

How a salesperson uses it on a normal day

Eight in the morning, coffee, the dock. He opens My Office and it loads his desk space: a notes widget with the three customers he promised to call before ten, a link preview of the truck listing a customer texted him last night, and the VIN decode widget with the trade a customer mentioned on the phone, already decoded to year, make, model and trim so he knows what he is looking at before she pulls in. He taps text to speech on the long note a manager left him and listens while he checks the lead inbox.

Midday he switches to his floor space, a lighter layout with the notes and the VIN decoder up front, because on the lot he wants two things and not ten. A customer asks what a certain color looks like on a certain body style and the store has no picture; he generates a quick AI image in the widget to show the idea, then walks her to the closest unit on the lot. It is not a photo of the car and he says so. It moves the conversation forward, which is what it was for.

End of the day, back at the desk space, he drops links to the two deals he is working so they preview on his canvas tomorrow morning. Nothing about that day was in a personal notes app or on a sticky note. When the laptop is replaced next month, the desk is still there, because it lives on his account and not on the machine.

Where it lives: the dock, spaces and widgets

My Office is the first button on the dock at the bottom of LeadLocate CRM, ahead of Marketing Tools, the Referral Program and Design Studio. It opens a canvas. Widgets are placed on the canvas and arranged the way the user likes; a layout is saved as a space, and a user keeps as many spaces as they want, one for the desk, one for the floor, one for month end. Switching spaces is a click.

The widgets are the ones a salesperson reaches for during the day: notes, text to speech that reads a note or a pasted message aloud, an AI image generator for a quick visual, a VIN decode that turns a seventeen character VIN into a vehicle description, and link previews that unfurl any URL into a card with its title and picture so a desk full of links is readable at a glance. Everything on the canvas belongs to the signed-in user; it is a personal desk, not a shared board. For the shared board, Team Chat has channels, direct messages and polls for the whole store.

On the phone, the LeadLocate mobile app carries the day-to-day tools, the inbox, the dialer, the VIN lookup and the Workspace, so the desk canvas is a desktop habit and the phone stays lean.

What it replaces, and what a personal desk costs elsewhere

Nobody buys a personal desk tool; they assemble one. A free notes app on a personal phone. A browser full of pinned tabs that disappear when the laptop is replaced. A VIN decoder website that shows six ads before the trim. An image tool with its own login, paid monthly by the rep, that the store has never heard of. A second phone for customers, which is the most expensive item on the list because of what it costs the store when the rep leaves and the customers go with the phone.

My Office is part of the platform subscription, included in every plan on the pricing page, with CRM Only at $199 a month covering it along with the inbox, desking and the communication tools. It is not the biggest feature in the CRM, and it would be dishonest to sell it as one. Its value is that the rep's own way of working now lives inside the store's system, with one login, next to the lead record, backed up and still there when the laptop or the phone is replaced. That is worth more than the tools it replaces cost.

The compliance angle: customer notes stay in the store's system

The personal desk a rep builds on their own is where customer information quietly leaks out of the dealership. A note with a customer's name, number and what they can afford on a personal phone is outside the store's record keeping, outside its encryption, outside its opt out handling, and outside its reach when the employee leaves. It is also the note a customer would not expect to exist anywhere but at the store.

My Office keeps that note inside LeadLocate CRM, on the user's account, under the store's User Management roles. The customer's actual record still lives in the Customer Profile, where personally identifiable information is stored encrypted, and the desk is where the rep keeps the working notes around it. When a rep leaves, their account is closed and their desk stays with the store rather than walking out in a pocket. The customer record itself, the one the store needs when someone is out, stays on the Customer Profile where every user with the right role finds it. It is a small feature with a large consequence: the store's customers stay the store's customers.

How to turn it on

Nothing to enable. Click My Office on the dock in LeadLocate CRM, add the widgets you want, drag them where you want them, and save the layout as a space. Make a second space for a different part of the day if it helps. Paste a VIN into the decoder, drop a link to see it preview, and try text to speech on a long note. The desk is yours from the first click, and every user in the store gets their own.

A store that wants a particular widget on every rep's desk by default, a store-wide space a manager designs, or a widget the studio does not offer today can ask for it; that is available on request and our team puts it in production for your dealership. The pre-recorded live demo shows the dock and the desk alongside the rest of the CRM.

What to pair it with

My Office is the rep's own corner; the tools around it are what make it useful. Pair it with the Workspace, where the store's appointments, reminders and to-dos live, so the personal notes on the desk and the assigned tasks on the Workspace are two clicks apart rather than two systems apart. Pair it with Jax, the AI assistant in the taskbar, for the questions a rep would otherwise open a search tab for. Pair it with Design Studio on the same dock for the cards and pieces a rep hands out, and with VIN decode and the vehicle database when the trade the rep decoded on the desk becomes a deal in DealTracker.

For the whole store, Team Chat is the shared board and the Reports dashboard is the scoreboard. My Office is the place between them where one person keeps their day in order. The all features page lists everything else on the dock and in the menu.

Frequently Asked Questions

What is My Office in LeadLocate CRM?

A personal desk on the dock. Each user lays out a canvas of widgets, including notes, text to speech, AI images, a VIN decoder and link previews, and saves layouts as spaces. It is the rep's own corner of the CRM.

Is My Office shared with the team?

No. The desk belongs to the signed-in user. Team Chat is the shared board for channels, direct messages and polls. The customer record itself stays on the shared Customer Profile, so the store never depends on one person's desk.

What are saved spaces?

Named layouts of the canvas. A rep might keep a desk space with everything, a floor space with only notes and the VIN decoder, and a month end space. Switching is one click.

Are the AI images real photos of the car?

No. They are generated visuals for illustrating an idea, such as a color on a body style, and a rep should say so when showing one. Real unit photos come from the store's inventory in Inventory Link.

Does My Office work on the phone?

The desk canvas is a desktop tool. The LeadLocate mobile app carries the inbox, dialer, VIN lookup and Workspace so the phone stays lean on the lot.

Is My Office extra?

No. It is part of every LeadLocate plan, month to month, including CRM Only at $199 a month. Every user in the store gets their own desk.
