How does the first text and the first email go out?
The rep opens the lead and texts from the two way texting inbox, which shows delivery status on every bubble, sent, delivered or failed, so the department knows whether the customer received anything before deciding they went quiet. RCS messaging runs where the customer's phone supports it and falls back to SMS automatically. The vehicle button in the composer attaches the unit from inventory with photos and price, which is how a vehicle goes out by text without a screenshot, and trackable short links report who clicked. The AI writing assistant drafts the message on request, AI merge fields personalize it, and voice dictation lets a rep talk instead of type.
Email is its own inbox with a composer, single message view and archive. Email domain authentication sends from the store's own domain rather than a shared one, which is what keeps the department's mail out of the spam folder. The Email Validator and Phone Validator show validity dots on the lead, so a rep knows the number is live before dialing it. Every call, text, MMS, email and voicemail lands in one communications log on the lead.
How does the internet manager set the appointment and keep it?
Each rep has a public booking link with booking hours, set in the one Calendar Settings popup, and the rep drops that link into the text so the customer picks the time. Team availability is on the shared calendar, round robin works on the calendar as well as on leads, and a Google Calendar connect keeps the rep's personal calendar in step. On the phone, Quick Schedule mirrors the rep's booking link for the customer who calls instead of clicking.
Keeping the appointment is Text Automation's job: a reminder triggered by lead activity, and the In-Store Now flag when the customer walks in, so the appointment board and the showroom agree. Appointments set and shown are on the Reports dashboard per rep, which is the show rate the GM asks about, read from one screen.
What happens to the leads that go quiet?
Most internet leads do not answer the first message, and the department is judged on what happens next. Follow Up Processes run a multi step drip per lead type, texts and emails in the order the manager set, with a restore defaults control. Email Automation carries the long tail, and Texting Chatbots text back when a customer replies to a campaign after hours. A Voicemail Drop from the library goes to a whole list without a rep dialing each number.
Bulk Texting and Bulk Email with recipient lists handle the month end push, and keyword triggers can act on what a customer texts back. The DNC Blacklist page blocks a number in both directions and runs a live do not call lookup, and blacklist import brings in the list the store already keeps, so the department's persistence stays inside the rules.
