LeadLocate for BDC Managers

The BDC's day on the platform: leads land by rule, every call is recorded, every text carries delivery status, the missed calls get answered, and the appointments hand to the floor on one calendar.

For a BDC manager, LeadLocate is the phone room and the texting room in one login: round robin puts each lead on the next agent, the browser softphone records every call with a transcript, the two way texting inbox shows delivery status on every bubble, the virtual receptionist and ring lists cover the calls nobody caught, and the Reports dashboard shows contacts, sets and shows per agent.

What numbers is a BDC manager judged on?

Contact rate, appointments set, appointments shown, and the units the store sold from those appointments. Underneath them: dials and talk time per agent, response time on a new lead, and how many leads went to an agent and were never touched. The GM wants show rate by agent and by source; the owner wants to know what the department costs per appointment that showed. A BDC manager is graded on volume and persistence, and on proving both from a record rather than an agent's word.

LeadLocate keeps that record by default, because the phone and the texting run inside the CRM instead of beside it. Every call is recorded, every text carries delivery status, every appointment sits on one calendar, and the Reports dashboard reads all of it per agent. This page walks a BDC manager's day through the platform in the order the screens get used, with the real names on screen, then covers what the GM sees above you and how to start. The LeadLocate CRM product page covers the software module by module if you want that view.

What does a BDC manager open first?

The Reports dashboard on the dock, for yesterday: leads in by feed, calls, texts and emails per agent, appointments set and shown. Then the Workspace, the CRM's home screen, which lists the department's appointments, reminders and to-dos for the day with snooze and bulk clear, so the manager knows which follow ups are already late before the first agent sits down. Both are on the LeadLocate app, which is where the read usually happens.

The In-Store Now flag on the Leads menu shows who from yesterday's appointment list is physically on the lot right now, which is the fastest show rate check there is. Team Chat carries the morning note, with channels, direct messages, presence and read receipts, so the manager knows who read it rather than hoping the group text reached the agent working from home.

How does a lead reach the right agent and get its first reply?

Lead Feeds Manager gives each source its own feed, custom source feeds handle the ones nobody else supports, and every new lead pushes into the CRM instantly with the source stamped on it. Round robin assignment puts the lead on the next agent in rotation, global lead distribution adds rules and distribution lists, and stores with more than one rooftop route by rooftop, so a centralized BDC can serve several stores from one login. Notifications reach the agent by the emails and numbers they chose, with a sound alert and an on screen toast.

The first reply is already out before the agent opens the lead: Automated Templates send the inbound response per feed, from a master set with automation for leads that land unassigned. The manager decides what that first message says and how quickly a human follows, and the Reports dashboard shows both halves. Duplicate leads merge into one record, so two agents are not calling the same customer from two records.

How does the phone room run inside the CRM?

The VoIP softphone runs in the browser, click to call dials from any record, and a call can be triggered to a physical desk phone instead. An agent at home works the same rotation on the same store number as an agent in the building. Inbound calls show a caller ID name lookup, outbound caller ID can be confirmed, and the Phone Validator shows a validity dot on the lead so an agent is not dialing a dead number.

Every call is recorded and the transcript opens in a lightbox next to the lead; the call recording page covers it. That is the coaching tool: the manager reads three transcripts over coffee instead of sitting beside three agents for an hour. Tracking phone numbers are provisioned per source, so the calls from the mailer and the calls from the website are two lines on the report. The whole inbound stack, answered and logged, is described on the BDC phone service page.

What happens to the inbound calls the BDC misses?

Not every call lands while an agent is free, and the platform covers the gap in layers. The virtual receptionist switches on or off, hours can be set to 24 hours, and press 5 call screening is there when the store wants it. Call forwarding rings a Forward Calls To list built from the dealership's own users, so a missed call at the desk rings the manager's phone next; the ring lists page shows the setup. Business hours routing sends after hours calls where the manager decides, and missed call handling with answering service controls covers what is left.

The IVR call flow builder holds the store's options, uploaded audio and revisions, so sales and service callers are sorted before an agent picks up. Company and per user voicemail greetings are recorded in the browser. Every missed call still lands in the communications log on the lead, so the morning Workspace shows who called overnight and nobody has to pull a carrier report to find out.

How does the manager run texting at scale and keep it inside the rules?

The two way texting inbox shows every agent's threads with delivery status on every bubble, sent, delivered or failed, with pictures and multiple attachments, and RCS runs where the customer's phone supports it with automatic SMS fallback. The manager can open any thread and step in. The vehicle button in every composer attaches a unit with photos and price, trackable short links report who clicked, and the AI writing assistant drafts a message on request.

At scale, Bulk Texting goes to recipient lists, Text Automation fires on lead activity, Texting Chatbots text back when a customer replies to a campaign at night, and a Voicemail Drop from the library reaches a whole list without an agent dialing each number. The rules live on the record: the DNC Blacklist page blocks a number in both directions, imports the list the store already keeps, and runs a live do not call lookup, and the do not call page explains it. Keyword triggers act on what a customer texts back, so a stop request is handled by the system rather than by an agent remembering.

How does the BDC hand an appointment to the floor?

Each agent and each salesperson has a public booking link with booking hours, set in the one Calendar Settings popup, and the agent drops the link into the text or books the slot directly. Round robin works on the shared team calendar as well as on leads, so the appointment the BDC set lands on a salesperson by rule and the floor manager sees it on the same calendar the BDC used. A Google Calendar connect keeps personal calendars in step.

Text Automation sends the reminder, and the In-Store Now flag confirms the arrival, which closes the loop the BDC is judged on. Before the visit, an agent can text a SecureWebX apply link so the customer completes the credit application on a phone, and the lead record, with the Customer Profile and every conversation, is what the salesperson opens when the customer walks in. Nothing is retyped between departments.

Which reports before going home, and what does the GM see?

The Reports dashboard per agent: dials, contacts, texts, appointments set and shown. The call logs for who dialed and who did not. The lost reason popup makes an agent say why a lead was marked lost, so the day's losses read as reasons. Quality Control Requests show the leads agents flagged as bad, which the manager approves or rejects for replacement review; every lead in the store's zone is delivered to that store and only that store, prescreened at capture and backed by that review, so a bad lead costs the room nothing.

The GM reads the same dashboard across the store, hears the same recordings and opens the same threads. User Management gives the BDC manager the Manager role and the GM Master Administrator, with per user notification toggles and a Quick Access PIN per user; the user roles page covers it. All of it is built so the room keeps selling. The store's main phone line is the store's own, the website is the store's own wherever it is hosted, and every dial, text, appointment and note an agent makes is safe on the record the moment it happens, so the dashboard the GM reads at six is built from the same day the room actually worked.

How does a BDC manager start?

Every plan is month to month with no long term contract. CRM Only starts at $199 per month for a department that already has its own lead sources; plans with exclusive local leads start higher and include the full CRM, because the CRM is what receives and delivers them. Leads can be routed into a CRM the store already runs at no price change. Current plans and figures are on the pricing page. An inventory feed and DMS access are not required.

Setup for the BDC: users and the Manager role, tracking numbers per source and a receptionist choice, the Forward Calls To ring list, Lead Feeds Manager pointed at every source, Automated Templates per feed, Follow Up Processes reviewed against how the room actually follows up, and a booking link per agent. Our team does it with you. The recorded demo shows the phone room before you commit, and the contact page reaches a person. The agents have their own page, and so does every other role, on the solutions hub.

Frequently Asked Questions

What does a BDC manager at a car dealership do on LeadLocate?

Runs the rotation with round robin and distribution rules, sets the Automated Templates that answer each lead, watches the two way texting inbox and the call recordings, covers missed calls with the virtual receptionist and ring lists, hands appointments to the floor on the shared calendar, and reads contacts, sets and shows per agent on the Reports dashboard.

Can BDC agents work from home on it?

Yes. The VoIP softphone runs in the browser and the LeadLocate app runs on the phone, so an agent at home works the same rotation on the same store number, with every call recorded and every text logged the same way.

Are the calls recorded?

Yes. Calls through the CRM phone system are recorded and a transcript opens in a lightbox next to the lead. The manager and the GM can read any conversation from the record.

What happens to a call nobody answers?

The virtual receptionist, the Forward Calls To ring list, business hours routing and missed call handling cover it in layers, and the call still lands in the communications log on the lead so the morning Workspace shows who called.

How do I keep texting compliant across a whole room?

The DNC Blacklist blocks a number in both directions with a live do not call lookup, blacklist import brings in the list you already keep, and keyword triggers act on what a customer texts back. Every message carries delivery status on the record.

Do I need a DMS connection or an inventory feed to start?

No. Neither is required. With a feed, Inventory Link takes it, or imports inventory from your own website, and the vehicle button in every composer attaches your actual units.
