What numbers is an F&I manager judged on?
Back end gross per unit, contracts in transit, days to fund, chargebacks, and the one that gets a manager walked out: whether every file is complete and compliant when someone finally asks. The office is judged on speed with the customer in the chair and on paper that holds up months later. What is the first screen an F&I manager opens?
The SecureWebX dashboard, after a two factor authentication code on every sign in. The dashboard carries live badges, and behind it the application inbox and pipeline lists every application with status, assignee, amount and notes, so the manager knows before the first customer arrives which files are new, which are waiting on the lender and which are waiting on a stip. The security around that screen is the reason it can hold what it holds: encryption at rest for application data, a full audit log and a security log, virus scanning on uploads, and a watermarked PDF viewer that gates print and download. How does the application get to F&I before the customer does?
Through an apply link. Every store has branded apply links, each customizable with extra sections, custom fields, document uploads and disclosures, and a salesperson or BDC agent texts one from the CRM. The customer completes the five step online application on a phone: personal, residence, employment, income, review, with a co-applicant supported, ITIN as well as SSN, income, down payment and a trade-in section. E-signature and consent are captured against versioned terms, and bot protection sits on the public form.
An application the customer started and abandoned feeds back to the CRM for follow up, so the office is not waiting on a form nobody knows was half done. On the floor, the identity scanner reads a driver license and insurance card into the customer record, and the Customer Profile is one shared buyer record, co-buyer included, with personal information encrypted, so F&I is not retyping what sales collected. Apply links also live on the store's own site and personal salesperson websites for the customer who applies before ever calling.
How is the deal structured on the F&I side?
The structure the desk built carries over. A worksheet penciled in CRM EZ Desking pushes into SecureWebX, where the worksheet engine runs at parity: cash, finance and lease pencils, duplicate, defaults, attach or detach to an application, and a deal recap PDF. The deal vehicle is decoded from the VIN or looked up by stock number against the store's inventory, with a wish list, a manager confirmed build and options, and title, stolen, sales, auction and warranty checks run from the worksheet. Book-out values are available inside the worksheet. OEM incentives show at deal level inside the Incentives Showroom in the CRM deal view. So the number the customer signed on the deal page, the number in the worksheet and the number on the application are one number with a history.
How does an application go to the lender?
Send to Lender creates a code gated, expiring, revocable, watermarked share of the application to any lender the store chooses, with a lender response portal and a decision webhook, so the lender's answer lands on the file rather than in someone's inbox. It is a secure share to a lender of the store's choosing; the lender still decides, and the store's own credit bureau account is stored in SecureWebX, because LeadLocate does not pull credit.
For the lender or DMS that wants a file in its own format, the export formats cover STAR XML, fixed width, CSV and JSON, delivered by SFTP, SOAP, REST, PGP encrypted email, structured email or secure portal, with mapping templates. eFax gives the store and each partner a fax number with inbound status for the lender that still faxes. The mailbox handles dealer to lender and partner email with inbound handling, and the Verified Partners list and vendor directory by category hold the store's lenders and partners in one place.
How are stips, disclosures and adverse action handled?
The stipulations workflow tracks each stip on the application with an upload to fulfill it, and supporting documents attach per submission, so the file shows what is still missing without a sticky note. A stip request goes to the customer as a text from the CRM inbox, with delivery status, and the customer uploads from a phone.
OFAC screening runs on every application. Adverse action notices generate from the application record rather than from a template someone fills in by hand. State specific disclosures are added, edited and deleted per store, the privacy notice and terms are edited per company, and every user is forced to accept the terms; the disclosures page covers the setup. All of it is stamped in the audit log, which is the record the office wants when a question about a file arrives long after the car is gone.
What does the customer see, and what stays on the record?
The customer sees the store's brand, not ours: a branded apply link page on their phone, and a deal page branded to the store, PIN protected, with e-signature, a revision view and a chat thread with the salesperson. Digital retail on that page adds build, document review, deal review and a shipping quote as review steps. A print packet with payment ranges and a finance breakdown is there when the customer wants paper.
What stays on the record: the application with its versioned consent, every worksheet revision, every lender share and the lender's response, every stip and its upload, every notice generated, and the audit log entry for every person who opened any of it. A record is archived, never deleted. Application data is encrypted at rest and PDFs are watermarked and gated. The CRM side adds the communications log, every call, text, MMS, email and voicemail with the customer, and recorded calls with transcripts.
Which reports before going home, and what does the GM see?
SecureWebX reports and analytics with PDF export: applications in, by status and assignee, what is waiting on a lender and what is waiting on a stip. The pipeline itself is the end of day read. On the CRM side, the Reports dashboard shows deals started and signed, and the deal history and visit log on each deal show who did what. The office knows what funds tomorrow before leaving tonight.
