eFax for Dealers: Fax Numbers per Store and Partner

Some lenders still answer by fax. SecureWebX gives your store and each partner a fax number of its own, and shows the fax activity in the same console that holds the application.

eFax is the fax layer inside SecureWebX, LeadLocate's secure credit application system. What is eFax for dealers?

eFax for dealers is a fax number, or several, that belong to your dealership inside SecureWebX, so a lender or partner who still works by fax can reach your finance office and the fax shows up in the console with the application it belongs to. That is the one sentence version. The reason it exists is not nostalgia. A meaningful share of credit unions, regional banks and secondary lenders still send countersigned approvals, funding notices and stip requests by fax, and a store that pretends otherwise ends up with a fax machine in the corner that one person knows how to check.

Inside SecureWebX, fax numbers are a managed object rather than a phone line. A number is assigned to the company, given a plain label such as the main fax line or the finance office fax, and set for inbound, outbound or both. A number can also be assigned to a specific lender or partner on your partner list, so the fax traffic for that relationship is separated from everything else. Recent fax activity and inbound status appear in the console, which means the finance manager waiting on an approval sees it arrive rather than walking to the machine on a hunch.

How does a finance office use it on a normal day?

A used car store works with a credit union that approves deals quickly and communicates the old way. The finance manager shares the application through Send to Lender, the credit union reviews it in the lender response portal, and the countersigned approval with the funding conditions comes back by fax, because that is how the credit union's funding desk works. In a store without eFax, that approval lands on a machine in the back office, sits in the tray under a parts invoice, and the customer who was told to come back at four is waiting in the showroom while somebody hunts for a sheet of paper.

With eFax the approval arrives on the fax number assigned to that credit union, the console shows the inbound fax under recent fax activity, and the finance manager opens it from the desk. The stipulation it asks for, proof of residence, gets requested from the customer through the stipulations workflow, uploaded, and shared back. The deal funds. Nobody touched a fax machine and nobody guessed whether the approval had come in.

The same afternoon a warranty company that only accepts contracts by fax needs a signed form. The store's outbound fax number handles that, and the record of the send sits in the console beside everything else on the deal. Where does it live in the console and the CRM?

eFax lives inside the SecureWebX console, the same place the application inbox, worksheets, partner list and mailbox live. The console opens from the SecureWebX button on the LeadLocate CRM dock, one login, no second password. Fax numbers are provisioned and assigned on the administration side, so a store asks for a number and our team assigns it to the company or to a partner; from then on the store sees its assigned fax numbers, each with its label and its inbound and outbound setting, and the recent fax activity for each.

Because a fax number can be tied to a partner, the fax traffic for a lender sits alongside that lender's entry in your partner list, next to the email thread in the mailbox and the applications you have shared with them. The store's tracking phone numbers from the CRM sync into SecureWebX as well, so the numbers a customer or a lender sees on your paperwork are consistent across the platform. The console is also available as the SecureWebX app on iOS and Android, so a manager off the floor can see that a fax arrived without being at the desk.

Fax numbers per store, and per lender or partner

The distinction in the title matters. A single store fax number is what most dealerships have, and it becomes a bottleneck the moment two lenders send on the same afternoon. eFax lets a dealership hold more than one number and label each one, so the main fax line, the finance office line and a line for a specific partner are separate. Assigning a number to a partner means inbound faxes from that partner are already associated with the relationship when they arrive, and outbound faxes to that partner go out from the number that partner recognizes.

Each number carries an inbound setting, receive faxes, and an outbound setting, send faxes, which can be on together or separately. When the fax lives in SecureWebX, it is inside a system where every sign in requires two factor authentication, application data is encrypted at rest, uploads are virus scanned, and the audit log records who viewed and shared what. A fax about an application belongs with the application, and the partner assignment on the number is what keeps it there.

Retention follows the SecureWebX rule: archive, never delete. A funding notice that arrived by fax is retained with the rest of the record, so a question months later about what the lender actually said has a document to point to. What should I pair it with?
