Deal Jacket Uploads and QR Document Intake

A private folder on every lead and deal, and a QR code on the screen that turns any phone camera into the scanner for it.

The deal jacket is the document folder on every lead, contact, appointment and deal in LeadLocate CRM. Files are uploaded from the computer or through a QR code shown on screen; a phone scans it, opens a private single use page, and the photos land on the record within seconds, where they can be previewed, renamed, rotated and deleted. Included with every LeadLocate CRM plan.

What the deal jacket does in one sentence

The deal jacket is the folder that travels with a customer record: every document the store collects or creates for that lead, contact, appointment or deal, stored privately, previewed in place and listed in the record's timeline. It is the software version of the manila jacket that used to sit in a rack behind the desk, except it cannot be misfiled, cannot be walked out of the building, and does not need a copier to get a document from a customer's hand into it.

The intake half is the part stores have not seen before. Instead of asking the customer to email a photo of a license, or texting it to a salesperson's personal phone and hoping it gets uploaded later, the CRM shows a QR code on the screen. The customer or the salesperson scans it with any phone, a private page opens, the photo is taken or picked, and it is in the jacket before the phone goes back in a pocket. The file library page covers the store wide document library; this page is the folder on the customer.

How a salesperson uses it on a normal day

A customer sits down and the salesperson expands her lead card. Under the appointment controls is the Internal Deal Jacket panel, empty so far. He clicks Scan To Upload Documents and a QR code appears in a modal with a note that it expires in 60 seconds. He turns the screen toward her. She points her phone camera at it, taps the link, and a private upload page opens with a lock badge and a short explanation that it is single use. The modal on his screen closes on its own the moment her phone connects. She photographs the front of her license, crops it on her phone, adds the back, then a photo of her insurance card, and taps upload. A receipt page confirms it and then goes dead, so the link cannot be reused.

Back on his screen the file list has refreshed itself and shows three new files with a New pill. He clicks one, the preview lightbox opens with zoom and drag, he rotates the one she shot sideways, renames it from the phone's file name to something a finance manager will recognize, and moves on. The lead timeline now has a Deal Jacket Upload event with a paperclip. When the deal is desked that afternoon, the documents are already on the record, and the finance office opens the jacket instead of asking for the license again.

Where it lives: lead cards, the deal view, the trash bin and the phone

The Internal Deal Jacket panel appears on the expanded lead, contact and appointment cards under Leads, Contacts and Calendar, and on the digital deal view under Desking. The panel has two actions, Add Deal Jacket Files for uploads from the computer and Scan To Upload Documents for the QR flow, plus the file list with preview, rename, rotate and delete on each row. The panel label says what it is: private files for your team, which the customer never sees. Documents the store wants from the customer are collected through the review slots on the customer's deal page, which is the other half of the story and is covered on the customer deal pages page.

Deleted files go to the CRM's trash bin under Deal Jacket Files with restore, so a wrong click is not a lost document. The LeadLocate mobile app carries the deal jacket inside Deal Tracker, so a salesperson on the lot can open a customer's documents from the phone, and mobile uploads from the scanners show up in the same list as view only rows.

The three scanners that feed it

The generic QR upload is one of three phone intake flows on the same panel, and they share one design: a QR on the desktop, a private single use phone page, a claimed session with time to shoot and crop, and files that appear on the record without a refresh. The Driver License and Insurance Scanner reads a license and an insurance card, extracts the fields and offers to apply them to the customer record, so a name, address and date of birth are typed by nobody. The Acquisition/Trade Info scanner takes registration front and back, title front and back, payoff letter front and back and as many vehicle photos as the customer wants to add, reads the vehicle and payoff facts, and applies them to the trade with one click. Both produce a printable packet.

Photo first intake goes one step further. From the New Lead or Add Contact popup, a photo of a license, an insurance card, a payoff letter, a registration or a handwritten worksheet is read and sorted into the right place automatically: identity documents to the identity scanner, vehicle and payoff documents to the trade info, everything else into the deal jacket, and the extracted name, phone, email and vehicle land on the new record. The driver license scanner and trade in capture pages describe the two specialized flows.

What it replaces and what that costs elsewhere

The usual alternatives are a copier and a folder, a shared email inbox full of photos of licenses, a salesperson's camera roll, or a document product licensed per user that stores files in a place the CRM cannot reach. The copier version is slow and the folder gets lost. The email and camera roll versions put customer identity documents on devices and mailboxes the store does not control, which is a data problem before it is a convenience problem. The separate product version means the finance office has a login the sales floor does not, and the sales floor keeps texting photos anyway.

The deal jacket is part of the LeadLocate CRM subscription for every user, with no per document or per scan fee. Files sit on the customer record where the salesperson, the desk and the finance office already are, and the QR flow works with whatever phone is in the room, the customer's included, with nothing to install. The compliance angle: private storage, single use links and a trail

A deal jacket holds the most sensitive documents a store collects, so the design starts from the assumption that a link will be forwarded and a screen will be photographed. Files are stored privately under the store's own tenant and are never served by a raw storage address; every preview streams through the CRM after it checks that the file belongs to the signed in user's company. The QR link is single use. It is valid for 60 seconds until a phone opens it, at which point that phone's session is the only one that can upload, for a limited window; a second scan from another phone gets a not found page. The token is stored only as a hash, and the upload receipt expires on its own.

Every upload, from the desktop or from a phone, writes a Deal Jacket Upload note to the record timeline, and every file records when it was first opened, which is what drives the New pill. Deleted files go to a trash bin with restore rather than vanishing. The customer facing phone page shows the terms of service and privacy policy links and a plain disclosure that documents are processed automatically. None of that replaces a store's safeguards program; it is the storage and access layer that program can point to.

How to turn it on and what to pair it with

There is nothing to turn on. The Internal Deal Jacket panel is on every lead, contact, appointment and deal in every LeadLocate CRM account, and the QR flow works the first time a salesperson clicks Scan To Upload Documents. Master administrators can set default file folders per user in User Management for the store wide file library. The pre-recorded live demo shows a QR upload landing on a lead.

Frequently Asked Questions

Does the customer need an app to scan the QR code?

No. Any phone camera opens the link. A private single use upload page opens in the phone browser, the customer takes or picks photos, crops if needed, and uploads. Nothing is installed.

How long is the QR code good for?

Sixty seconds until a phone opens it. The desktop modal closes on its own when the phone connects, and that phone then has a limited window to shoot, crop and upload. A second scan from another phone is refused.

What file types can go in the jacket?

Photos and documents from the computer or the phone. Common image formats preview in the zoom lightbox, PDFs preview in a framed viewer, and other stored files are available as secure downloads.

Can the customer see the deal jacket?

No. The Internal Deal Jacket is private to your team. Documents you want from the customer are requested through the review slots on their deal page, and those uploads are reviewed and approved on the deal.

What happens if someone deletes a file by mistake?

It goes to the trash bin under Deal Jacket Files with a restore action, and the record timeline still shows the original upload event.

Is the deal jacket on the mobile app?

Yes. Deal Tracker in the LeadLocate mobile app carries the deal jacket, so a salesperson can open a customer's documents from the lot, and phone scanner uploads appear in the same list.
