Driver License Scanner for Faster Customer Intake

The customer hands over a license. Someone types it, badly, into three systems. The scanner ends that at the first handoff.

The driver license scanner in LeadLocate CRM reads a customer's driver license or insurance card with a phone camera and writes the name, address, date of birth and license details into the customer record. It runs from the deal view on desktop and from the LeadLocate mobile app, feeds the Customer Profile and the Deal Jacket, and stores the images with the deal. It is part of every LeadLocate plan.

What the driver license scanner actually does

The driver license scanner in LeadLocate CRM turns a photo of a customer's license into a filled customer record. Point a phone camera at the front and back of the card, and the scanner reads the printed side and the barcode on the back, then writes the name, address, date of birth, license number and expiration into the record the salesperson is already working. The same tool reads an insurance card, so the policy details a finance manager asks for later are captured at the same moment. That is the whole feature in one sentence: intake without typing.

It lives inside the LeadLocate CRM rather than as a separate app that produces a file somebody has to move. The scan lands in the deal, the deal belongs to the customer, and the customer is the same record the texting, calling, desking and credit application tools all read. When people search for a driver license scanner app or driver license scanner software, this is the distinction that matters most: where the data goes after the scan. Here it goes where the deal is.

How a dealership uses it on a normal Saturday

A couple walks in at eleven on a Saturday for a test drive. The salesperson opens the lead on the phone, taps the scan option, and photographs the driver's license before the keys come out. The record now has a legal name spelled the way the state spells it, the address as printed, and the date of birth without a transposed digit. The license image sits with the deal as proof the store checked it before the drive. The co-buyer's license is scanned into the same profile, because the Customer Profile holds both buyers on one record rather than two half records that will need merging later.

Back at the desk after the drive, the manager opens the deal on the desktop. The name and address are already on the worksheet, so the pencil is printed with the correct spelling the first time. When the customer decides to buy, the insurance card gets scanned from the same button, and the finance office opens a deal that already carries identification and insurance instead of a sticky note reading "get DL and ins." Nobody has retyped anything. Nobody has photographed a license and texted it to a personal phone, which is the habit this feature exists to end.

The scene is ordinary on purpose. The value of a scanner is not a dramatic moment, it is forty small moments a month where a record is right instead of nearly right, and a document is where it belongs instead of in someone's camera roll.

Where it lives: the deal view on desktop and the phone in your pocket

On the desktop CRM, open any deal from the Desking menu and you will find Scan ID and insurance cards in the deal view, which opens the Driver License and Insurance Scanner. The scanned documents assemble into a packet attached to the deal, alongside the Deal Jacket where the rest of the paperwork lives. Scanned images that are removed go to the trash bin under Identity Scanner Documents, where they can be restored, so an accidental delete is not a lost document.

On the phone, the LeadLocate mobile app puts the driver license scan next to the VIN lookup, because those are the two things a salesperson captures standing beside a car. The phone camera is the scanner. There is no dedicated hardware, no card reader plugged into a desktop, and no separate login. A rep who has never used the feature finds it where the deal is and uses it on the first try, which is the test any tool on a sales floor has to pass.

The scanner also connects to the trade side. The trade-in capture with VIN scan uses the same camera-first approach for the vehicle the customer arrived in, so one phone captures the person, the trade and the paperwork in the same few minutes.

What it replaces, and what a license scanner costs elsewhere

Most stores handle licenses one of three ways. They photocopy the card and file the paper, which means the data is never in a system at all. They buy a dedicated license scanner for the desk, a piece of hardware with its own software, its own driver, and a monthly fee for the privilege of exporting to a file that still has to be imported somewhere. Or a salesperson photographs the license with a personal phone and texts it to the finance office, which is fast, common, and the worst of the three for the store.

Inside LeadLocate CRM the scanner is part of the platform subscription. There is no hardware to buy and no per-scan charge. The same document reading that powers it also handles VIN scanning and document capture across the deal, so it is one capability used in several places rather than a separate product bolted to the side. The pricing page lists the plans; CRM Only starts at $199 a month and includes the scanner along with desking, texting and calling.

The cost that matters more is the one that never shows on an invoice. A misspelled name on a contract, a wrong address on a title application, or a missing insurance card at delivery each cost a store an hour and a customer some patience. A scanner that writes the printed truth into the record removes that class of error at the source.

The compliance angle: identification captured, stored and kept where it belongs

A driver license is personal information, and how a store handles it says something about the store. Three things the scanner does are worth naming. First, the data goes into the Customer Profile, where personally identifiable information is stored encrypted rather than in a spreadsheet or a shared photo album. Second, the images attach to the deal, so a question about whether identification was checked before a test drive has an answer with a timestamp. Third, capture happens inside the store's system on the store's account, which keeps license photos off personal phones, where they outlive the deal and the employee.

Deleted scans go to the trash bin with restore, so a document removed by mistake is recoverable, and user roles in User Management decide who can open a deal and its packet in the first place. This is record keeping that supports a store's own compliance program. It is not identity verification, age verification or a law enforcement tool, and the page will not pretend otherwise. It reads what the card says and puts it where the deal is. Verifying that the person is who the card says is still the salesperson's job, exactly as it was before.

How to turn it on

There is nothing to enable. The scanner is live for every LeadLocate CRM account from the first login. On the desktop, open a deal from the Desking menu and use Scan ID and insurance cards. On the phone, sign in to the LeadLocate app and use the license scan from the lead or the deal. The first time a rep uses the phone camera the device asks for camera permission, and that is the entire setup. If a store wants the scanner to trigger something specific, such as a task for the finance office when both a license and an insurance card are on file, that is the kind of workflow our team puts in production for your dealership on request.

Training takes about as long as reading this paragraph. Most stores show it once in a sales meeting, and the reps who spend their day on the lot adopt it first because it saves them the walk back to a desk.

What to pair it with

The scanner is most useful when the record it fills is the record everything else reads. Pair it with the Deal Jacket and QR intake, which collects the rest of the paperwork on the same deal and lets a customer photograph documents from their own phone. Pair it with the desking tool, where the scanned name and address flow onto the worksheet and the printed pencil. And pair it with SecureWebX, where the customer who has already been identified at the store completes the secure credit application on their own phone and the finance office works it from one inbox.

For the broader picture of how intake, desking and the credit application connect, the all features page lists every capability in the platform, and the auto dealer software CRM page explains the CRM the scanner lives inside. If you would rather see it than read about it, the pre-recorded live demo walks through a deal from the first scan to the signed page.

Frequently Asked Questions

Do I need a hardware driver license scanner?

No. The phone camera is the scanner. It reads the front and the barcode on the back of the license and writes the details into the customer record inside LeadLocate CRM. On the desktop the same tool opens from the deal view.

Does the scanner read insurance cards too?

Yes. The same button, Scan ID and insurance cards, reads the insurance card and stores it with the deal, so the finance office has identification and insurance on file before delivery.

Where do the scanned images go?

They attach to the deal as a scanner packet next to the Deal Jacket, and the extracted details fill the Customer Profile, where personal information is stored encrypted. Removed scans sit in the trash bin and can be restored.

Is the driver license scanner an age verification or identity check tool?

No. It reads what is printed on the card and puts it in the record. Confirming that the person matches the card, and any verification your store requires, remains a step your people perform.

Can a co-buyer's license be scanned into the same deal?

Yes. The Customer Profile holds the buyer and co-buyer on one record, so both licenses are scanned into the same profile and both names carry through to the worksheet and the credit application.

Is the scanner extra, or part of the plan?

It is part of every LeadLocate CRM plan, including CRM Only at $199 a month, with no per-scan charge. Plans are month to month and listed on the pricing page.
