How to Scan a Driver License in LeadLocate

Point a phone at the front and back of the card and the name, address and date of birth land on the customer record without typing.

Scanning a driver license in LeadLocate CRM starts from Scan ID and insurance cards on the deal view, or from the license scan in the mobile app. A phone camera photographs the front and back of the card, the scanner reads the card and the barcode, and the name, address, date of birth and license details are applied to the customer record with the images stored on the deal.

Step by Step

  1. Open the deal

    From the main menu choose Desking and open the customer's deal, or expand the lead card. The scanner lives next to the deal jacket on the same panel.

  2. Start the scanner

    Click Scan ID and insurance cards. On the desktop a QR code appears; scan it with any phone and a private single use page opens in the phone browser. In the LeadLocate mobile app the license scan opens the camera directly.

  3. Shoot both sides

    Photograph the card into the ID front and ID back slots. The back matters, because the barcode there is what the scanner reads most reliably. Use Replace Front if the first shot is blurry.

  4. Add the insurance card

    While the customer has a wallet open, photograph the insurance card into Insurance front and Insurance back. The finance office asks for it later anyway.

  5. Apply the details

    The scanner extracts the name, address, date of birth, license number and expiration and offers to apply them to the customer record. Check the fields against the card and apply them. The images stay on the deal as the identity packet.

  6. Confirm the record

    Use Open the shared master customer record to see the Customer Profile with the scanned details in place. A co-buyer's license is scanned into the same profile so both names carry through to the worksheet and the credit application.

What do I need before I scan a license?

You need a lead or deal open in LeadLocate CRM and a phone with a camera. There is no hardware scanner, no card reader and nothing to enable; the scanner is live in every account from the first login. On the desktop, any phone scans the QR code, the customer's own included. On the phone, the LeadLocate mobile app asks for camera permission the first time, and that is the whole setup. Any user who can open the deal can run the scan.

A walk in with no record yet can start from the license itself. From the New Lead popup, Take Picture photographs the license, the CRM reads it and sorts it into the identity scanner, and the extracted name, phone and email land on the new record. On the phone, New Lead on the bottom dock opens the same popup. The driver license scanner page describes what the scanner reads and where the data goes.

What should I see when the scan is done?

On the deal, the identity packet shows the front and back of the license and the insurance card as images you can preview, with the extracted fields listed beside them. On the Customer Profile, the legal name is spelled the way the state spells it, the address reads as printed, and the date of birth has no transposed digit. Those fields flow onto the worksheet and the printed pencil, so the sheet prints with the correct name the first time, and into the SecureWebX credit application when the deal is financed.

The images stay with the deal as a record that identification was checked, with a timestamp. Personal information on the Customer Profile is stored encrypted. A scan you remove goes to the trash bin under Identity Scanner Documents, where it can be restored, so an accidental delete is not a lost document. The Customer Profile page covers the one shared record for buyer and co-buyer.

What if it did not work?

The fields came back empty or wrong. The barcode on the back was not readable. Retake the ID back shot square on, in good light, with the whole card in the frame and no glare across the barcode, and apply again. A cracked or worn card sometimes reads from the front only; correct the field by hand before you apply.

The QR code expired before the phone scanned it. The code is good for sixty seconds until a phone opens it. Click Scan ID and insurance cards again for a fresh code and scan it right away.

The details went to the wrong person. Every card for a customer shares one profile, so check which lead was open. If the buyer and co-buyer were swapped, open the profile with Open the shared master customer record and move the fields; the images stay on the deal either way.

What do I do next?

With the person on the record, capture the car. Tips from the floor

Scan before the test drive, not after. The license image on the deal is the store's record that identification was checked before the keys came out, and the customer is standing at your desk anyway. Shoot the back first; the barcode is what reads cleanly, and the front confirms it. Scan the insurance card in the same minute, because the wallet is already open and the finance office will ask. And remember what the scanner is: it reads what the card says and puts it where the deal is. Confirming that the person matches the card is still your job, exactly as it was before.

Do I need a hardware license scanner?

No. The phone camera is the scanner. It reads the front and the barcode on the back of the license and writes the details into the customer record. On the desktop the same tool opens from the deal view through a QR code any phone can scan.

Does it read insurance cards too?

Yes. The same scanner has slots for the insurance front and back, and the card is stored with the deal so the finance office has identification and insurance on file before delivery.

Is this an identity or age verification tool?

No. It reads what is printed on the card and puts it in the record. Confirming that the person matches the card, and any verification your store requires, remains a step your people perform.

Can I scan a co-buyer's license into the same deal?

Yes. The Customer Profile holds the buyer and co-buyer on one record, so both licenses are scanned into the same profile and both names carry through to the worksheet and the credit application.
