How to Send a Bulk Text in LeadLocate

One message to a whole list, on the store's own numbers, with the opt outs applied before anything leaves.

A bulk text in LeadLocate CRM is one message sent to a list of customers at once from Bulk Texting under Marketing Tools on the dock. You pick or paste the recipients, choose a template, add an attachment if you want one, and press Send Bulk TEXT. Every send is logged with who sent it and how many went out.

Step by Step

  1. Open Bulk Texting

    Click Marketing Tools on the dock at the bottom of the CRM, then Bulk Texting. The page opens on the Bulk TEXT Messenger: form.

  2. Choose the recipients

    Pick a saved list in the Campaign field, or paste phone numbers into the recipients box, one number per line. Saved lists are kept under Bulk TEXT Recipients, so the second send to the same customers is a click rather than a rebuild.

  3. Write or pick the message

    Choose a saved text in Template: and edit the line that needs it, or write the message in Outgoing TEXT message:. Keep it short, say who the store is in the first line, and put the offer and the way to reply in the last.

  4. Add an attachment if you want one

    Use Attach File to add a flyer, a coupon or a photo. It goes out as a picture message, so the customer sees the image in their messaging app rather than a link.

  5. Read it once more and send

    Read the message the way a customer will read it on a phone, then press Send Bulk TEXT. The page confirms the blast is queued.

  6. Check the history

    Scroll to Bulk Text History:. The new row shows Sent By, Total Sent and the time. Replies arrive in the texting inbox on each customer's own thread.

Before you start

You need a login to LeadLocate CRM with a role that can see the dock, a list of customers who have agreed to hear from the store by text, and the message itself. Bulk texting is the activity texting law was written about, so do the two checks before you open the tool. Run the list through the Phone Validator two tiles down in the same menu; it flags dead numbers and marks the ones you must not call. Then make sure the DNC Blacklist is current, because the store's opt outs are applied before anything leaves. Build the list from customers the CRM already knows, not from a spreadsheet of strangers. A saved template approved by a manager is worth setting up once, so the wording that goes out is the wording the store agreed on.

What you should see

The moment you send, the page confirms the blast is queued and a row appears under Bulk Text History: with who sent it and how many numbers were on the list. The messages go out on the store's own tracking numbers, so a customer who has texted the store before sees a thread they recognize. Each message reaches phones that support rich messaging as a rich message and everyone else as a plain text, automatically, per handset. Over the next hour the replies land in the two way texting inbox, each on the thread of the customer who sent it, where the salesperson assigned to that lead answers them one at a time. A customer who answers with a stop word is opted out on the spot, added to the blacklist and told so, and any campaign they were on is listed in the confirmation. If the message carried a link, the short link's click stats tell you afterward how many people opened it.

If it did not work

Some numbers on the list were skipped. They are on the DNC Blacklist or have opted out, and the tool honored that. This is the tool working, not failing. Open the blacklist if you want to see which ones.

The count under Total Sent is lower than the list. Numbers that fail validation or arrive in the wrong format are dropped. Paste ten digit US numbers, one per line, and run the list through Phone Validator first so the dead ones are gone before you send.

The attachment did not arrive as a picture. The file is too large for a picture message or is not an image type phones display. Resize the flyer to a phone width image and attach that instead of a print file.

The send button does nothing. The recipients box is empty and no list is chosen in Campaign. Pick one or the other. If it still will not send, the support team can see the queue from the store's side.

Tips from the floor

Send at a time a person would text, not at six in the morning. Put one thing in the message, not three. Text on Saturday morning for a Saturday sale and email the flyer the night before, so the two channels carry different weights. And have the salespeople at their desks when the blast goes out, because the replies start within minutes and a reply answered in two minutes is an appointment while a reply answered in two hours is a customer who moved on.

Frequently Asked Questions

Does each customer see the other recipients?

No. Every message is a separate text to one phone, on the store's tracking number, and each reply lands on that customer's own thread.

Can I send a picture with a bulk text?

Yes. Attach a file with Attach File and it goes out as a picture message to every recipient.

What happens when someone replies stop?

They are opted out automatically, added to the blacklist, told so, and skipped on every future send. A help word gets a reply that names the store and how to reach it.

Is bulk texting an extra charge?

It is part of every LeadLocate plan. A dedicated marketing number or a throttle for very large lists is available on request.
