How to Send a Bulk Email in LeadLocate

One email to every address on a list, from the store's own domain, with the send recorded where a manager can find it.

A bulk email in LeadLocate CRM is one message sent to an entire recipient list from Bulk Email under Marketing Tools on the dock. You pick or paste the addresses, set a subject, choose a template or write the message, attach a file if you want one, and press Send Bulk Email. Every blast is recorded in the history table below the form.

Step by Step

  1. Open Bulk Email

    Click Marketing Tools on the dock at the bottom of the CRM, then Bulk Email, the tile that reads one blast, every inbox. The page opens on the Bulk Email Messenger: form.

  2. Choose the recipients

    Pick a saved list in the Campaign selector, or paste addresses into the recipients box where it says Please enter one Email per line. Saved lists live under Bulk Email Recipients, so a list you will mail again is built once.

  3. Write the subject

    Type the Subject: the way a customer will read it in a crowded inbox: the store's name or the vehicle, then the reason to open. Nine words or fewer reads whole on a phone.

  4. Pick the template or write the message

    Choose a saved email in Template: and change the line that needs it, or write in Message:. A vehicle from your inventory can be inserted with its photos and price from the composer, and your Email Signature is appended for you.

  5. Attach a file if you want one

    Add the flyer or the price sheet in Attachment. Keep it to one file a phone can open; a picture or a short PDF is right, a print file is not.

  6. Read it once and send

    Read the whole thing as a customer, then press Send Bulk Email. Scroll to Bulk Email History: and the new row shows who sent it, how many addresses were on the list and the status of the send. Replies arrive in the email inbox on each customer's own thread.

Before you start

You need a login to LeadLocate CRM with a role that can see the dock, a list of customers who expect mail from the store, and a message. Two checks come first. Run any list older than a few months through the Email Validator, the neighboring tile in the same menu, so dead addresses are gone before they bounce against your sending domain. And make sure the store's sending domain is authenticated, which is a one time setup that lets the blast go out from the store's own domain rather than a shared one; the Bulk Email feature page explains why that decides whether next month's blast lands in the inbox. A template approved by a manager, saved once, keeps every send looking like the store.

What you should see

As soon as you press Send Bulk Email, a row appears under Bulk Email History: with the sender, the count and the status. The messages go out from the store's authenticated domain with your signature at the bottom, one email per address, so no customer sees another customer's name. The Bulk Email Recipients page keeps the list you used, and the list view carries the opened and clicked totals for the campaign so you can see how the blast did without a separate reporting tool. Over the next day the replies land in the email inbox, each on the thread of the customer who wrote back, in front of the salesperson assigned to that lead, and the lead's communications log shows the blast next to the texts and calls around it.

If it did not work

The count is lower than the list. Addresses that fail validation or are typed without a domain are dropped before the send. Paste one address per line, run the list through Email Validator first, and send again to the cleaned list.

The blast landed in spam, or bounced. The sending domain is not authenticated, or the list was full of dead addresses and the receiving servers noticed. Authenticate the domain, validate the list, and keep the next few sends small while the domain's reputation recovers.

The send button does nothing. The recipients box is empty and no list is chosen in Campaign, or the Subject: is blank. Fill in whichever is missing.

The attachment did not arrive. The file is larger than mail servers accept. Attach a phone sized image or a short PDF, or put the file in the file library and send the link instead. Anything else, the support team can read the send status from the store's side.

Tips from the floor

Send to yourself first. Open it on a phone, not a monitor, because that is where most customers will read it, and fix whatever does not fit. Put one call to action in the email, and make it a reply or a booking link rather than a phone number, so the response lands in the CRM on the customer's thread. And have the salespeople watching the inbox for the hour after the send; an emailed question answered the same morning is an appointment.

Frequently Asked Questions

Do recipients see each other's addresses?

No. Each address gets its own email. There is no group message and nothing to hide in a blind copy line.

Can I send from the store's own domain?

Yes. Email domain authentication is a one time setup, after which every blast and every one to one email goes out from the store's domain.

Where do replies go?

Into the email inbox in the CRM, on the thread of the customer who replied, in front of the salesperson assigned to that lead.

Is there a per email charge?

No. Bulk Email is part of every LeadLocate plan. A sending schedule or a throttle for very large lists is available on request.
