How to Validate an Email Address in LeadLocate

Find the dead addresses before a blast finds them for you. One list, one button, one report.

Validating an email address in LeadLocate CRM means running it through the Email Validator under Marketing Tools on the dock, which tells you whether the address can receive mail before the store sends to it. You paste a list or upload a file, name it, press Validate Emails and read the report. A single address can be checked from the lead as well.

Step by Step

  1. Open the Email Validator

    Click Marketing Tools on the dock, then Email Validator, the tile that reads catch bad emails early. The page is titled Email Verification Tool.

  2. Name the list

    Type a List Name that will still mean something in the history table next quarter: what the list is and roughly when it was built.

  3. Add the addresses

    Paste them into Email Addresses to Lookup: where it says Please enter one email per line, or upload a CSV File exported from a spreadsheet with the addresses in one column.

  4. Run the check

    Press Validate Emails. A short list is back in seconds; a long one takes a little longer and you can leave the page and come back.

  5. Read the report

    Scroll to Email Lookup History: and open the Report Link on the new row. The report lists which addresses are deliverable and which are not. The row itself records Pulled By and Total Number, which is the audit trail.

  6. Check one address from the lead

    For a single customer, open the lead, use Enter Email to validate on the record and run it. The result shows as a validity dot next to the address, where the salesperson working the lead will see it.

Before you start

You need a login to LeadLocate CRM with a role that can see the dock. A manager with a list runs the tool; a salesperson reads the dot it leaves on the lead. Lookups use credits, and the balance is managed by the Master Administrator from My LeadLocate, so check it before a run of several hundred. Gather the addresses in one column first. If the list came from outside the CRM, bring it in with contact import so the validator runs against real records and the dots land where the salespeople work. What you should see

When the run finishes, Email Lookup History: has a new row with the list name, who ran it, how many addresses it held and a Report Link. The report separates the addresses that can receive mail from the ones that cannot. The second group is the valuable one: each failed address is a customer record that is wrong, and fixing it usually means a phone call, which is a reason to talk to a customer that a salesperson can use. Back on each lead, the email address carries a validity dot, so a rep about to send a one to one email sees at a glance whether it will arrive. The history row stays as the store's record that the list was checked before it was mailed, with a name and a count on it.

If it did not work

Nothing came back. The run did not start, and the usual cause is an account with no lookup credits left. The Master Administrator adds credits from My LeadLocate; run the list again with the same List Name.

Some addresses were skipped. They were not addresses. A missing at sign, a space in the middle or a trailing comma stops that row. Fix them in the source and paste again, one per line.

An address I know is good failed. Some mail servers refuse to say whether an address exists, and the validator reports what it could learn. Send that customer a one to one email from the composer; a reply settles it, and a bounce tells you the check was right.

For a run that stays stuck, the support team can look at it from the store's side.

Tips from the floor

Validate any list older than a few months before you mail it, every time, and validate a new list once on the way in. Give the failed addresses to the salespeople as a call list rather than deleting them; a customer whose email changed is a customer worth a conversation. And run the phone and email checks in the same sitting, so one list is clean on both channels before the campaign is built from it.

Frequently Asked Questions

Can I check an address without sending anything?

Yes. That is what the validator is for. Nothing is sent to the customer; the tool checks whether the address can receive mail and reports back.

Does a passed address mean the customer wants email from us?

No. It means the address works. Consent is a separate matter, and the moment you fix a bad address with a customer on the phone is the moment to confirm they want to hear from the store.

Does validation cost anything?

Lookups use credits managed by the Master Administrator from My LeadLocate. The tool itself is part of every LeadLocate plan.

Where does the result show on the lead?

As a validity dot next to the email address on the lead record, beside the dot for the phone number.
