How to Read Your Reports in LeadLocate
The Reports dashboard reads the activity the CRM already logs. This guide walks the screens in the order a manager reads them on a Monday morning.
Step by Step
Open the Reports dashboard
Sign in to LeadLocate CRM on a desktop browser and click Reports on the dock along the bottom of the screen. The dashboard opens on Overview for the current period, scoped to My Company.
Set the period and the grain
Use Quick date presets to jump to this week, this month or last month, or type the dates. Set Granularity to Daily for a week you are reviewing closely and to weekly or monthly when you are comparing periods. Every chart on the page follows the same range.
Read the Overview and the Funnel
Overview shows the headline counts: new leads, contacts made, appointments, deals. Funnel puts those counts in order, so the drop between one stage and the next is visible. Read the funnel before any other chart; it tells you which stage the rest of the review should focus on.
Break leads down by source and status
Open Leads Over Time to see the trend, then By Source to see which feed from Lead Feeds Manager produced the volume, and By Status or Status Breakdown to see where those leads sit right now. If the statuses on the chart do not match how your store works a deal, fix the custom statuses first; the chart is only as good as the statuses your team uses.
Read what each person did
Activity by User (Calls, SMS, Email) lists every user with the calls, texts and emails they made in the period, and Per User Scoreboard ranks them. Call Volume, SMS Volume and Email Volume show the store's totals by day. A rep with many leads and few touches is the coaching conversation for the week.
Check deals and save the report
Deals shows desked and tracked deals by status, and Recent Deals (up to 200 rows) lists them so you can open any one. When the review is done, click Download PDF to keep a copy of the range you were reading.
Get the numbers sent to you
For a daily summary without opening the dashboard, open Account Settings, find End of Day System Report, enter the addresses under Send Report To, and press Send Report Now once to confirm it arrives.
Before you start
You need a LeadLocate CRM login on a desktop browser. Every user can open Reports and read their own activity. The store wide views, the per user comparisons and the Company (Admin) scope are for a Manager or Master Administrator. A master admin who runs more than one rooftop also sees Per Company Snapshot, which lines the stores up side by side.
Reports read what the team logs, so the useful preparation happens before the review, not during it. Give every lead source its own feed in Lead Feeds Manager so By Source can tell them apart. Set the store's custom lead statuses to match the real stages of a deal, and leave the lost reason popup on so the reasons get captured. Keep call recording on, so any number in the activity view can be checked against the actual conversation.
What you should see
The dashboard is one page of cards, each a chart or a table, all bound to the same date range. Changing the range at the top redraws every card. Overview holds the counts, Funnel the stages, Leads vs Communications Over Time the relationship between leads arriving and the team responding, and Communications the volume of each channel including Voicemail Volume from voicemail drops.
The management report page works differently: it is a form with date from and date to under Account Reporting:, and Pull Report builds a table for that window with per user rows you can print. The End of Day System Report email is a plain summary of the day's leads and activity, sent to the addresses you listed. If you pressed Send Report Now, that first copy arrives within a few minutes and looks exactly like the nightly one.

If it did not work
The charts are empty or nearly empty. Check the date range first; a preset for last month on the second day of a new store shows nothing. If the range is right, the activity is not being logged: texts and calls made from personal phones instead of the CRM never reach the report. Have the team text from the inbox and call from the softphone.
By Source shows one big bucket. The leads are arriving through a single default feed. Open Lead Feeds Manager, create a feed per source, and point each provider at its own feed address; from then on the chart separates them. Older leads keep the feed they arrived on.
The end of day email never arrives. Confirm the address under Send Report To has no typo, press Send Report Now, and check the junk folder. A store whose mail server rejects automated senders needs the address allowed on that side.
A user is missing from the scoreboard. The user has no logged activity in the range, or was added after the range began. Widen the range or check notifications to make sure new leads are actually reaching them.
Related tasks
The full description of each reporting module is on the Reports dashboard feature page. Traffic to the store's hosted site and landing pages is a separate view under the website editor's analytics tab, covered by website visitor analytics, and the two are kept apart on purpose: one counts visitors, the other counts leads and the work done on them.
Reading the numbers usually leads to three follow up tasks: fixing statuses, splitting feeds, and coaching from call recordings. Each has its own guide in the LeadLocate Help Center. A report your store needs that the dashboard does not draw is available on request, and our team puts it in production for your dealership.
Tips from the floor
Read the funnel before the leaderboard. A store with plenty of leads and few appointments has a response problem, not a lead problem, and the scoreboard alone will send you after the wrong person. Compare a rep to their own last month before comparing them to anyone else. And download the PDF at the end of every month; a year of those tells you more about the store than any single dashboard view.
Frequently Asked Questions
Where are the reports in LeadLocate?
On the Reports button on the dock at the bottom of the desktop CRM. The management report form and the End of Day System Report email are reached from Account Settings.
Can I see reports for one salesperson only?
Yes. Activity by User and the Per User Scoreboard list every user for the chosen range, and a user opening Reports on their own login sees their own activity.
Why do my reports not match my lead provider's count?
The provider counts what it sent; the CRM counts what arrived on a feed and how it was worked. Make sure each provider has its own feed in Lead Feeds Manager, then compare By Source for the same dates.
Can I get the report by email instead of logging in?
Yes. Turn on End of Day System Report in Account Settings, list the recipients under Send Report To, and press Send Report Now to confirm delivery.
Know what happened at the store before the Monday meeting
Activity, company and management reporting are part of every LeadLocate plan and fill themselves from the work your team already logs. See it in the pre-recorded demo or start month to month.
