How to Authenticate Your Email Domain in LeadLocate
Send every CRM email from the store's own domain so receiving mail servers treat it as yours.
Step by Step
Choose the domain
Decide which domain the store's email should come from. Most stores use the same domain as their website, so the address a customer sees matches the site they visited. A group with several rooftops can authenticate one domain per rooftop.
Open a support ticket
Sign in as a Master Administrator, open More Options on the dock and choose Support Tickets. Name the domain you want to send from and whether it is managed inside LeadLocate or elsewhere. Domain authentication is set once for the account, not per user, and our team puts it in production for your dealership.
Receive the records
Our team replies on the ticket with the records the domain needs: one that names the servers allowed to send for it, one that carries the signing key, and a policy record that tells receiving servers what to do with mail that fails. Each is a name and a value to be published on the domain.
Publish the records where the domain lives
If the domain is managed inside the CRM, open the Website menu, go to My Domains, open the domain and add each record in the DNS editor exactly as supplied. If the domain is managed elsewhere, whoever handles the store's website adds the same records there. It takes a few minutes either way.
Confirm with our team
Reply on the ticket once the records are published. Our team checks that they resolve and switches the account to send from the domain. Records published outside the CRM can take a little time to propagate before the check passes.
Send a test email
Open Send an Email in the top bar, address a message to yourself from the Email Composer and send it. The message arrives from the store's domain, with your Email Signature beneath it. Every tool in the account now sends the same way with no per user change.
What do you need before you start?
You need a Master Administrator login, because a sending domain is a store asset and the ticket that sets it up is raised from the account, not from a salesperson's profile. You need to know where the domain is managed: inside LeadLocate, where the Website menu holds domain search, purchase, transfer out and a self service DNS editor under My Domains, or with an outside provider, in which case you need whoever holds that login on hand for a few minutes.
Nothing needs to be bought. Email domain authentication is part of LeadLocate CRM on every plan with no deliverability surcharge. If the store does not yet own a domain, the same Website menu lets you search for one and purchase it inside the CRM, and the custom domains and DNS page covers those tools. Do this before the ticket so the records have somewhere to go.
What should you see when it works?
The test message you send from the Email Composer arrives from an address on the store's domain, and when a customer forwards it to a spouse the spouse sees the dealership's name where the sender goes, not a string of characters from a sending service. Replies thread back into the Email Inbox under the lead.
From that point every email tool in the account uses the domain without a second setting: the composer under the Email menu, Bulk Email and Email Automation under Marketing Tools on the dock, the Automated Templates that answer a Sunday night lead within the minute, the Follow Up Processes behind every lead type, and the composer in the LeadLocate mobile app. What the store notices over the following weeks is the absence of the old problems: fewer customers saying they never got the email, and drip steps that were going to junk starting to be read.

What if it did not work?
Our team's check fails after you published the records. A value was pasted with a stray space, a record name was entered with the domain repeated on the end, or the outside provider has not propagated the change yet. Open the domain under My Domains or at the provider, compare each record character by character with the ticket, and reply once they match. Give an outside provider some time before asking for a second check.
The test email still shows a shared sending address. The account has not been switched yet because the check has not passed, or the message was sent from a user whose profile carries a different reply address. Confirm the switch on the ticket, then check the user's Edit User profile.
Emails send from the domain but still land in junk for some customers. Authentication makes a message trustworthy; it does not make a dead list healthy. Run the Email Validator on the list before the next blast, and keep sending to people who asked to hear from the store.

Tips from the floor
Raise the ticket on the onboarding call rather than a month later. A store that authenticates on day one never learns what a shared address costs. Tell the floor when the switch happens, because salespeople who gave up on CRM email and were texting from personal phones need a reason to come back to the composer, where every send is logged under the lead.

Do I have to authenticate the domain for each user?
No. Authentication is set once for the account by the Master Administrator working with our team, and every user and every email tool in the account sends from the domain from then on.
What if our domain is managed by our website company?
Our team supplies the records on the support ticket and whoever manages the domain adds them there. It takes a few minutes, and you reply on the ticket when they are published so our team can check them.
Can I use a domain purchased inside LeadLocate?
