How to Add a Tracking Phone Number in LeadLocate

Give each lead source its own line so every call lands on the lead with its source and recording.

Adding a tracking phone number in LeadLocate CRM gives one lead source its own line. Your first number is provisioned when the account is created; each additional number is requested through a support ticket, provisioned by our team and synced to SecureWebX and the phone service. You confirm the ring list on IVR Settings, register the number, and print it in exactly one place.

Step by Step

  1. Find the number you already have

    Sign in as a Master Administrator. Open Billing & Admin, then Account Settings, then Phone & IVR and IVR Settings. The Register Your Number card shows the store's current tracking number, the one provisioned on the day the account was created.

  2. Decide which source gets its own line

    A tracking number only tells you something if it is printed in one place. Pick the source: a listing site, a mailer, a landing page, a business card. If you want a number for several sources, plan one number for each.

  3. Request the number

    Open More Options on the dock and choose Support Tickets. Name the source the number is for and any area code preference. Our team provisions the number, attaches it to your account and syncs it to SecureWebX and the phone service, so it is answered the same way as your first line.

  4. Confirm who answers it

    Back on IVR Settings, under Call Handling, the Forward Calls To list decides which phones ring when any of your tracking numbers is dialed. The same list serves every number, so check that it holds the people who should answer calls from this source.

  5. Register the number

    On the Register Your Number card press Register Number and complete the free carrier registration. Carriers can label an unknown business number as likely spam; registration tells them your calls are legitimate, which matters because the number is also the caller ID your softphone shows on outbound calls.

  6. Give the source a feed, then test

    Open Lead Sources in Account Settings, press New Lead Source, enter a Feed Label that matches the source and press Save Feed, so leads you create from these calls have a source to land in. Then print the number on the source, call it from a cell phone, and watch the call appear on Calls.

What do you need before you start?

You need a Master Administrator login. IVR Settings sits under Account Settings in Billing & Admin, and a User or Manager role sees the phone setup without being able to change it. You also need a clear answer to the question of where the number goes, because a tracking number printed in two places tells you nothing about either one.

There is nothing to buy. Tracking numbers are part of LeadLocate CRM on every plan, with no per number subscription and no per minute charge, and your first one already exists. An additional number is available on request, and our team puts it in production for your dealership, usually as part of the same support ticket in which you describe the source.

What should you see when it works?

When the new number is live, a call to it rings every phone on the Forward Calls To list at once, and whoever answers hears the caller. On the desktop the call shows on the Calls page with the number dialed, the caller ID with the name looked up, who answered, the duration and the recording, with a transcript one click away. On the LeadLocate mobile app the same row appears under Call Logs, and an inbound call rings the rep's phone with an alert screen that shows the caller's name when the number matches a lead.

If the caller is already a lead, the call sits on that lead's timeline in order with the texts and emails around it. If the caller is new, the rep creates the lead from the call and files it under the source feed you made, so the lead is never an orphan with an unknown origin. Over a month, the Calls page filtered to the new number is your answer to whether the source rings the phone.

What if it did not work?

The number rings nobody. The Forward Calls To list is empty or holds a number that is no longer a user's phone. Open User Management, check each salesperson's Mobile phone (US), then reopen IVR Settings and correct the list. Commas ring several phones at once; an extension is written after the number with a hash.

Calls arrive but the log shows no name. Caller ID lookup only puts a name on a number it can resolve, and a lead that does not exist yet has no name to show. Create the lead from the call and the next call from that number lands on it.

Your outbound calls show as likely spam on customers' phones. The number has not been registered. Go back to Register Your Number, press Register Number and finish the registration. Carrier labels take a little time to update after that.

Tips from the floor

Print the number where the shopper is and nowhere else. Ads, listings, landing pages, mailers and the business cards from Design Studio each deserve their own line; the store's main published number can stay on whatever system reception uses. When a source stops earning calls, you see it on the Calls page before the invoice arrives.

Name the source feed the way the floor talks about it, so the Feed Label a rep picks when creating a lead from a call is the same phrase the manager uses in the Monday meeting. A specific area code for a market, or a number that should ring a different list from the rest, is available on request, and our team puts it in production for your dealership. Can each tracking number ring different people?

By default every number rings the same Forward Calls To list on IVR Settings. A number that should ring its own group gets its own path through the IVR call flow builder, or our team sets it up on request.

Which number shows as caller ID when a salesperson calls out?

The store's main tracking number is the caller ID on calls placed from the softphone, so a customer who calls back reaches a tracked line rather than a personal cell. Register the number so carriers show the store's name.

Where do I see which source a call came from?

On the Calls page in the main menu, or Call Logs on the mobile app. Each row shows the number the caller dialed, so filtering to one number shows every call that source produced.
