How to Connect Google Calendar in LeadLocate

One click on the Calendar page, one sign in, and every CRM appointment shows on the calendar you check at breakfast.

You connect Google Calendar in LeadLocate CRM from the Calendar page. The Google Calendar Sync control has a Connect Google Calendar button; click it, sign in to your own Google account on the permission screen, approve access, and you are back on the Calendar page with the connection live. Each user connects their own calendar, and appointments already on the CRM calendar sync too.

Step by Step

  1. Open the Calendar page

    In the desktop CRM click Calendar in the main menu. This is your own calendar, My Calendar, with the appointments assigned to you.

  2. Find the sync control

    Near the top of the page is Google Calendar Sync, with a one line note that it syncs your appointments with your Google Calendar. If you have never connected, it shows one button.

  3. Connect

    Click Connect Google Calendar. The Google permission screen opens in the browser. Sign in to the Google account whose calendar you want the appointments on, which is usually the one on your phone.

  4. Approve access

    Approve the access request on the permission screen. Read it once; it is asking for permission to add and update events on that calendar, which is the whole point. The browser returns you to the Calendar page.

  5. Confirm the connection

    The Google Calendar Sync control now shows the connection is live, with Disconnect beside it. Your existing CRM appointments are flagged to sync, so the Google calendar does not stay empty until the next booking.

  6. Test with one appointment

    Use Add New on the Calendar page to set a test appointment a day out, then open the calendar app on your phone. The appointment appears within a few minutes with the customer's name. Delete the test from the CRM and watch it leave the phone too.

Before you start

You need your LeadLocate login and the password for the Google account whose calendar you want to use. Decide which account before you click: the connection is per user and goes to one Google calendar, so a salesperson connects the personal account that is already on their phone, not a shared store mailbox. Every user does this on their own login; a manager rolling it out to the floor tells each person to connect their own.

Know what will and will not flow. Appointments on your LeadLocate CRM calendar go to Google, with the customer and the time, and follow when they move or are cancelled. The lead, the conversation, the vehicle and the deal stay in the CRM. The Google Calendar sync page covers the product side; this page is the clicks.

What you should see

On the Calendar page the Google Calendar Sync control reads as connected, with Disconnect next to it. On your phone, the calendar app shows each CRM appointment on the day and time it was booked, with the customer's name. A visit a customer books through your booking link on Thursday night is on your phone by the time you look at it Friday morning; a visit you move in the CRM moves on the phone; a visit you cancel disappears.

If it did not work

The page shows a Google Calendar error. Almost always the permission was denied: the Google screen was closed, or the request was declined. Click Connect Google Calendar again, sign in, and approve the request this time. If you have several Google accounts, make sure the one selected is the one on your phone.

The control shows Reconnect. A connection that used to work has lapsed, which happens when a Google password changes or access is revoked from the Google side. Click Reconnect, go through the permission screen once more, and existing appointments are flagged to sync again.

Connected, but nothing on the phone. The phone's calendar app is showing a different Google account, or that calendar is hidden in the app. Open the calendar app's account list and make sure the connected account is turned on. If the appointment is on the CRM calendar and the control says connected, give it a few minutes; then, if it is still missing, the Support entry in the top bar or the Feedback button on the dock files the question with a screenshot.

Tips from the floor

Connect the account that shares a calendar with your household, so the noon Saturday visit is visible to whoever is planning around you. Keep the CRM as the place you change an appointment; move it there and let the phone follow, rather than dragging it on the phone and wondering why the customer's confirmation still says the old time. And when you leave a store, click Disconnect on your way out; the CRM user is removed anyway, but it is a clean habit.

Frequently Asked Questions

Where is the Connect Google Calendar button?

On the Calendar page in the desktop CRM, inside the Google Calendar Sync control near the top. Click it, sign in to your own Google account, approve access, and the control shows the connection with Disconnect beside it.

Do I connect one calendar for the whole store?

No. Each user connects their own Google account from their own login, and only their CRM appointments flow to it. The whole floor is visible on the shared team calendar inside the CRM.

Will appointments I already have sync?

Yes. When you connect, the appointments already on your CRM calendar are flagged to sync, and every new one follows. Moves and cancellations in the CRM update or remove the Google event.

How do I stop the sync?

Click Disconnect in the Google Calendar Sync control on the Calendar page. Nothing further is sent. Reconnect from the same place whenever you want it back.
