How to Set Notification Preferences in LeadLocate

A lead nobody hears about is a lead somebody else is calling. Notifications are switches, and this is where each one lives.

Notification preferences in LeadLocate CRM decide how you hear about a new lead, a text reply, a call or an email: a text to your phone, a sound in the browser, or both. Each is a switch on your user record under User Management, and the plain language toggles under My Account Settings do the same job for your own login.

Step by Step

  1. Open the Notifications tab

    In the desktop CRM open Billing & Admin, choose User Management, open the user with Edit User and click Notifications. A Manager or the Master Administrator can open any user; this is where a new hire's alerts are set before the first shift.

  2. Choose the text alerts

    Under Text Notifications switch on each event you want texted to the mobile number on the record: a new lead assigned to you, a customer's text reply, an inbound call, a new email, a signed worksheet. Leave off what you would rather only see at the desk.

  3. Choose the sounds

    Under Notification Sounds pick what chimes in the browser: Play New Lead sound, Play Text Message sound, Play Email sound, Play Team Chat sound, Play Deal Tracker sound and Play System Message sound. Each is its own switch. Save the record.

  4. Set your own alerts from Account Settings

    Any user, whatever the role, opens Account Settings, then My Account Settings and Alerts Settings. Under SMS Notification Settings: the toggles read in plain language: Notify me when I get a NEW LEAD, Notify me when I get a NEW TEXT, Notify me when I get a NEW CALL, Notify me when I get a NEW EMAIL.

  5. Add alert keywords if you want them

    On Alert Settings, under Alert Keywords, use Add Keyword to list words that should get your attention when a customer's message contains them, such as trade in. Then use Back to My Account Settings to return.

  6. Set the per feed copy

    For alerts that follow a lead source rather than a person, open Lead Feeds Manager and switch on SMS Notify on the feed. Allow Manager Copies sends a manager a copy of every lead from that feed without assigning it to them.

  7. Test it

    Use Add New Lead to enter a test lead assigned to yourself, or have a teammate text your tracking number. You should get the text on your phone and hear the sound at your desk within seconds.

Before you start

You need the cell number you actually carry on your user record, and a browser that is allowed to play sound on the CRM tab. A new user already has the important alerts on, so if you have done nothing you still get new lead alerts and the sounds; this guide is about tuning them to how you work.

Who can do it: every user sets their own alerts under My Account Settings. A Manager or the Master Administrator sets any user's alerts from User Management, which is how a store decides that a BDC agent gets new lead texts and a finance manager gets signed worksheet texts. Per feed SMS Notify lives in the Lead Feeds Manager and is a manager's job. The lead notifications and alerts page describes every alert type and what each one carries.

What you should see

When a new lead is assigned to you, a text arrives from the store's CRM number with the customer's name, what they asked about and a link that opens the lead. At the desk the New Lead sound plays and a toast slides in at the corner of the screen. A customer's text reply does the same on the text reply alert and the Text Message sound. The LeadLocate mobile app carries the same alerts and adds an inbound call alert screen, so you see who is calling the tracking number before you answer.

A manager with Allow Manager Copies on a feed sees every lead from that source land, without owning any of them. That is the split most stores want: the rep hears about their leads, the manager hears about the source.

If it did not work

No text arrived. Check the mobile number on the user record is a cell, with no extension, and that the event is switched on under Text Notifications. If that number ever replied with a stop keyword, it is blocked from alerts on that channel, the same way a customer's number would be, until it opts back in.

No sound at the desk. Browsers block sound on a tab until you have interacted with the page, and a muted tab or muted computer plays nothing. Click somewhere in the CRM, check the tab is not muted, and confirm the sound toggle is on under Notification Sounds. The on-screen toast shows even when sound is off, so if you see the toast the alert fired.

The whole floor got the alert. Assignment decides who is notified. If a feed is set to Unassigned, nobody owns the lead and the notify list hears about it instead. Set the feed to round robin or a single user in the Lead Feeds Manager; the round robin lead assignment page covers the rotation.

Notifications tell you something happened; the settings around them decide what happens next. Set up your profile first so the mobile number and PIN on your record are right. Tips from the floor

Reps who live on the lot turn on text alerts for new leads and text replies and leave email off; managers who live at the desk keep the sounds on and the texts off, and put themselves on manager copies for the feeds they run. Turn on the Team Chat sound only if you are the person people wait on. And keep the signed worksheet alert on for whoever desks deals, because that text is the one that gets a customer into finance before they cool off.

Frequently Asked Questions

Where do I change my notification settings?

Two places. Your own login: Account Settings, My Account Settings, Alerts Settings. Any user's record: Billing & Admin, User Management, Edit User, then the Notifications tab, which a Manager or the Master Administrator uses to set alerts for the team.

Can I get a text for new leads but not for emails?

Yes. Every alert type is its own switch under Text Notifications, and every sound is its own switch under Notification Sounds, so a rep can be texted for new leads and replies while emails only chime at the desk.

How does a manager get copied on every lead from one source?

Open the feed in the Lead Feeds Manager and switch on Allow Manager Copies, or use SMS Notify on the feed. The manager sees each lead land without being assigned any of them.

Do the alerts reach the phone app?

Yes. The LeadLocate mobile app carries the same alerts, opens the lead from the link, and shows an inbound call alert screen with the caller before you answer.
