How to Set up Your Profile in LeadLocate

Your profile is what customers and teammates see next to everything you send. Five minutes on the first day and you never think about it again.

Your profile in LeadLocate CRM is the name, photo, contact details and email signature that customers and teammates see next to everything you send. On the desktop CRM it lives on your user record under User Management; on the phone app it is My Profile. Setting it up takes about five minutes, and you do it once.

Step by Step

  1. Open your user record

    In the desktop CRM open Billing & Admin and choose User Management. Find your name in the Users list and open Edit User. A Manager or the Master Administrator opens any record this way; if that menu is not on your login, ask them to open yours, or start from the phone app in step six.

  2. Check your details

    On User Details confirm your name, Job title and Mobile phone (US). The mobile number is where your text alerts go, so it has to be the phone in your pocket, not the desk line.

  3. Add your photo and signature

    Open Profile and Signature. Upload a clear head and shoulders photo under 5MB, then write your Email Signature: name, title, store, direct number and your booking link. The signature is added to the emails you send from the CRM.

  4. Set your Quick Access PIN

    On the same record set the 4 digit PIN for mobile quick access. This is the Quick Access PIN you use to get back into the phone app at a shared desk or on the lot without typing a password.

  5. Choose your alerts and sounds

    Open Notifications. Switch on the Text Notifications you want on your phone and the Notification Sounds you want at your desk, such as Play New Lead sound and Play Text Message sound. Save the record.

  6. Check the phone app

    Open the LeadLocate mobile app and tap My Profile. Confirm the same First and last name, Email address and Mobile phone show. Tap the photo there to change it if you would rather take it with the phone camera.

Before you start

You need a LeadLocate login, a photo of yourself, your direct number and, if you already have one, your personal booking link. One login carries the same profile into the LeadLocate CRM, SecureWebX, Inventory Link and the My LeadLocate account portal, so there is one profile to set, not four.

Who can do it depends on the role. A Manager or the Master Administrator edits any user from User Management, which is how most stores set up a new hire before the first shift. Every user, whatever the role, edits their own name, contact details and photo from My Profile in the phone app. The user roles and permissions page explains the three roles if you are not sure which one you have.

What you should see

Your photo appears next to your name inside the CRM and on your personal booking link, so a customer who has been texting with you books with a face they recognize. Emails you send from the CRM carry your signature at the bottom, with your direct number and booking link where the customer can tap them. The appointment booking links page shows what the customer side looks like.

On the phone, the Quick Access PIN lets you back into the app after it locks, and the alerts you switched on arrive as texts to the mobile number on your record. At your desk, the sounds you chose play when a lead lands or a customer replies, with an on-screen toast alongside. If all three of those are happening, the profile is done.

If it did not work

The photo did not upload. The record only accepts an image under 5MB. Resize the photo, or take a fresh one with the phone camera from My Profile, which produces a file of the right size. A square crop of your head and shoulders reads best at the small sizes the CRM uses.

Text alerts are not arriving. Check two things: the mobile number on your record is your cell, with no extension, and the events you want are switched on under Text Notifications. If a notify number ever replied with a stop keyword, that number is blocked from alerts on that channel until it is opted back in. The lead notifications and alerts page lists every toggle.

User Management is not in your menu. Your role is User, which is normal for a salesperson. Edit what you can from My Profile in the phone app, and ask a Manager or the Master Administrator to set the PIN, signature and routing on your record.

Use the same photo on your profile, your personal website and your business card from Design Studio, so a customer sees one face across every touch. Put the booking link in the signature on day one; a customer reading an email at 9 p.m. books a Saturday visit without a single text back and forth. And set the PIN before you need it, because the moment you need it is on the lot with a customer waiting.

Frequently Asked Questions

Where do I edit my profile in LeadLocate CRM?

On the desktop CRM your profile is your user record under User Management in the Billing & Admin menu, opened with Edit User. In the LeadLocate mobile app it is My Profile. The same login carries the profile into SecureWebX, Inventory Link and the account portal.

Can a salesperson edit their own profile?

Yes. Every user edits their name, contact details and photo from My Profile in the phone app. A Manager or the Master Administrator edits any record from User Management, including the PIN, signature, notifications and routing.

Where does my email signature show up?

At the bottom of emails you send from the CRM. Write it once on the Profile and Signature tab with your name, title, store, direct number and booking link.

What is the Quick Access PIN for?

It is a four digit code per user for getting back into the phone app quickly at a shared desk or on the lot. It is set on your user record and does not replace your password for the first sign in on a new device.
