How to Set up Your Privacy Notice and Terms in SecureWebX

The notice an applicant reads is your store's language, edited by your store, changed the day counsel sends new wording. Here is where it lives and how to put it there.

Open the SecureWebX console, go to your company's compliance settings, and paste the privacy notice and terms your counsel approved into the editor for that company. Record your public policy pages in Privacy policy URL and Terms of service URL, then save. Applicants see the new language on the next credit application, and each consent is kept against that version.

Step by Step

  1. Get the language from your counsel

    Your compliance counsel writes the privacy notice and the terms; the console is where you put them. Ask for the text in a form you can paste, and ask which states need their own disclosure while you are at it, since those are managed in the same place.

  2. Open compliance settings for the company

    In the SecureWebX console, open the compliance settings for the company you are editing. A group with several rooftops keeps one notice per company, so check the name at the top before you paste anything. A single store has one.

  3. Paste the privacy notice into the editor

    The editor takes headings, bold, italic, underline, bulleted and numbered lists and links, so counsel's language reads the way counsel wrote it instead of arriving as a wall of text. Paste it, tidy the formatting, and read it once on screen before you save.

  4. Add your terms the same way

    Your terms are edited in the same place and against the same company. These are the terms the applicant submits under, separate from the SecureWebX Terms of Service that governs your store's use of the console itself.

  5. Record your public policy pages

    Put the addresses of your website's own policy pages into Privacy policy URL and Terms of service URL on the company record, so the notice inside the application and the Privacy Policy and Terms of Service links a customer follows from your site say the same thing.

  6. Save it, then check an application

    Save, then open one of your apply links the way a customer would and walk to the review step. The notice, the terms and any state disclosure you show appear there with the credit authorization and the signature line. What you read there is what the next applicant agrees to.

  7. Make sure your people are on the record too

    Every user of the console is asked to read and accept the terms before working in it. A new finance manager signing in for the first time sees Accept our Terms of Service with I have read and accept the SecureWebX Terms of Service. to check, and the acceptance is recorded with the date.

Before you start

You need a SecureWebX login with a role that edits company settings, usually the dealer principal, a general manager or the office manager who owns compliance. The console opens from the SecureWebX button in the LeadLocate CRM dock with one login, and SecureWebX is created with your LeadLocate account, so the settings are waiting for your language the day you start.

Bring three things: the privacy notice, the terms, and the list of states you sell into. State specific disclosures are added, edited and deleted in the same compliance settings and shown on credit applications, and a store that draws buyers across a state line usually needs more than one. Everything on this page is your store's language under your store's control, which is the part that matters when counsel changes a paragraph.

What you should see

Your notice and terms saved against the company, and the new language on applications from that moment. Nothing to redeploy, no ticket, no wait. Open an apply link and read the review step: the credit authorization, the disclosures you show, the notice, and the e-signature the applicant uses to submit. Underneath, each submission records the applicant's consent against the version in force when they signed. Change a paragraph next quarter and every earlier applicant keeps the exact wording they agreed to, with the date. That is what makes a question about one customer, asked long after the deal, a lookup instead of an investigation.

How a wording change is handled

Counsel sends a new paragraph, you paste it, you save. Applicants from that point forward see the new language. The versions before it are kept with the applications that were signed under them, so the record stays accurate rather than being overwritten by the latest edit.

Console users get the same treatment on their side. When the terms that govern your store's use of the console change, acceptance is asked for again at sign in, and each acceptance is recorded with a name and a date. Between the versioned applicant consent, the forced acceptance for staff, the full audit log and an archive, never delete rule for records, your compliance file builds itself while the store sells cars.

If it did not work

The application still shows the old wording. Check the company name on the settings you edited. In a group, each rooftop keeps its own notice, and pasting into the wrong company changes an application you were not looking at.

The formatting arrived as one block. Paste again and rebuild the headings and lists in the editor. Text pasted from a word processor sometimes carries styling that does not belong to the page, and five minutes of tidying is worth it for a document customers actually read.

You need a disclosure on one apply link only. Add it to that link instead of to the company. Each of your apply links can carry its own extra disclosures with acknowledgment required before the applicant continues, which suits a special finance link or a commercial link without touching the one on your website.

A user says they were asked to accept terms again. That is the forced acceptance working after a change. It takes one click and puts them on the record for the conditions they handle applicant data under.
