Bulk Email With Recipient Management for Dealers
One message, every inbox on the list, sent from the CRM your team already lives in, with a history row for every blast so nobody has to ask who sent what.
What Bulk Email does, in one sentence
Bulk Email sends one message to an entire recipient list from inside LeadLocate CRM, with the subject, template, attachment and list managed on a single screen and every blast recorded in a history table. That is the whole feature, and it is worth being that plain about it because most stores have spent years bolting a separate mass email product onto the side of their CRM, exporting a spreadsheet of addresses every time they want to announce a sale, and then losing track of who was emailed about what.
The dock tile that opens it carries the tagline One blast, every inbox, and that is the promise: a service special, a trade appraisal event, an end of month push, a new arrival announcement, or a simple thank you to everyone who bought last quarter goes out once, to everyone it should reach, from the same system that holds the lead, the texts, the calls and the deal. It is one of the eight tools under Marketing Tools on the dock, alongside Bulk Texting, Texting Chatbots, Text Automation, Voicemail Drops, Phone Validator, Email Automation and Email Validator, so the person who runs the store's outbound already knows where to find it.
This page is the product side view. If you are still deciding whether email belongs in your follow up at all, the auto dealer software CRM page covers the wider communications picture, and the full features list shows where Bulk Email sits among everything else the platform does.
How a dealership uses Bulk Email on a normal Tuesday
Picture the internet director at a mid size store on a Tuesday morning. The used car manager has forty units that have aged past sixty days and wants them gone before the end of the month. The director opens the CRM, clicks Marketing Tools on the dock, then Bulk Email. The Bulk Email Messenger form is waiting: a Campaign selector, a Recipients box, Subject, Template, Attachment and Message.
She picks the campaign list of everyone who inquired about a pre-owned SUV in the last ninety days and did not buy. She chooses the aged inventory template the store built last month, changes the subject line to something a human would open, and drops in the one sheet the used car manager made as the attachment. She reads the message once more, presses Send Bulk Email, and the screen tells her the blast is queued. Total elapsed time is shorter than the coffee run she is about to take.
By lunch the replies are arriving in the CRM email inbox, threaded under the lead they belong to, because the send went out from the CRM rather than from a tool that knows nothing about the lead record. A salesperson who sees a reply from a customer he already talked to picks up the conversation from where it left off, with the original inquiry, the earlier texts and the call log right there. That is the difference between mass email that lives in the CRM and mass email that lives beside it, and the email inbox and composer page shows what that thread looks like once the replies start.

Where Bulk Email lives in the CRM
Bulk Email is a dock tool, not a buried settings page. The bottom taskbar in LeadLocate CRM carries My Office, Marketing Tools, Referral Program, Design Studio, My Inventory, SecureWebX, Reports, Feedback, More Options and Jax. Click Marketing Tools and the eight tiles appear; Bulk Email is the one that reads One blast, every inbox. Every user who can see the dock can find it, which matters at a store where the BDC manager, the internet director and a Master Administrator all send from the same account.
The page itself has two halves. The top is the Bulk Email Messenger, the form described above. The bottom is Bulk Email History, a table with Date, Sent By, Subject, Total Sent, Status and a View action for each blast. That history is the answer to a question every manager eventually asks, which is who emailed those customers last week and what did they say. Instead of hunting through a shared mailbox, the manager reads the row.
The Email item on the main menu is a different surface: the inbox, the composer, the single view and the archive, which is where replies to a blast land and where one to one email happens. Bulk Email is for the many; the Email menu is for the one. The two are built to hand off to each other, and the LeadLocate CRM product page walks through the whole menu if you want the map.
Recipient management: lists, campaigns and one address per line
The recipient side is where mass email usually goes wrong, so it gets its own screen logic. The Recipients box accepts one address per line, which means a manager who has a list from anywhere can paste it and send. The Campaign selector points the blast at a saved email campaign list instead, so the lists your store maintains for its buyers, its service customers, its unsold internet leads or its referral partners are one click away rather than rebuilt every time.
Those lists come from the same contact records the rest of the CRM uses. Contact import brings a spreadsheet in once; the customer profile keeps one buyer record per person, co-buyer included; and email campaigns and campaign lists are maintained under the Email menu, so the list you send to on Tuesday is the same list the drip under Email Automation works from on Wednesday. Nobody exports a CSV to a second product and nobody has two versions of the truth about who is on which list.
Template and Attachment do the rest of the work. A template holds the design and the body copy your store approved, so a new BDC hire cannot send an off brand blast by accident. The attachment field takes the flyer, the price sheet or the event invitation and carries it with every copy. Bulk sends draw on message credits that are topped up from My LeadLocate, and the Credits figure sits on the page so the sender knows before pressing the button whether the list will go out in full.
What it replaces, and what a separate mass email tool costs a store
The obvious thing Bulk Email replaces is a standalone mass email subscription. The less obvious things it replaces are the export, the import, the duplicate contact database and the monthly argument about whose list is current. A store that runs email from a separate product pays for that product, pays for the hours somebody spends moving addresses between systems, and pays a third time when a salesperson cannot see that the customer he is calling received a blast that morning and opened it.
There is also the cost of replies going to the wrong place. When a blast goes out from a tool beside the CRM, the replies come back to a mailbox beside the CRM. Somebody has to read them, figure out which lead they belong to, and forward them to the right salesperson. When the blast goes out from inside LeadLocate CRM, the reply threads under the lead, the notification fires for the assigned user, and the communications log records it next to the texts and the calls. No forwarding, no lost reply, no customer who wrote back twice and gave up.
Bulk Email is included in every LeadLocate plan, from CRM Only at $199 a month to the lead plans, so it is not an add on with its own invoice. The pricing page lists the plans and what each includes.
The compliance angle: clean lists, your own domain, and a record of every send
Mass email gets a store in trouble in three ways: sending to addresses that are dead, sending from a domain that mail servers do not trust, and having no record of what went out. Bulk Email is built next to the tools that address all three.
Run a list through the Email Validator before you send it. It is the neighbouring tile under Marketing Tools, it takes the same one address per line paste or a CSV file, and it reports which addresses are worth sending to. A list full of dead addresses hurts the reputation of the domain that sent it, and reputation is what decides whether next month's blast reaches the inbox or the junk folder. Sending from your own dealership domain, set up through email domain authentication, is the other half of that reputation, because mail servers treat a message from an authenticated store domain differently from one that arrives from a shared sending address.
The record keeping is automatic. Bulk Email History keeps every blast with its date, sender, subject and count, and the communications log on each lead records that the customer received it. When a customer asks to stop hearing from the store, the request is honoured by removing them from the campaign list and noting it on their record, so the next blast does not reach them and the log shows why. Consent for texting has its own rules and its own tools, and the do not call scrub and blacklist page covers that side.
How to turn Bulk Email on
There is nothing to turn on. Bulk Email is part of LeadLocate CRM from the day the account is created, and it appears under Marketing Tools on the dock for every user with access to the dock. The first thing to do is build the lists: import your contacts, create the campaign lists you will send to most often, and save at least one approved template so the first blast looks like the store rather than like a test. If your account is new, the onboarding call is a good place to have our team set the lists up with you, and the pre-recorded live demo shows a blast going out before you ever log in.
Message credits are managed from My LeadLocate, the account portal, where the Master Administrator tops them up as the store's volume grows. Sending from the store's own domain rather than a shared address is available on request; our team puts it in production for your dealership as part of setup. After that, sending is a form with six fields and a button, and the history table below it fills in on its own.
What to pair Bulk Email with
Bulk Email is strongest as the loud, occasional voice in a follow up plan that otherwise runs quietly. Pair it with Email Automation, the tile next to it, for the drip that keeps working on an unsold lead every few days without anyone pressing send. Pair it with Bulk Texting when the message is short and urgent and the list has opted in to texts, because a Saturday sale announcement reads better as a text at nine in the morning and as an email with the flyer attached the night before. Pair it with the Email Validator every time a list is older than a few months.
For the content itself, the AI writing assistant in the email composer drafts the message and the Design Studio produces the print piece that becomes the attachment. For the reply side, the Email menu inbox and the lead notifications make sure the person who answers is the person who owns the lead. And for measuring whether the blast did anything, the Reports dashboard on the dock shows activity by user and by day, so the internet director can put a number next to the Tuesday morning send. Everything here is part of the same subscription, which is the point: one system, one list, one history.
Frequently Asked Questions
Is Bulk Email a separate product or part of LeadLocate CRM?
It is part of the CRM. Bulk Email is one of the eight tiles under Marketing Tools on the dock, included in every plan from CRM Only up, and it sends from the same contact records and campaign lists the rest of the CRM uses.
How do I manage recipients for a bulk email?
Two ways. Paste addresses one per line into the Recipients box, or choose a saved campaign list from the Campaign selector. Campaign lists are maintained under the Email menu and built from imported contacts and lead records, so the same list serves blasts and drips.
Can I attach a flyer or price sheet to a bulk email?
Yes. The Bulk Email Messenger has an Attachment field that carries a file with every copy, and a Template field that holds the approved design and body copy so every sender starts from the same layout.
Where do replies to a bulk email go?
Into the CRM email inbox, threaded under the lead they belong to, with a notification to the assigned user and an entry in the lead's communications log. Nothing is forwarded from a separate mailbox.
How do I know who sent a blast and how many went out?
Bulk Email History, on the same page as the messenger, lists every send with Date, Sent By, Subject, Total Sent, Status and a View action. Managers read the row instead of searching a shared mailbox.
Should I validate a list before a bulk send?
Yes, especially an older list. The Email Validator is the neighbouring tile under Marketing Tools and takes the same one per line paste or a CSV file. Dead addresses hurt the reputation of the sending domain, and reputation decides whether the next blast reaches the inbox.
