Email Inbox and Composer Inside the CRM
Email is still where the quote, the paperwork and the long answer go. Keeping it inside the CRM means the thread, the lead and the record are the same thing.
What the email inbox and composer do, in one sentence
The email inbox and composer are the part of LeadLocate CRM where a customer's emails are read and answered on the lead they belong to, from the store's own domain, with templates, attachments from the file library, a vehicle from inventory and an AI writing assistant in the composer, and every message written to the same communications log as the store's calls, texts and voicemails. Under the Email menu on the desktop, under Email in the dock of the LeadLocate mobile app, and behind the Send an Email button in the top bar.
It is a working inbox, not a send only tool. Replies come back into the thread, the thread is attached to the lead, and a manager reading the lead sees the emails between the texts and the calls in the order they happened. How a rep uses it on a normal day
A customer emails at 9:15 asking for out the door pricing on two SUVs and whether the store will take a trade with a lien. The Email Sound chimes, the toast shows the subject, and the thread opens in the inbox with the lead's name, status and owner above it. The rep clicks reply, picks the store's pricing reply from Select a Template, and clicks the vehicle button twice to drop both SUVs into the email with photos and prices. She uses the AI Writing Assistant to draft the paragraph about the lien in plain language, reads it, changes one sentence, and attaches the trade appraisal checklist from the file library's Docs folder. Send.
At 1:40 the customer replies with the payoff letter as a PDF. It sits in the thread with a View PDF button, so she reads it without downloading anything, adds a tag to the lead, and clicks Auto Follow-up Scheduling so a follow up goes out if the customer goes quiet. At 4:00 the desk manager opens the lead to structure the deal and reads the whole exchange, emails and texts together, without asking her to forward anything. The email was never in a personal mailbox, and the PDF is on the lead where the finance office will find it.

The inbox: one thread per customer, on the lead
The inbox lists conversations by customer, searchable by name, phone, email or company, with row colors and a color filter so a rep marks threads the way they mark leads. Opening a thread shows every message between the store and that customer, with who at the store sent each one, and the lead's details, notes and assignment beside it. Assign To moves a conversation to another user. Blacklist adds the address to the store's block list from the thread. Contact Lookup and Search Leads connect an email from a new address to the customer it belongs to, and Add a new Contact creates the record when there is none.
Attachments a customer sends are kept on the thread and can be viewed in place or saved to a folder in the file library, so the insurance card, the payoff letter and the signed form live with the lead instead of in a download folder. Read email can be archived to keep the inbox short without losing anything; the single view opens any message in full. Everything in the thread is also in the lead's communications log, which is where the emails meet the texts and the calls.
The composer: templates, a vehicle, files and an assistant
The composer opens from a thread, from New email message in the inbox, from the Email Composer page with its Send New Email Messages form and Email Messages History, or from the Send an Email button on any page. It writes plain or HTML email, and the toolbar holds the controls a rep reaches for. Select a Template drops in one of the store's saved emails. Insert a vehicle from your inventory puts a unit into the email with its photos and price; when inventory is fed by Inventory Link, that is the unit on the lot today. Attach file opens the file library with its Docs, PDFs, Photos, Videos and Audio, plus Upload from Computer and Upload from Mobile Device, up to 20 files in a batch and 50 MB per file.
The AI Writing Assistant drafts an email from a short instruction and offers a set of approaches by name, from a warm recap and appointment setting to a price and payment framing to a breakup and permission close, so a rep picks the intent and edits the words. Clean Up My Text tidies a draft typed in a hurry, and Voice input dictates one. The AI writing assistant page covers the assistant in depth. A link in the email can be a trackable short link with click stats. Send is one click or the keyboard shortcut, and the sent message appears on the thread immediately.
Sent from your domain, to addresses that exist
An email the customer never receives is not a follow up, so two features sit underneath the composer. Email domain authentication lets the store send from its own domain, so the message arrives as the dealership rather than as a generic sender, and the reply goes back into the CRM thread. The Email Validator, in the dock under Marketing Tools, checks addresses and shows validity dots on the lead, so a rep sees before writing whether the address on the lead is worth the effort and a bad address is fixed by a phone call instead of discovered by a bounce.
Neither of these is visible in the composer, and that is the point. A rep writes an email; the store's domain and the validity check were handled once, by a Master Administrator, when the account was set up.
What it replaces, and what a personal mailbox costs
Most dealership email lives in personal mailboxes, which means the quote a customer received in March is in the mailbox of a rep who left in April. The alternatives stores buy are an email marketing tool connected to the CRM, which sends but does not receive, or a shared mailbox everyone can see and nobody owns. In both cases the manager structuring a deal cannot read what the customer was told without asking somebody to forward it.
Inside the CRM, the email is on the lead from the first message, whoever sent it, whenever they leave. There is no second login, no per user email tool and no export; the inbox and composer are part of every plan on the pricing page, including CRM Only from $199 a month, with the mobile inbox included. The cost of the personal mailbox is the customer who has to explain to the third salesperson what the first one promised.
The compliance angle: one record, one opt out list
Email to a consumer carries its own rules, and keeping it inside the CRM makes the store's record complete. Every email sent and received is stored on the lead with its timestamp and sender, so a question about what the store told a customer has a written answer from the store's own system. The customer's contact information lives in the encrypted Customer Profile, not in a rep's contacts. Blacklist, one click from any thread, adds an address to the store's block list, and a blocked address is blocked for every user and for Email Automation and Bulk Email alike, because they all read the same list.
Email domain authentication is a compliance feature as much as a deliverability one: mail that is authenticated as coming from the store's domain is mail the store can stand behind. And because the inbox, the texting inbox and the call log share the lead, a customer who opted out of texts and asked for email instead is handled by looking at the record, not by remembering a conversation.
How to turn it on, and what to pair it with
The inbox and composer are live from the first day under the Email menu. A Master Administrator sets up email domain authentication once so mail sends from the store's domain, and our team does that with the store on request. Templates come with the account and can be edited; the file library starts with default folders per user. If we are ever briefly unreachable, emails already sent are in customers' inboxes and replies wait at the store's domain until the inbox is back; nothing on a thread is lost. The contact page reaches a person for anything else.
Pair the inbox with the texting inbox, since most customers move between the two and the lead holds both, and with lead notifications, so an Email Alert reaches the rep's phone when a customer writes back. Bulk Email and Email Automation in the Marketing Tools menu send the store wide message and the drip through the same domain and the same block list, and the Email Validator keeps the addresses clean. Frequently Asked Questions
Do customer replies come back into the CRM?
Yes. The inbox is two way. A customer's reply lands on their thread in the Email menu, attached to the lead, raises the Email Sound and toast at the desk and an Email Alert on the rep's phone if that toggle is on, and is written to the lead's communications log.
Can I send a vehicle in an email?
Yes. The Insert a vehicle from your inventory button in the composer puts a unit into the email with its photos and price. With Inventory Link feeding the CRM, that is the unit on the lot today.
Where do attachments come from?
