How to Drop a Voicemail in LeadLocate

Record the message once. Leave it with one button every time a call rolls to voicemail, or send it to a list at once.

Dropping a voicemail in LeadLocate CRM means leaving a recording you made earlier instead of improvising a message on every call. You record it once under Voicemail Drop Files, then press Drop Voicemail on the softphone when a call reaches the customer's mailbox. The same library sends a recording to a whole list from Voicemail Drops under Marketing Tools.

Step by Step

  1. Record the message once

    Under Billing and Admin, open Voicemail Drop Files. Record in the browser, or choose Record your voicemail over the phone and dial the number shown to record from any handset. A file recorded elsewhere goes in with Upload audio file. Give it a name in Recording Name and press Save Voicemail; it appears under Saved Voicemail Recordings.

  2. Place the call

    Call from the phone number on the lead, or open Make a Call in the top bar and dial on the VoIP Phone. Calling from the lead is better: the call and the drop attach themselves to the customer's record.

  3. Wait for the mailbox

    Let the call ring through to the customer's voicemail greeting. Do not hang up when the greeting starts.

  4. Press Drop Voicemail

    Press Drop Voicemail on the softphone and pick the message from Select Voicemail Recording. The CRM plays it into the mailbox. You can hang up and dial the next customer while it plays.

  5. Confirm it in the log

    Open Calls. The row shows the call as a Voicemail Drop with the status Voicemail was successfully delivered, and the same entry sits on the lead's timeline.

  6. Send one message to a list instead

    For fifty people at once, open Marketing Tools on the dock, then Voicemail Drops. In the Bulk Voicemail Messenger: pick a saved list under Campaign: or paste numbers where it says Please enter one number per line, choose the recording, set a Schedule Time if you want it later, and press Send Voicemail Blast. The send is recorded under Bulk Voicemail History: with Sent By and Total Sent.

Before you start

You need a login to LeadLocate CRM and one saved recording. Any user who can place calls can drop a voicemail on a call; sending a blast to a list is normally a manager's job. Record the message in a quiet room, keep it under thirty seconds, and say your name, the store, one line about why you are calling and your direct number. A store can keep shared recordings for everyone and a personal one per salesperson in the same library. For a list send, run the numbers through the Phone Validator first and make sure the DNC Blacklist is current, because a voicemail delivered straight to a mailbox is still an outbound contact and the calling rules where your store operates apply to it. What you should see

On a single call, the drop takes a second to start and the softphone is free as soon as you hang up. The call row on Calls reads Voicemail Drop rather than a call nobody answered, and the recording you left is named on the row, so a manager can see which message each salesperson is using. A customer who calls back reaches the number you said in the recording, and the return call lands on the same lead. On a list send, Bulk Voicemail History: gains a row the moment the blast is queued, with who sent it, how many numbers were on the list and the time. If you set a Schedule Time, the row waits with that time until it goes out.

If it did not work

The drop button is not there. The library is empty. Drop Voicemail needs at least one recording under Saved Voicemail Recordings; record or upload one and place the call again.

The log reads Voicemail delivery failed. The far end hung up before the message finished, or the customer's mailbox is full or not set up. Both are the customer's side. A text to the same lead is the sensible next move, and the Voicemail Fallback status on a forwarded call means the store's own greeting caught it instead.

The recording played but the customer heard only the tail of it. You pressed Drop Voicemail before the customer's greeting finished, so the first seconds played into the beep. Wait for the tone next time. If your greeting is the one that is cut, re-record it with a second of silence at the front.

The support team can see the delivery status from the store's side if none of these fit.

Tips from the floor

Make two recordings, not one: a general callback and one for the customer who visited and did not buy. Name them so the right one is obvious in a hurry. Re-record every month or so, because a message that mentions a sale that ended sounds like a machine, and the whole point is that it does not. And say your direct number twice, slowly, at the end; that is the part people replay.

Frequently Asked Questions

Can I leave a voicemail without the phone ringing on the customer's end?

Yes, that is what a list send from Voicemail Drops does: the recording is delivered straight to the mailbox. A single call drop happens after the call rings through to voicemail.

Can I delete a voicemail I already dropped?

No. Once the recording is delivered it is in the customer's mailbox. You can remove a recording from your library so it is never used again.

Is a voicemail drop legal?

It depends on where your store is, who is on the list and why. Treat a drop like any outbound call: scrub the list, honor the DNC Blacklist, and check the rules where you operate with your own counsel.

Does the drop cost anything per message?

There is no per drop charge. Voicemail drop and list delivery are part of every LeadLocate plan.
