AI Follow-Up for Car Dealerships
Every lead gets a personal first message within minutes, follow-up for weeks, and a clean handoff the moment a person is needed. It writes as the salesperson on the lead, inside the hours you set, and stops the moment a customer says stop.
What is AI follow-up for car dealerships?
AI follow-up for car dealerships is software that keeps every lead in a real conversation, from the first message to the moment a salesperson takes over, without anyone typing each line. LeadLocate's version is called AI Follow-Up. It runs inside LeadLocate CRM, on the same lead record your team already works, and it writes as the salesperson assigned to the lead: from the store line, signed with that salesperson's name, in the tone the store picks.
It does four jobs. It starts the conversation, with a personal first message within about two minutes of a lead arriving, inside the hours the store allows. It follows up for weeks by text, email and voicemail drop when the customer goes quiet. It answers when the customer writes back, usually within about a minute. And it hands the conversation to a person the moment a person is needed, with a short summary sent to the salesperson's phone.
It never pretends to be human. When a customer sincerely asks whether they are texting a real person, it tells them they have been chatting with the salesperson's AI assistant and passes the conversation to the salesperson. AI Follow-Up comes switched on in Autopilot for every account, and a manager can move it to Practice, where it writes every message and sends none so you read its work first, or turn it off.
Who AI Follow-Up is built for
It is built for the store whose leads arrive faster than its people can answer them, which usually means nights, weekends and the busiest Saturday hours. Franchise and independent stores, used car lots, buy here pay here dealers, and RV and boat dealers all live with the same gap at different volumes: the shopper who writes at 7:20 on a Saturday evening is ready to talk at 7:20 on a Saturday evening. It fits brokers and small teams who need cover for the leads that arrive while everyone is with a customer, and BDC managers who want the inquiries that land between shifts answered.
The store decides whose leads it works. It can cover every salesperson or only the ones you pick, and salespeople can be allowed to switch it off for their own leads. It can also take the leads nobody owns right now: unassigned leads, and leads whose salesperson was switched off or left the store. The store also decides which leads. By default that means shoppers who sent an inquiry, from the website, a marketplace, chat or any other source where the customer reached out, from every lead source or only the ones you pick. Consumer sellers from your Acquisitions sources and contacts your team saved by hand join only after a manager confirms that those people agreed to be contacted by text and phone, and the name and time of that confirmation are recorded with the setting.

How AI lead follow-up works on a real lead
AI lead follow-up is easiest to understand on one customer. A lead arrives at 7:20 on a Saturday evening, twenty minutes after the store closed: a shopper asking whether the used Silverado on the website is still there and whether the store takes trades. This store set AI Follow-Up to work after hours only, so during the day the team takes new leads and the AI takes the ones that arrive after closing. Within about two minutes the customer gets a text from the store line, signed by Marcus, the salesperson on the lead, with a photo of the truck from the live inventory and one easy question: would Monday or Tuesday work to see it?
She writes back at 10:15 that night. Do they take trades, and can she come Monday at 1? The answer arrives about a minute later: yes, Marcus would be glad to look at her trade, and 1:00 Monday is taken, but 12:30 or 2:00 is open. Those are real open times on Marcus's calendar in LeadLocate, where his appointment booking link lives too, never times the AI made up. She picks 12:30. The appointment lands on the calendar, the lead moves to Appointment Set, and Marcus gets a text from the LeadLocate notification line with a two line summary and a link to the lead.
Sunday morning she asks for an out the door price. The AI keeps the numbers out of it, tells her Marcus will put them together with her, and hands the conversation to him. When Marcus texts her himself an hour later, the AI has already stepped back, and it stays back until he hands the customer to it again from the lead. Every message, the booking and the handoff are on the lead's timeline in order, so Marcus walks into Monday knowing the whole conversation.
AI texting for car sales: what it writes and how it sounds
Good AI texting for car sales reads like a good salesperson on a good day: short, specific and about the customer's vehicle rather than the store. The store chooses the tone, Friendly, Balanced or Professional, and whether messages run brief or a bit longer. A natural pace setting makes it wait 30 to 90 seconds before a reply, like a person reading and typing, or it can answer right away. It answers in Spanish when the customer writes in Spanish.
What it knows comes from the store. With the inventory feed connected, it can talk about every vehicle on the lot and add a photo when that helps the customer picture the vehicle. The store writes its current offers, its policies, a list of things it should never mention, such as another location or dealer fees, and the store facts it should know, and the facts already written for the virtual receptionist can be reused. When a customer is ready to apply, it can send the store's secure credit application link, and the financing conversation itself goes to a person.
Prices are the store's call. Never quote prices keeps every number out of the conversation and invites the customer in or hands off. Share the listed price lets it state the price listed on your inventory and never anything lower. Either way it gives no trade values and leaves approvals, rates and payments to a salesperson, because those are a salesperson's conversation. The first message can stay the store's own as well: keep the Automated Templates intro your store already sends and let the AI pick up from there, or let the AI write the first message for the leads it covers.
Texts, emails and voicemail drops in one follow-up plan
When a customer goes quiet, the follow-up plan carries on for weeks across the channels the store turns on: text messages, email and voicemail drops. It follows the customer, so whoever answers by email gets email and whoever texts gets texts. The store sets how long the plan runs, stops it after a set number of messages in a row with no answer, and can keep in touch after the plan with a friendly check in every few weeks. A lead who never answers ends quietly instead of being chased forever.
Voicemail drops are short, personal voicemails that land without the phone ringing. The store picks the voice for them: an AI voice that writes a message for each customer and the vehicle they asked about, or one of the store's own voicemail drop recordings. A cap sets the most voicemails any one customer gets. Drops left by AI Follow-Up draw on the store's usage credits for ringless voicemail deliveries like any other drop, and every text, email and drop lands on the lead's timeline and in the Scheduled Messages panel with AI Follow-Up as its source, so the team sees what is about to go.
When does it hand the conversation to a person?
Handoffs are the center of the product. It hands off when the customer is ready for a person, when the conversation reaches a topic only a salesperson handles, such as financing, a trade appraisal or the numbers on a deal, and when the customer uses one of the handoff words the store chooses, such as manager, lawyer or cash price. It hands off when a customer sincerely asks whether they are talking to a real person. When it has no good answer, it stops and leaves a note for the salesperson, and a draft that does not pass its safety check is held for the salesperson instead of sent.
A handoff reaches the salesperson as a text from the LeadLocate notification line, with a two line summary and a link to the lead, plus an email alert if the store wants one. The salesperson gets the first chance to answer, and the managers the store picks are told when a handoff has waited too long. The AI sends one short last word so the customer knows a person is coming, then steps back. The lead shows a strip that reads AI Follow-Up paused for this customer, and the salesperson owns the conversation until they hand it back from the lead.
Any text, email, call or voicemail from a person at the store pauses the AI on that customer, so a rep who steps in is never talking over software. Step in on the lead strip does the same thing on purpose. Around appointments the store can have it pause after a visit is booked and check in again two days later only if the customer has gone quiet.
Opt-outs, quiet hours and the rules it keeps
A customer who writes stop texting me, in any words that mean it, gets a short confirmation and goes on Do Not Contact, and nothing more goes out. A wrong number stops the conversation and leaves a note on the lead. A customer who says they already bought stops it too, and the lead can be marked lost automatically. Every send also passes the same do not call checks as the rest of the CRM, through the DNC Blacklist and its live do not call lookup. The first text can carry an opt out line, which carriers expect and which keeps the store's number in good standing.
Quiet hours are built in. The AI starts conversations only during the hours the store sets, which can be the store hours from IVR Settings, custom hours, or after hours only, and only between 8 a.m. and 8 p.m. in the customer's own time zone. It skips the closed dates the store lists. It starts no more than three messages per customer per day, the store can set fewer, and a separate cap limits what it starts across the whole store each day. Replies to a customer who wrote in never count against those limits, so a customer who texts at 10 p.m. can get an answer at 10 p.m. The TCPA compliance for dealership texting guide covers the consent rules every store owns.
What the store controls
Everything above is a setting on one page, opened from the AI Follow-Up button in the Follow Up Processes header. Three modes sit at the top. Practice writes every message for new leads and keeps it on the page, and nothing reaches a customer. Approve first writes every message and waits for a salesperson to tap Approve, with the draft sent to that salesperson by text. Autopilot works every lead it covers as the assigned salesperson and hands off the moment a person is needed, with every stop rule and safety check still on.
Beside the settings, Test it lets a manager write to the AI as a customer would and watch it answer with the store's own choices, and nothing is sent. Goals and booking set the main goal, a visit or test drive, a phone call or a trade appraisal, and whether the AI books open times itself or offers them and the salesperson confirms the one the customer picks. Lead status rules move a lead from New to Contacted when the customer replies and to Appointment Set when a visit is booked, and your Follow Up Processes for that status start as usual.
Every save goes into a change history with Restore, so a manager can see who changed what and put it back. A results view lists leads engaged, conversations, appointments booked and handoffs to salespeople, by salesperson, beside a list of what needs a person right now. Bring open leads in adds leads that are already open and that nobody worked by hand in the last three days, and new leads join on their own once it is on.
How to get AI Follow-Up for your store
AI Follow-Up comes switched on for every LeadLocate account. A manager opens the AI Follow-Up page from Follow Up Processes, and our team walks through the settings with you: who it works for, which lead sources, your hours, your offers and policies, your prices rule and the handoff alerts. You decide how it runs: Autopilot sends, Practice drafts every message for review, and you can turn it off any time.
The rollout we recommend is the careful one. Read a few days of Practice drafts on your own leads. Move to Approve first and let your salespeople approve messages for a while, so they see its work on their own customers. Then switch to Autopilot for a few salespeople and add more later. AI Follow-Up works beside the Automated Templates and Follow Up Processes you already run, and its messages wait in the same queue as everything else your team schedules.
It runs on every active LeadLocate account, voicemail drops use your usage credits, and the plans are on the pricing page. To talk through how it would work at your store, contact our team or watch the recorded demo of the CRM it runs inside.
Frequently Asked Questions
Does the customer know they are texting an AI?
Messages are signed by the salesperson on the lead and sent from the store line. AI Follow-Up never claims to be a person: when a customer sincerely asks, it says they have been chatting with the salesperson's AI assistant and passes the conversation to the salesperson.
Will AI Follow-Up quote prices, payments or trade values?
Only what the store allows. With Never quote prices it keeps numbers out of the conversation; with Share the listed price it can state the price listed on your inventory and nothing lower. It gives no trade values, leaves approvals, rates and payments to a person, and hands those questions off.
What happens when a salesperson texts the customer?
Any text, email, call or voicemail from a person at the store pauses the AI on that customer. The salesperson owns the conversation from there until they hand it back from the lead.
Can we approve every message before it goes out?
Yes. Approve first writes each message and waits for a salesperson to tap Approve, and Practice writes every message without sending any. Autopilot sends on its own, with the handoff and stop rules still on.
Does it text customers late at night?
It starts conversations only in the hours the store sets and between 8 a.m. and 8 p.m. in the customer's time zone, with no more than three messages it starts per customer per day. When a customer writes in at night, it can answer right away, because replies never count against those limits.
How do we turn AI Follow-Up on?
It comes switched on for every LeadLocate account. It comes switched on for every account. A manager opens the AI Follow-Up page in Follow Up Processes to review its settings with our team, and can set it to Practice to read its work first.
