Respond to Internet Leads in Under Five Minutes

A lead lands at 2:15 pm while the salesperson is on the lot. The CRM assigns it, answers it, rings the phone in their pocket, and the human reply goes out before the customer has finished reading the auto reply.

Responding to internet leads in under five minutes with LeadLocate CRM works like this: Lead Feeds Manager pushes the lead in the moment it is submitted, round robin assigns it, Automated Templates send the first text and email within seconds, the salesperson gets a sound alert and a phone notification, and the human reply and click to call go out from the lead record.

What does a five minute response actually require of the store?

Every dealer says they answer internet leads fast. The real test is a lead that arrives at 2:15 pm on a Thursday while the assigned salesperson is walking a customer around a used truck, the BDC is on lunch rotation, and the internet manager is in a meeting. In most stores that lead gets its first human reply at 3:40, after the customer has already heard from two competitors. Five minutes is not a slogan; it is a sequence of handoffs, and every handoff either happens automatically or it waits for someone to notice.

This page walks that 2:15 lead through LeadLocate CRM step by step, using the screen names you will see, so you can judge whether the sequence holds up when nobody is watching the inbox. The short version: the lead is in the CRM in seconds, assigned in seconds, answered in seconds, and the human reply is the only step that needs a person, which is exactly how it should be. The after hours version of this workflow covers what happens to the same lead at ten at night.

How does the lead get into the CRM the moment it is submitted?

Step one is intake, and it is where most delays hide. Lead Feeds Manager gives every source its own feed, whether that is one of our exclusive local lead campaigns, the store's website, a third party provider, or a custom source feed built for something nobody else supports. New leads push into the CRM instantly, with the customer's name, number, the vehicle or budget they described, and the source, before anyone at the store knows the lead exists. There is no polling interval and no morning import.

Intake Process Automation handles sources that post into the CRM through an intake hook, which replaced the third-party automation tools stores used to pay for separately to connect a form to a CRM. Duplicate leads merge into one record, so a customer who fills out two forms on two sites shows up as one conversation rather than two competing reps. That matters for speed because the rep who opens the record sees everything the customer has said so far, not half of it.

Who gets it, and how do they know inside the first minute?

Step two is assignment, and it runs at the same instant as intake. Round robin rotates the new lead across the team you name, global lead distribution applies rules and distribution lists on top of it, and for a group, routing rules per rooftop send the lead to the store that should own it. The salesperson who gets the 2:15 lead is chosen by the rule, not by whoever refreshed the inbox first, which ends the argument about who was supposed to answer.

Then the CRM tells them. Notifications go to the emails and phone numbers each user set in their own preferences, with a sound alert and an on screen toast in the browser and a push on the LeadLocate app. The salesperson on the lot feels the phone buzz while the customer is still looking at the truck, opens the app, and sees the lead with the vehicle and the source. A lead that lands unassigned, because the rule had nobody available, is caught by the unassigned lead automation so it still gets answered and still gets flagged. The whole step takes seconds, and no manager had to forward anything.

What goes out in minute one before a human touches it?

Step three is the first reply, and it comes from Automated Templates. Each lead feed carries its own template set, so a lead from a truck campaign gets a different first message than a lead from a financing form, and a master set sits behind them. The template goes out as a text, an email, or both, in your words, from the store's tracking number and from the store's own authenticated email domain rather than a shared sender. When the lead arrived with a VIN, the message names the vehicle.

The reply carries the salesperson's booking link from Calendar Settings, with the booking hours you set for that calendar, so a customer who already knows they want to come in can pick Saturday at ten without waiting for a callback. Every text in the CRM shows delivery status on the bubble, sent, delivered or failed, so the rep who opens the record a minute later knows the customer has it. The customer submitted a form asking to be contacted, and the reply reads like an answer to that request because you wrote it that way.

What does the salesperson do in minutes two through five?

Step four is the human reply, and this is the only step on the page that needs a person. The salesperson opens the lead detail, on the desktop or on the phone, and reads the thread: the form, the auto reply, and anything the customer has already texted back. The lead detail autosaves in real time, so a note typed while dialing is on the record before the call connects.

The text goes out from the texting inbox. The AI writing assistant drafts a reply in the customer's context, AI merge fields drop in the name and the vehicle, and voice dictation lets a rep standing on the lot talk the message instead of typing it with one thumb. The vehicle button in the composer attaches the unit from inventory as MMS, with photos and price, and a trackable short link reports whether the customer opened it. RCS runs where the phone supports it and falls back to SMS.

The call goes out from the same record. On the desktop, the VoIP softphone dials with click to call, or the CRM triggers the call to a physical desk phone. On the phone app, the VoIP dialer does the same from the lead. Either way the call is recorded and transcribed onto the record. If the customer picks up and wants to come in, Quick Schedule on the phone mirrors the rep's booking link and books the time in a few taps. Text sent, call placed, appointment set, and the clock reads 2:19.

What does the customer see on their end?

Within seconds of submitting the form, a text from the dealership by name, referencing the vehicle they asked about, with a link to pick a time. If they open email first, the same message from the store's own domain. A minute or two later, a second text from a person, with a photo of the actual unit and a question that shows someone read the form. Then a call from the store's tracking number, with verified caller ID, so the phone says the dealership's name rather than an unknown number the customer will let ring.

What the customer does not see is the machinery: the feed, the rule, the alert, the template set. They see a store that answered before they closed the browser tab, and a salesperson who knew what they asked about. That is the whole point of the five minutes. Nearly every buyer intends to negotiate and many ask about a vehicle above their budget; the what to expect page explains why that is a real lead rather than a bad one, and why the speed of the first reply matters more than the wording.

What does the manager see?

The Reports dashboard on the dock, with activity, company and management reporting. The question the manager cares about is simple: how many leads arrived today, how fast each got its first human text or call, who they were assigned to, and which ones have a booked appointment. Activity reporting shows the texts, calls and emails against each lead, and the communications log on any record shows the exact timeline, auto reply at 2:15:40, human text at 2:17, call at 2:19, when a customer later says nobody got back to them.

Because every source has its own feed and its own tracking number, the manager can see which sources produce the leads that book, and Lead Feeds Manager is where a weak source gets turned down and a strong one gets more of the round robin. A lead a rep believes is bad goes through Quality Control Requests, where the manager approves or rejects it and replacement review handles it after delivery, so every lead in your zone reaches you and only you, prescreened at capture, and a bad one costs the store nothing. Call recordings and transcripts turn a coaching conversation about the first call into a playback rather than a memory contest.

Which compliance checks run inside these steps?

They are inside the steps, not a separate audit. Before any template or rep texts a number, the DNC Blacklist is in play: it blocks a number in both directions, imports the list the store already keeps, and runs a live do not call lookup on a number. The customer's form is the opt in, the first reply references it, and a customer who replies asking you to stop is added to the blacklist and the block holds for every rep and every automation.

Every text carries delivery status, every call is recorded and transcribed, and every call, text, MMS, email and voicemail lands in one communications log on the record, which is the evidence you want when a conversation is questioned later. Email leaves from the store's authenticated domain. Outbound caller ID is verified. Personal information in the Customer Profile is stored encrypted, and access is by role, User, Manager or Master Administrator, with a Quick Access PIN per user on the phone. None of it is a setting a busy Thursday lets you forget; it is how the record works.

How do we set this up, and what does it cost?

Setup is an afternoon. Point Lead Feeds Manager at every source you have. Write the first reply in Automated Templates for each feed, and confirm the unassigned lead automation is on. Set round robin for the team that answers during the day, and have each user set their own notification preferences and install the LeadLocate app. Open Calendar Settings and confirm every salesperson has a booking link with real hours. Then submit a test lead from the parking lot at 2:15 and time it yourself.

All of it is inside LeadLocate CRM, on every plan, month to month, with no long term contract. CRM Only starts at $199 per month for a store that already has its own lead sources; plans that include exclusive local leads start at $799 and are listed on the pricing page. An inventory feed and DMS access are not required. The platform is built so your store keeps selling: your main phone line, your DMS and your website stay the store's own, and every lead, thread, recording and appointment is saved on the record and stays saved. Watch the recorded demo, or reach a person on the contact page who will set the sequence up with you. More workflows like this one, including texting a credit application link once the customer answers, are on the solutions hub.

Frequently Asked Questions

Does the five minute reply come from a person or from the CRM?

Both, in order. Automated Templates send the first text and email within seconds of the lead arriving, from your tracking number and your own email domain. The assigned salesperson, alerted on the phone, sends the human reply and places the call from the lead record in the minutes that follow.

What if the assigned salesperson is with a customer?

The auto reply already went out, the booking link is already in the customer's hand, and the alert is waiting on the rep's phone. Round robin chose the rep by rule, so a manager can reassign from the record if needed, and Follow Up Processes keep the next touches scheduled either way.

Does this work for leads from my website and third party providers, not just LeadLocate leads?

Yes. Lead Feeds Manager gives every source its own feed, including custom source feeds for providers nobody else supports, and Intake Process Automation takes posts through an intake hook. Every feed can carry its own Automated Templates set.

Can the salesperson answer from the lot without going back to a desk?

Yes. The LeadLocate app shows the lead, the thread and the vehicle, sends the text with voice dictation, places the recorded call from the VoIP dialer, and books the appointment with Quick Schedule. The desk is optional.

How does the manager know the five minutes actually happened?

The communications log on each lead is time stamped: the auto reply, the human text with delivery status, the recorded call and the appointment. The Reports dashboard rolls that up by rep and by source, and Quality Control Requests handle any lead the rep believes is bad.

What stays the store's own in this workflow?

Your main phone line, your website and your DMS. The platform is the sales layer beside them: it delivers the lead in seconds, answers it from your tracking number and your own email domain, routes the call to the ring list you set, and saves every text, recording and appointment on the record, where it stays for whoever reads it next.
