LeadLocate for Used Car Managers

Acquire from local owners, work buyer leads that arrive with the VIN attached, appraise a trade from a phone, desk with trade credit caps, and read why deals died before you buy the next unit.

LeadLocate gives a used car manager one login for acquisition and turn: opt-in seller offer requests from local owners, buyer leads that arrive with the VIN attached, a trade-in form with VIN scan and photos, EZ Desking with trade credit caps, and a Reports dashboard that records a lost reason on every dead deal. An inventory feed and DMS access are not required, and every plan is month to month.

What numbers is a used car manager judged on, and which of them does software touch?

A used car manager lives on four numbers: days supply, turn, front gross per unit and the aged unit count that gets read aloud in the Saturday meeting. Two of those are inventory numbers and belong to the lot and the DMS. The other two are demand numbers, and demand is where a used car department usually has the least control and the most vendors. You buy units on instinct and auction data, you price them against the market, and then you wait for a third party listing site, a website form and a handful of walk-ins to tell you whether you guessed right.

LeadLocate sits on the demand side of that equation. The LeadLocate CRM is where the buyer leads land, where the trade gets captured and where the deal gets desked. Inventory Link is where the units get merchandised and where the vehicle data comes from. And the plan itself, on the acquisition side, delivers opt-in offer requests from local owners who asked a dealership to contact them about buying their car. This page walks a used car manager's day through those tools in the order they get opened, names each screen the way the software names it, and ends with what the general manager sees from above and how a department starts.

What is the first screen a used car manager opens in the morning?

The Inventory menu, or the My Inventory button on the dock, which opens the same units through Inventory Link. The inventory list holds every vehicle the store is carrying with its photos, price and stock number, and edit vehicle and photos is where a price drop or a new set of pictures goes in. Stock number overrides keep your numbering system intact when the feed uses its own. A unit without a photographer's pictures picks up promo photos and stock imagery so it is not sitting on the website as a grey silhouette while it waits for the lot porter, and the stock photos for listings page explains how that works.

Where the units come from is your choice. Inventory Link ingests the dealer's feed when there is one, and when there is not, it imports inventory from your own website, recognizing the platforms most dealer sites are built on. An inventory feed and DMS access are not required, which matters for an independent used lot that has never had a feed and does not want to pay for one to try a CRM. The inventory feeds page covers both routes.

Second screen is the Workspace: today's appointments, reminders and to-dos with snooze and bulk clear. For a used car manager that list is usually the appraisals promised yesterday and the customers who said they would come back with the title.

How do the acquisition leads work, and where does a trade get appraised?

Acquisition first, because it is the part most CRMs know nothing about. Car seller leads at LeadLocate are inbound and opt in: local owners who filled out one of our vehicle offer request pages and asked to be contacted by a dealership about selling. They arrive in the CRM as leads with the owner's answers to the prescreening questions asked at capture, and every request in your zone is delivered to you and only you, prescreened at capture and backed by a replacement review, so a request that turns out wrong costs you nothing. Some owners want more than the car is worth and some are three weeks from being ready, which is the same spread a used car manager already reads across a lane at auction and prices around. The what to expect page walks through how in market sellers behave, so the desk works the list in the order that buys cars. Seller leads come with the Marketplace Acquisitions plan and the Buyers & Sellers Hybrid plan, and the pricing page has the current figures.

The appraisal itself happens on the trade-in form inside the deal. On the phone, the trade VIN scan reads the barcode on the door jamb and the trade info scanner fills the year, make, model and trim from the vehicle database, so the appraiser is typing mileage and condition notes rather than a seventeen character VIN. Photos attach to the same form from the phone camera. The trade in capture page walks through it. When the owner is standing in the showroom, the driver license scanner puts their identity on the customer record from the card, and the In-Store Now flag tells the whole floor there is a seller on the lot right now.

How does a VIN specific buyer lead get worked?

Buyer leads land under Leads. Because Inventory Link advertises your actual units, inventory sourced leads arrive with the VIN attached: the lead detail shows the shopper and the exact stock number they asked about. Other leads describe what they want in general terms, a used three row under a payment, and both kinds land on the same board with the prescreening answers the shopper gave at capture, so the desk can read intent before anyone picks up the phone. The lead detail autosaves as the rep types, so a note taken during the first call is already on the record when the used car manager opens it.

The first text goes out from Send a Text on the top bar or the Text button on the phone dock. The vehicle button in every text and email composer attaches the unit with its photos and price as an MMS, so the reply to a VIN specific lead is the car itself, not a paragraph about it, and the send vehicles by text page shows what the customer receives. When a shopper asked about a unit that sold this morning, the same button attaches the two closest units in stock. The two way texting inbox shows delivery status on every bubble, so the manager can see whether the customer got the message, not just whether the rep sent it.

Assignment is round robin, so a fresh used lead goes to the next rep in rotation rather than the loudest one, and custom lead statuses let the used desk track a lead the way it actually moves: contacted, appraisal pending, shown, in finance. Duplicate leads merge into one record, which matters when the same shopper submits on three of your units.

How does the desk handle a trade heavy used deal?

Desking is on the main menu, and the engine is DealTracker. EZ Desking builds cash, finance and lease structures, and the piece a used car manager uses most is the multi pencil grid: three or four payment structures side by side, goal seek bays to hit the payment the customer named, and trade credit caps so the trade allowance and the payoff are handled the way the store's policy says. The 50 state tax matrix and semimonthly frequency are there for the BHPH desk in the same building, and the universal field set covers auto, RV, powersports and marine on the same screen. The EZ Desking worksheets page lays out the whole engine.

What the customer sees is a deal page branded to the store, opened with a PIN, with e-signature, a revision view when the numbers change and deal chat back to the salesperson. PencilRecap produces a shareable recap sheet for the customer who wants to show a spouse. The Road to Sale checklist sits on every deal, the Deal Jacket takes the title, the payoff letter and the trade photos by upload or by QR intake from a phone camera, and deal history records every version. Start New Deal works straight from the lead or from the Unit field, so the VIN the shopper asked about is already on the worksheet.

How does used inventory get merchandised without a photographer or a web developer?

Through Inventory Link, which the used car manager reaches from the My Inventory button. The inventory website builder builds and publishes an inventory site from the feed or the imported units, with AI assisted copy for the descriptions nobody has time to write, and a regenerate control when prices change. The embeddable inventory widget drops the same units onto any website the store already has. The vehicle finder lets a shopper describe the unit they want and locates it in stock, which is exactly the customer a used lot wants: someone who knows what they are looking for and is willing to be told you have it. The inventory website builder page covers the publish pipeline.

VIN decode and the vehicle database supply the trim, equipment and the government safety and efficiency data, so a listing describes the car the VIN says it is rather than what the last owner remembered. Every unit is what the CRM's vehicle button attaches to a text, what the Inventory menu lists, and what the phone app's inventory picker shows a rep on the lot. One set of units, one place to fix a price, every channel updated.

What reports does a used car manager read before going home?

Two. The first is the lost reason report. When a rep marks a lead lost, a lost reason popup makes them pick why, and the lost reason tracking page explains how a store sets its own list. For a used car manager, that list is the difference between a report that says lost and a report that says price, vehicle sold, bought elsewhere, could not get financed. Three weeks of those reasons on a particular unit tells you whether to reprice it or wholesale it, and three weeks of them across the whole lot tells you whether the problem is the cars or the desk.

The second is the Reports dashboard on the dock, where activity reporting shows what each rep actually did on the used leads they were assigned: calls, texts, emails, appointments set and shown, all read from the communications log rather than typed into a spreadsheet. Call recording and the transcript lightbox are one click from the same lead, so when a rep says the customer was never serious, the manager can listen to the call before agreeing. The reports dashboard page describes all three reporting modules.

What does the general manager see above the used car desk?

Company reporting on the same dashboard: leads in by feed, statuses reached, lost reasons by source, appointments across the whole store. Because every lead carries its feed from Lead Feeds Manager and a tracking phone number per source, the general manager can see the used department's demand by where it came from, including the seller offer requests, without the used car manager compiling anything. Management reporting sits alongside for the decisions that come out of both views.

The GM also sees the same deal the used car manager desked, with the same numbers, because DealTracker is both the desking engine and the customer's deal page. There is no second copy of the deal to reconcile, and deal history shows who changed what. On the acquisition side, the Quality Control Requests screen shows any seller or buyer lead a rep reported as bad, whether it was approved or rejected, and the replacement review that followed, which is how lead problems are handled at LeadLocate, after delivery.

How does a used car department start on LeadLocate?

Month to month, with no long term contract. A store that wants the software and already has its own lead sources starts on CRM Only from $199 per month. A store that wants seller offer requests from local owners starts on Marketplace Acquisitions from $999 per month, and the Buyers & Sellers Hybrid plan adds exclusive buyer leads to it. Every plan includes the full CRM, because the CRM is what receives and delivers the leads, and leads can be routed into a CRM the store already runs at no price change. The pricing page has the details, and the solutions hub has the pages for the other roles in the building.

Setup for a used department is short. Point Inventory Link at your feed or your website. Turn on the trade VIN scan on the phone app for whoever appraises. Set the custom lead statuses and the lost reason list to match how your desk actually moves a deal. Put a tracking number on each listing source so the reports can tell them apart. The recorded demo shows the screens first, and the contact page reaches a person who will set it up with your used car manager on a call.

Frequently Asked Questions

Do I need an inventory feed to use LeadLocate for a used car department?

No. An inventory feed and DMS access are not required. When you have a feed, Inventory Link ingests it; when you do not, Inventory Link imports inventory from your own website. Either way the units show up in the CRM's Inventory menu, in the vehicle button in every text composer and in the phone app's inventory picker.

Where do the seller leads come from?

From local owners who filled out one of our vehicle offer request pages and asked to be contacted by a dealership. They are inbound and opt in, delivered exclusively in your zone with the answers to the prescreening questions asked at capture. Every request in your zone reaches you and only you with those answers attached, backed by a post-delivery replacement review, so a bad one costs you nothing.

Can my appraiser capture a trade from a phone?

Yes. The trade-in form in the LeadLocate app has a trade VIN scan that reads the barcode, a trade info scanner that fills year, make, model and trim from the vehicle database, and photo capture from the phone camera. The form lives on the deal, so the appraisal is already attached when the deal gets desked.

Does the desking tool handle trade credit and payoffs?

EZ Desking has trade credit caps, a multi pencil grid, goal seek bays, a 50 state tax matrix, semimonthly frequency and three lease tax methods, with centralized deal defaults set by the manager. The customer sees the result on a branded deal page with e-signature and a revision view.

How do I find out why used deals are dying?

The lost reason popup asks the rep to pick a reason from a list your store defines whenever a lead is marked lost. The Reports dashboard shows those reasons by unit, by rep and by source, and call recording lets a manager listen to the conversation behind any of them.

What does it cost to start?

Plans are month to month with no long term contract. CRM Only starts at $199 per month, Marketplace Acquisitions with seller offer requests starts at $999 per month, and the Buyers & Sellers Hybrid plan starts at $1,599 per month. The pricing page has every plan side by side.
