How to Use the Workspace

The Workspace is the daily planner at the top of the CRM menu. Here is how to work it from the first coffee to the last callback, on the desktop and on the phone.

Open Workspace from the top of the main menu in LeadLocate CRM. Read Today's Appointments, then click Past Due on the Tasks & To-Dos panel and work the list from the top: text, call or email from each row, then mark the task complete with a note. Snooze a task, move it to tomorrow or clear old ones with Clear All.

Step by Step

  1. Open the Workspace

    Sign in to LeadLocate CRM and click Workspace, the first item in the main menu. On the phone, open the LeadLocate app and tap Workspace. The screen loads with today's appointments and your task list already built from your leads, your calendar and any to-dos assigned to you.

  2. Read today's appointments

    Look at Today's Appointments first. The count beside the title tells you how many customers are booked today, and each row shows the time and the customer. Each appointment row carries its own buttons: add a quick note, mark the customer In Store Now, or use Reschedule Appointment to pick a New date & time when the customer asks to move.

  3. Clear what is past due first

    On the Tasks & To-Dos panel, click Past Due to narrow the list to anything left over from earlier. Work those rows before anything else. When the past due list is empty, switch to the Due Today filter and work today's follow ups from the top down.

  4. Reach the customer from the row

    Each task row has text, call and email buttons on its top line. Click one and the CRM opens its own composer or phone on that customer, so there is no number to look up. Click the row to open the lead popup, and press Open Full Lead Details when you need the whole record, the vehicles and the timeline.

  5. Complete the task with a note

    Click the complete button on the row's bottom line. Choose the Method of contact, such as by phone or by text message, type a line about what happened, and press Save Note & Complete. The note goes on the lead's timeline. If there is nothing to add, press Skip Note & Complete. The task moves to the Complete tab.

  6. Snooze, move or clear

    Use the snooze button on a row to bring the task back in an hour, or move it to tomorrow when the customer asked for another day. When the list carries tasks that no longer apply, press Clear All and choose Clear all tasks on the list or Select tasks to clear, then tap the rows to retire.

  7. Add your own to-dos

    Press Add To-Do on the task panel to add a reminder of your own, with a due date and time, and assign it to yourself or to a teammate. At the end of the day, press Print current task list to take tomorrow's list into the morning meeting.

Before you start

You need a LeadLocate CRM login. Every user on the account has a Workspace of their own, and a salesperson's list shows that salesperson's appointments, tasks and to-dos. If you are the account admin setting up a new rep, add them first in User Management; the guide on how to add users and roles walks through it.

The Workspace fills itself from the rest of the CRM. Leads from your lead feeds create follow up tasks, bookings on your calendar become appointments, and a manager's assignments arrive as to-dos. On a brand new account it may be short on the first morning. That is normal, and it grows as the leads come in. Setting your booking link in Calendar Settings on day one is the fastest way to see appointments land on it.

What you should see

Two working panels. Today's Appointments shows every booked customer for today with a count on the title and a print button for a paper copy. Tasks & To-Dos shows your follow ups and to-dos in one list, with the Due Today and Past Due counts above it and a Complete tab that fills up as you work. Your own to-dos carry a To-Do chip so you can tell them apart from lead tasks at a glance.

The News to be aware of panel carries dealer industry news, worth a minute before the first appointment. When you complete a task, the row leaves the open list and appears under Complete, and the note you typed is on the lead's timeline. On the phone, the same lists sit under the Workspace screen, and anything you do on one device shows on the other.

Quick checks

Expecting more appointments? Appointments show on the calendar of the rep they were booked with. Open Calendar, confirm the booking is on your calendar, and check that your booking link is the one in your texts. The guide on how to schedule an appointment covers both.

Looking for a task you finished? It is on the Complete tab for the day. A task you snoozed comes back in an hour, and one moved to tomorrow waits on tomorrow's list.

A narrowed list? A filter is on. Click Past Due again, or the Due Today count, to switch it off and see the whole list.

Tips from the floor

Start every morning on the Workspace, not the inbox. The inbox shows who wrote to you; the Workspace shows who you promised to call, and promises close deals. Clear past due before anything new. Always complete with a note, even one line, because the note is what the manager and the next rep read. Use Clear All for tasks that no longer apply rather than completing them, so your contact numbers stay real. And add a to-do the moment you promise something on the phone; a reminder typed while the customer is still talking is one you keep.

Frequently Asked Questions

Where is the Workspace in LeadLocate CRM?

What is the difference between completing and clearing a task?

Completing records that you reached the customer, with the method of contact and a note on the lead's timeline. Clearing closes tasks that no longer apply without recording a contact, which keeps your activity numbers accurate.
