How to Add a Reminder or To Do

A promise made on the phone is only as good as the reminder behind it. In LeadLocate a reminder is a to-do with a due time, on the same screen as every appointment and follow up.

Open the Workspace in LeadLocate CRM and press Add To-Do. Type the reminder in To-Do Item, add optional Notes, choose a user under Assign To, set the Due Date and Time, and save. The reminder joins your task list, shows as due today when its day comes, and stays on the list until someone marks it done.

Step by Step

  1. Open the Workspace

    Click Workspace at the top of the main menu. On the right of the Tasks & To-Dos panel, next to Clear All and the print button, is Add To-Do. Press it and the Add To-Do popup opens over the list.

  2. Write the reminder

    In To-Do Item, where it says What needs to be done?, type the reminder in plain words, such as call Dana back with the lease numbers on the Tahoe. Use Notes for anything longer, like the payment she asked for. Both fields take the microphone button, Dictate with microphone, and the keyboard button, Clean up grammar and spelling, so you can speak it on the lot and tidy it in one click.

  3. Choose who it is for

    Under Assign To, leave yourself selected for a personal reminder, or pick a teammate. A manager uses this to hand a rep a callback; a rep uses it to pass a Saturday promise to whoever is working Saturday. The to-do lands on that person's Workspace.

  4. Set the due date and time

    Pick the Due Date from the calendar and the Time from the list, which runs in half hour steps through the selling day. You can type any other time by hand. Leave the date empty for an open reminder with no deadline.

  5. Save it

    Press Add To-Do at the bottom of the popup. The reminder appears at the top of your task list with a To-Do chip, ahead of your lead tasks. When its day arrives it counts as due today, and after its time it moves under Past Due until it is done.

  6. Mark it done

    When the job is finished, click the done button on the row. Add a line about how it was handled and press Save Note & Mark Done, or press Skip Note & Mark Done. The reminder moves to the Complete tab for the day.

Before you start

You need a LeadLocate CRM login; every user has a Workspace with a to-do list of their own. Decide what kind of reminder you need, because LeadLocate has three and each is the right tool for its own job. A to-do is a reminder for you or a teammate: call someone back, send the trade photos to the used car manager, chase a payoff. An appointment is a customer booked onto a calendar, and the guide on how to schedule an appointment covers it. A customer reminder is a text or email that goes to the buyer before the visit.

This guide covers the first, with a note on the third at the end. All three show up on the Workspace, so the day's reminders, appointments and follow ups are always in one place.

Adding a reminder from the phone

In the LeadLocate app, open Workspace and tap Add To-Do on the Tasks and To-Dos card. Fill in the Title, pick the Due Date and Time with the phone's own date wheel, which snaps to half hours, add a note if you like, and tap Save To-Do. The reminder is on your desktop Workspace the moment you sit down, and it counts down the same way on both.

To remind a customer instead, open the calendar in the app and tap the appointment. The appointment sheet has Send Text Reminder and Send Email Reminder, which open a message to that customer with the appointment in front of you, so a buyer hears from you the evening before the visit. What you should see

Your new to-do at the top of Tasks & To-Dos with a To-Do chip, the due date and time, and the name of the person it is assigned to. On the due day, the Due Today count above the list includes it. After the due time, the Past Due count does. When you mark it done, it leaves the open list and appears on the Complete tab with the note you left.

A to-do you assigned to a teammate shows on their Workspace, not yours, and stays there until they mark it done. That is what makes it more useful than a sticky note: the reminder follows the person who has to act on it.

Quick checks

Assigned it to someone else? It lives on their Workspace. Ask them to look under Tasks & To-Dos, or add a second to-do for yourself to check in with them.

Time came out at half past nine? A date with no time saves at half past nine in the morning, the start of the time list. Open the to-do and pick the time you meant.

Want it attached to a customer's record? A to-do is a personal reminder. For a follow up that belongs on a lead, book an appointment from the lead, and completing it saves the method of contact and your note to the lead's timeline.

Too many old reminders? Press Clear All and choose the ones to retire.
