How to Use in Store Now in LeadLocate
One tap says this customer is standing here right now. The floor, the desk and the BDC all see it, the visit lands on the lead, and the appointment your BDC booked finally counts as shown.
Step by Step
Find the customer's lead
Whoever greets the customer opens the lead: the receptionist at the front desk, the rep who was expecting them, or the manager on the floor. Search by name or phone number in the Leads menu, or open today's appointments if the customer says they have one. Most arrivals are already a lead, because most people who show up have already texted, called or filled out a form.
If there is no lead yet, make one first
A walk in with nothing in the system needs a lead before anything else can be true about them. Create it from the phone app in the driveway, scan the driver license if they hand it over, and you have a record in less time than it takes to walk back inside. Then flag it.
Press In Store Now
Press In Store Now on the lead. The arrival is recorded against that lead and you land on the appointments list, which is where the rest of the store is looking. The button is deliberately blunt: one press, no form, because the person pressing it is standing in front of a customer and has about two seconds.
Check the appointment reads arrived
If the customer was booked, their appointment status becomes In Store (Arrived). That is the line that turns a booked appointment into a shown appointment, so the BDC agent who set it stops the reminder call she was about to make and counts it. On the phone app, an appointment for a customer who is already flagged says so on the button rather than letting you add a second arrival.
Tell the floor and work the customer
Post it in the sales floor channel if the customer has a trade or an appointment somebody has been waiting on. Then work them: scan the license into the record, pull the unit they came to see from inventory, and start the deal from the lead when the conversation gets to numbers. Every one of those tools opens from the same lead you just flagged.
Take the flag off when they leave
When the customer drives away, clear the flag. A board that says six people are in the building when two are is worse than no board at all. The visit itself stays on the lead, which is what the unsold follow up runs from tomorrow morning.
Before you start
Nothing to turn on. In Store Now is on the lead in LeadLocate CRM from the first login, on every plan, at the desk and in the phone app. What it needs is a habit rather than a setting: somebody has to press it when a customer arrives, every time, or the board is fiction.
Decide who that somebody is before Saturday. In most stores it is whoever greets the customer, which means the receptionist and every salesperson on the floor. Give the front desk the Leads menu and the search box, and give the reps the phone app, because the rep who meets a customer in the driveway is not walking back to a desk to mark it. The In Store Now feature page explains what the flag is worth to a store; this page is the clicks.
What you should see
The lead marked as in the building, and the appointment for that customer reading arrived. On the floor, the assigned salesperson knows the customer is here without anybody shouting across a showroom. At the desk, a manager looking at the day sees which customers are on the lot and who has them, so the next number goes to the right place. In the BDC, the agent who booked the appointment sees it showed.
You should also see the visit stay on the record after the customer leaves. That is the part a whiteboard never gave anyone. The lead now says this person came in, on this day, with this conversation behind them and this unit in it, which makes the follow up two days later a different conversation than texting a stranger.

If it did not work
You pressed it twice and only one arrival appeared. That is on purpose. A second press within a short window takes you to the appointments list instead of recording a duplicate arrival, because two people greeting the same customer is normal and two arrivals on one lead is not.
Nothing happened when you pressed it. Check that the lead is actually a lead and not an unsaved new contact. Save the record first, then flag it.
The phone app has been open since this morning and the button is not responding. The app asks whether you are still there after a long idle stretch and offers to keep you signed in or to use Sign out now. Choose to stay signed in, or sign back in, and press the button again.
The customer is flagged but the wrong rep has them. The flag follows the lead, so the fix is on the lead: reassign it to the salesperson who is actually with the customer, and the floor sees the right name.
Two records for one customer. Merge them on the lead, and the visit, the conversation and the appointment all land on the surviving record. The help center guide on merging duplicate leads covers it.
Why a flag on the lead beats a name on a whiteboard
A whiteboard answers one question for the people standing in front of it: who is here. The flag answers five. Who is here, because the lead is marked. Who has them, because the lead is assigned. Where they came from, because every lead carries its source. What they want, because the texts and calls are on the same record. And whether the appointment showed, because the booking and the arrival are the same customer.
That last one is worth more than it looks. A BDC is judged on appointments that show, and an appointment that shows is exactly a lead that was booked and then flagged. When pressing the button is the habit, the store has a record of shown appointments that came out of the work instead of out of somebody's memory, and the old argument between the BDC and the floor about whether the customer ever came in has an answer on the screen.
Related tasks
An arrival is the start of a sequence, and the rest of it is in the LeadLocate Help Center: scanning a driver license into the customer record, capturing a trade in with photos and a VIN scan, starting a deal from the lead, and scheduling the next appointment before the customer leaves. The in store customer check in page walks the whole arrival end to end.
Two neighbors carry the rest of the day. Team Chat is where the floor hears that the customer with the trade just pulled in, and the desking tool is where the manager pulls numbers for the unit the customer came to see. A showroom board your store wants that works differently from the flag is available on request, and our team puts it in production for your dealership.
Frequently Asked Questions
Where is the In Store Now button?
On the lead in the desktop CRM, and on the appointment in the phone app. Whoever greets the customer opens the lead and presses it.
Does In Store Now mark an appointment as shown?
Yes. A booked customer who is flagged reads as In Store (Arrived), which is how the BDC counts the appointment and stops the reminder call.
What if the walk in has no lead in the system?
Create the lead first, from the phone app in the driveway if that is where you are, then flag it. A driver license scan fills in the name and address in one step.
Do I have to clear the flag when the customer leaves?
Yes, and it takes a second. The visit stays on the lead either way, but the board is only useful while it is telling the truth about who is in the building.
