How to Use Quick Schedule on Mobile in LeadLocate
Quick Schedule is the appointment picker inside every lead on the phone. It offers the same open slots your public booking link shows, with the customer already filled in.
Step by Step
Sign in and open the lead
Open the LeadLocate mobile app and sign in with your CRM login, your Quick Access PIN or biometrics. Tap Leads or Contacts, find the customer, and tap the row so it expands.
Find the picker
In the expanded row, look for the In Store Now button. Two square buttons sit to its left: the calendar with a plus opens the appointment picker, and the list icon adds a to-do instead. Tap the calendar.
Check the customer
The Schedule an Appointment sheet rises from the bottom with the customer's name, phone and email already filled from the lead. There is nothing to type here unless the lead is missing a number.
Pick a day, then a time
Tap a day on the month grid, then tap one of the open times under it. The times are the same slots a customer would see on your booking link, so a slot that is already taken does not show. If a day reads that there are no open times, pick another day.
Choose who it is with
The picker under the times defaults to you. A BDC agent booking for a salesperson picks that person here, and the appointment lands on their calendar, not the agent's.
Add notes and confirm
Type anything the person taking the appointment should know in Notes, such as the vehicle or the trade, then tap Confirm. The sheet closes and you are back on the lead.
Before you start
You need the LeadLocate mobile app installed and signed in with the same login you use on the desktop CRM. Any user role can book an appointment this way; there is no manager switch to turn on. The one piece of setup that matters is booking hours. Quick Schedule draws its open slots from the same hours as your public booking link, which are set in the Settings popup on the desktop Calendar. If your hours are blank, the picker offers weekday slots by default, so it still works, but the slots will not match what customers see online until the hours are set. Quick Schedule is available on the phone from the Leads list, the Contacts list and the Calendar, and inside the lead details popup that opens from the texting inbox and the email inbox. Wherever you see the In Store Now button on a lead, the picker is beside it.
What you should see
After you tap Confirm, the appointment appears on the Calendar tab of the app on that day, with the customer's name and the notes you typed. It also appears on the lead itself, so anyone who opens the customer later sees the appointment in the history. On the desktop CRM, the same appointment shows on the Workspace under the day's appointments and on the shared calendar the desk uses, which is the point: the phone and the desk are looking at one calendar, not two.
If your store's Automated Templates include an appointment confirmation, it goes out to the customer on the same trigger a desktop booking would use. Open the appointment from the Calendar tab and you can Reschedule it, mark it confirmed or arrived, or use Send Text Reminder and Send Email Reminder the day before. If it did not work
Every day shows no open times. The booking hours for the calendar you are booking on are not set, or the days you are tapping are days off in those hours. Set the hours in the Settings popup on the desktop Calendar, then reopen the picker. If you are booking for another user, it is that user's hours that count.
The appointment landed on the wrong calendar. The picker under the times chooses whose appointment it is, and it defaults to whoever is signed in. Open the appointment on the Calendar tab, tap Reschedule if the time is also wrong, and rebook it under the right user; then delete the stray one.
You created a to-do instead of an appointment. The two square buttons look alike. The calendar with a plus is the appointment; the list icon is a to-do, which is a task for you and does not send anything to the customer. To-dos live under Tasks and To-Dos on the mobile Workspace, where you can complete or delete the extra one.
You do not see the two buttons at all. Update the app from the store, then expand the lead row again. The buttons only render in the expanded row, not the collapsed list.
Related tasks
Quick Schedule is the mobile half of the store's scheduling. The desk half is the shared team calendar, where round robin assignment and team availability are set, and the booking links customers use to book themselves. If reps carry a personal calendar, Google Calendar sync puts the appointment there too. Tips from the floor
Book while the customer is still on the phone or standing in front of you. The picker shows a real slot list, so you can read two or three times out loud and let them choose, and the appointment is saved before the conversation ends. Put the vehicle and the trade in Notes every time; the person who greets the customer on Saturday is often not the person who booked on Thursday. And if you are a BDC agent, get in the habit of checking the user picker before you confirm, because a salesperson who never sees the appointment on their own calendar treats it as if it never happened.
Frequently Asked Questions
Does Quick Schedule use the same slots as my booking link?
Yes. The open times in the picker are drawn from the same booking hours and the same existing appointments as your public booking link, so a slot a customer could not book online does not show in the app either.
Can I book the appointment for another salesperson?
Yes. The picker under the times lets you choose the user the appointment is with. It defaults to you, so change it before you confirm when you are booking on someone else's behalf.
Does the customer get a confirmation?
If the store's Automated Templates include an appointment confirmation, it goes out the same way it would for an appointment booked on the desktop. You can also send a text or email reminder from the appointment on the Calendar tab.
What is the second square button next to the picker?
It adds a to-do for you on that lead, such as a reminder to call back. A to-do is a task on your Workspace; it is not an appointment and nothing is sent to the customer.
