How to Run a Title, Stolen or Warranty Check on a Deal

The vehicle gets checked where the deal gets penciled. Open the worksheet, put the unit on it by VIN or stock number, and every check reads that one VIN.

Open the deal's worksheet in SecureWebX, put the vehicle on it by VIN or stock number, and load its specifications for factory warranties and open recalls. Confirm the build from the window sticker, then run the title and stolen vehicle checks from the same deal vehicle area. Each result is saved on the worksheet and goes to the lender with the deal.

Step by Step

  1. Have vehicle checks set up for your store

    Title, stolen vehicle, sales history, auction and warranty checks are set up per dealership. Ask our team for the checks your store wants and we put them in production for your dealership, together with the VIN decode and the book-out, so every worksheet carries the full set.

  2. Open the deal's worksheet

    Open Worksheets in the SecureWebX console, or click the SecureWebX button on the CRM dock to get there under the same login. Type into Search Worksheet ID, vehicle, VIN, stock #, name… to find the deal, then open it. A deal pushed from CRM desking arrives here with the vehicle already on it.

  3. Put the deal vehicle on the worksheet

    Enter the 17 character VIN in the VIN field and click its lookup button, or type the stock number and use Look up the vehicle by stock number to pull the unit from your own inventory. The card at the top shows the photo and Vehicle (year / make / model / trim). If the wrong unit landed, use Remove vehicle and add the right one.

  4. Load the specifications for the VIN

    In the specifications section, the read only field marked Specifications load for the deal vehicle's VIN already holds the deal VIN. Click Load specifications. The decode fills in the trim, original MSRP, packages, safety ratings, open recalls and, whenever the manufacturer data includes them, the factory warranties.

  5. Confirm the build from the window sticker

    The VIN gives you the standard trim. Open the confirmed build section, pick the actual transmission, tick the factory packages the unit carries, note any dealer added equipment, and save. The lender later sees this as the Confirmed vehicle build, with who confirmed it and when.

  6. Run the title and stolen vehicle checks

    From the same deal vehicle area, run the title check and the stolen vehicle check against the deal VIN, and the sales history, auction or warranty check when the deal calls for it. Each one posts a one line summary with a clear or alert marker, saved with the time and your name.

  7. Send the checked file to the lender

    Attach the worksheet to the credit application and send it with Send to Lender. The lender's view shows Vehicle history & checks with every result, next to the Vehicle book-out and the proposed deal structure.

Before you start

You need a SecureWebX sign in with permission to edit worksheets, and a worksheet for the deal. If the sales desk structured the deal in the CRM, it is already there: the push from CRM desking creates the worksheet with the vehicle on it. Otherwise create a worksheet in SecureWebX and add the unit yourself.

Have the VIN or the stock number to hand, and the window sticker if you intend to confirm the build. Vehicle checks are set up per dealership, so if your store is new to them, ask our team first and we put the checks your store wants in production for your dealership. What you should see

After the specifications load, the section shows a Loaded badge, the vehicle name, the time the decode ran and the user who ran it, with the full factory detail beneath: overview, original pricing, performance, dimensions, fuel economy, factory colors, safety ratings, recalls, features, packages, warranties, the maintenance schedule and repair cost estimates. Open recalls are shown prominently with the remedy.

Each vehicle check adds a line to the worksheet with its summary and its marker. A clear marker means the check found nothing to act on, such as no salvage or brand records on the title. An alert marker means the result deserves a read before the deal goes further. Run the same check on the same VIN again and the worksheet reuses the saved result and keeps the date it was first run, so the file always shows when the store actually checked.

How to read a VIN title check, a stolen vehicle check and a VIN warranty check

The title check reads the title history for salvage and brand records. A branded title changes what a lender will advance on the unit, so read it before you set the amount financed. The stolen vehicle check reads reported theft records for the VIN; a clear result is the one every store wants in the file before a car leaves the lot. The warranty check reports factory coverage for the year, make and model, and the decode's Warranties section adds whatever the manufacturer data carries for this exact VIN.

The sales history and auction checks round out the picture: prior listings and sales, and auction lane records. Together with the book value from the same panel, they give the finance manager the whole vehicle side of the deal in one pass.

Quick checks

Put the vehicle on first. Specifications and checks read the deal VIN, so add the unit by VIN or stock number before you load anything.

Use the full VIN. Seventeen characters, no spaces. The stock lookup is the fastest route when the unit is in your own inventory.

Check your role. Running checks needs permission to edit worksheets. Your SecureWebX admin sets that under users and roles.
