How to Push a Desked Deal to SecureWebX

The sales desk pencils it once. One click sends the structure and the vehicle to the finance office as a SecureWebX worksheet, with a confirmation number anyone can read over the phone.

Desk the deal in the LeadLocate CRM, then click Push to SWX in the save bar at the bottom of the deal. The structure and the vehicle land in SecureWebX as a new worksheet, and the CRM shows a confirmation number, the Worksheet ID. The finance manager finds it by that ID and attaches it to the customer's credit application.

Step by Step

  1. Desk the deal in the CRM

    Open the deal and build the structure in the desking worksheet: cash, finance or lease, the vehicle, the trade and the numbers you want finance to work. The desk autosaves as you go, and the push sends exactly what is on your screen.

  2. Click Push to SWX

    In the save bar at the bottom of the deal, click Push to SWX, right beside the save button. The button appears on every deal once your store is connected to SecureWebX.

  3. Note the confirmation number

    A Sent to SecureWebX window confirms the deal is now a worksheet in your store's SecureWebX and shows the confirmation number, which is the Worksheet ID, with a link to open the worksheet. The ID leaves out the letters I and O, so it reads cleanly over the phone to your finance manager.

  4. Find the push in the SecureWebX History Log

    Every push is listed on the deal in the SecureWebX History Log, newest first, with who pushed it, the date and time, and the Worksheet ID. Anyone with a SecureWebX login clicks the ID to open the worksheet; everyone else can still read it.

  5. Open the worksheet in SecureWebX

    The finance manager opens Worksheets in the SecureWebX console and types the ID into Search Worksheet ID, vehicle, VIN, stock #, name…. The worksheet name carries the vehicle and a push number, so a reworked deal is easy to tell from the first one.

  6. Attach it to the credit application

    On the customer's application, go to the Deal worksheets panel, pick the structure from Choose a deal structure… and click Attach to this deal. The numbers freeze on the application, and Deal recap opens the recap PDF.

  7. Send it to the lender

    When you send the application with Send to Lender, choose the worksheet under Deal worksheet (optional: the structure the lender sees). The lender's view shows it as the Proposed deal structure, with Open lender deal recap (PDF) beside it.

Before you start

You need a desked deal in the LeadLocate CRM and a store connected to SecureWebX. SecureWebX is created with your LeadLocate account and your users sync across from the CRM, so for most stores the connection is already in place and the Push to SWX button is already on every deal. The finance manager who picks the worksheet up needs a SecureWebX sign in; the salesperson who pushes it only needs the CRM.

If you are new to desking in the CRM, start with how to desk a deal. The worksheet in SecureWebX runs the same cash, finance and lease math as EZ Desking worksheets in the CRM, which is why the structure arrives intact rather than rebuilt.

What you should see

After the push, the confirmation window shows the Worksheet ID and a link to open it, and a new row appears at the top of the SecureWebX History Log on the deal. In SecureWebX, the Worksheets list has a new worksheet named for the vehicle, with the selling price, the payment, the down payment and the term already filled in.

The push carries the deal structure and the vehicle, and nothing else. The customer's name and address stay in the CRM, and so do the store's cost, pack, holdback, reserve and commission splits. The worksheet is a clean structure for the finance office to map to the credit application, and anything a lender eventually sees comes from that structure alone.

Reworking a deal and pushing it again

Every push creates a new worksheet. It never overwrites the last one, which is exactly what a finance office wants when a bank asks for more down or a shorter term: the sales manager reworks the numbers and pushes again, and both structures sit side by side in SecureWebX. Before any push after the first, the CRM asks Send another worksheet? so a second structure is always a deliberate choice.

The worksheet name ends in the push number for that deal, so the finance manager picking a structure to attach sees which one is the latest. Tell him which Worksheet ID to use, and the history log on the deal keeps the full list of what was sent, by whom and when.

Quick checks

Look for the button in the save bar. Push to SWX sits at the bottom of the deal beside the save button, on stores connected to SecureWebX. Ask our team to connect your store and it is set up for you.

Open the worksheet from the log. Anyone with a SecureWebX login for your store clicks the Worksheet ID in the history log and lands on the worksheet, straight after signing in if the session has ended.

Point finance to the ID. Search Worksheets by the Worksheet ID from the confirmation window rather than by name.

Numbers look different in SecureWebX? Check that the push was made after the last change to the deal, then push again to send the current structure.

How do sales and finance use Push to SWX every day?

The push turns the handoff between the desk and the finance office into one click and one number. Here is how a deal moves through a store that uses it on every sale.

At the desk. The salesperson or the sales manager builds the structure in the CRM while the customer is at the table, clicks Push to SWX and reads the Worksheet ID to finance. Nobody retypes a price, a trade figure or a term, so the numbers the customer agreed to are the numbers finance works.

In the finance office. The finance manager searches the ID, attaches the worksheet to the customer's credit application and opens the deal recap PDF. The worksheet runs the same cash, finance and lease math as the CRM, so the structure is ready to go out as soon as the application is complete. Stipulations and supporting documents are collected on the same application.

With the lender. Send to Lender shares the application securely with the lender the store chooses, with the proposed deal structure beside it, and the lender's response comes back to the same application. When a lender asks for more down or a shorter term, the sales manager reworks the deal in the CRM and pushes again, and the new worksheet sits beside the first.

At the end of the day. The SecureWebX History Log on each deal shows every structure that went to finance, who sent it and when. A manager reviewing the day's deals sees the full path from the desk to the lender in one place.
