Title, Stolen Vehicle and Warranty Checks in the Deal Worksheet

Know exactly what the store is financing before the lender asks. Title, theft, auction and warranty questions get answered on the worksheet, right next to the numbers they change.

SecureWebX puts the vehicle checks inside the deal worksheet. Enter the VIN once and the worksheet decodes it, lists factory warranties and open recalls, records the manager confirmed build and runs title, stolen vehicle, sales history, auction and warranty checks, set up for your dealership by our team. Each result is saved with the time and the user, and the lender sees it with the deal.

What are the vehicle checks in the deal worksheet?

Every deal in SecureWebX is built on a worksheet, and every worksheet has a deal vehicle. The vehicle checks are the tools that sit on that vehicle: a VIN decode that loads the full factory specifications, a stock number lookup against the store's own inventory, a build the manager confirms from the window sticker, a Kelley Blue Book QuickValues book-out, and the title, stolen vehicle, sales history, auction and warranty checks. Each one reads the deal VIN from inside the worksheet, and each result is saved on the worksheet with the time it ran and the name of the user who ran it.

The point is the order in which people learn things. A finance manager should know what the store is financing before the lender asks: whether the title carries a salvage brand, whether the unit has been reported stolen, whether it crossed an auction lane, what factory coverage it still carries and which recalls are open. With the checks in the worksheet, that knowledge sits beside the numbers it affects, and it travels with the structure when the application goes to a lender.

The category page on VIN decoder software for dealers covers what a store should expect from decoding in general. This page is the working tool inside the SecureWebX worksheet, where the decode is only the first step.

How does a finance office use the checks on a normal day?

A salesperson and a sales manager desk a used SUV in the CRM on a Saturday morning. The manager clicks Push to SWX, and the structure lands in SecureWebX as its own worksheet with the vehicle already on it. The finance manager finds it in the Worksheets list by the Worksheet ID the sales manager read to him, and the first thing he works is the vehicle, before he touches the payment.

He loads the specifications for the deal VIN. The decode fills in the trim, the original MSRP, the engine and drivetrain, the factory packages, the safety ratings, any open recalls with the remedy, and the factory warranties. The VIN gives him the standard trim and the window sticker gives him the rest, so he confirms the actual transmission and the installed packages, adds the aftermarket wheels the store put on, and saves the confirmed build. He runs the book-out against that confirmed equipment. Then the title and stolen vehicle checks: a clear marker on each, saved with the time and his name.

By the time the customer signs the credit application, the unit is documented. When the finance manager attaches the worksheet to the application and sends it to a lender, the lender's view shows the proposed deal structure, the confirmed vehicle build, the book-out and a vehicle history and checks panel with each result. The lender reads a file that answers its first questions before it asks them, which is exactly the file a lender wants to see from a store.

Where do the checks live in SecureWebX and the CRM?

The checks live in the deal vehicle area of every worksheet in the SecureWebX console. Open Worksheets, find the deal with the search box, which takes a Worksheet ID, a vehicle, a VIN, a stock number or a worksheet name, and open it. The vehicle card at the top carries the photo, the vehicle name and a build badge once the manager has confirmed one. Beneath it sit the VIN and stock number fields, each with its own lookup button, and the mileage. The side rail holds the book-out, the specifications, the confirmed build and the check results, so the vehicle side of the deal reads top to bottom in one place.

From the CRM, the way in is the SecureWebX button on the dock, which opens the console under the same login. A deal desked in EZ Desking worksheets reaches SecureWebX by push, so the vehicle and the numbers arrive without anyone retyping a VIN. Once a worksheet is attached to a credit application, it appears in the application's Deal worksheets panel with a link back to the worksheet and a deal recap PDF, and the check results go wherever the application goes.

Can I run a VIN title check or a stolen vehicle check on a deal?

Yes, and from the same screen as the pencil. The VIN title check reads the vehicle's title history for salvage and brand records and reports a clear result when none are on file. The stolen vehicle check reads reported theft records for the VIN. The sales history check lists prior listings and sales, and the auction check lists auction lane records. Each check posts a one line summary and a marker, clear or alert, on the worksheet, so the finance manager sees the verdict at a glance and opens the detail when the marker calls for it.

These checks are set up per dealership. Ask for the title, stolen vehicle, sales history, auction and warranty checks and our team puts them in production for your dealership, in the same worksheet as the VIN decode, the stock lookup, the confirmed build and the book-out. The step by step guide to running a vehicle check walks through every click, from finding the worksheet to reading the result the lender will see.

What does a VIN warranty check show?

Two tools answer the warranty question. The VIN decode carries the factory warranties for the vehicle whenever the manufacturer data includes them, listed in their own section of the specifications along with the OEM maintenance schedule and repair cost estimates. The warranty check adds the factory coverage for the year, make and model as its own saved result on the worksheet. Between them, the finance manager knows what coverage the unit still has before the customer asks about it at the desk.

Open recalls sit in the same decode, shown prominently in the specifications with the component, the summary, the consequence and the remedy. A unit with an open recall is a conversation the store wants to have with the customer at the desk, on its own terms, with the remedy in hand. The confirmed build section beside it records who confirmed the equipment and when, so the vehicle the lender reads about is the vehicle on the lot.

What do the checks replace?

Without checks in the worksheet, a finance office works the vehicle in browser tabs. Someone copies the VIN into a title lookup site, then a second site for theft records, then a third for the book, prints each result and staples the pages into the deal jacket. The results live on paper, the times they were run live nowhere, and the lender gets whichever pages made it into the fax. When the structure changes, nobody reruns anything, because the printouts look finished.

In SecureWebX the VIN is entered once, on the worksheet, and every check reads that VIN. The results are saved on the worksheet, a repeat check on the same VIN reuses the saved result and keeps the date it was actually run, and the lender's view reads the same results the finance manager saw. One place to look, one record to keep, one file to send. For the valuation side of the same panel, the book value guide walks through the book-out, and VIN decode and the vehicle database covers how decoding works across the rest of the platform.

The compliance angle: a dated record of what the store knew

A deal file is the store's memory of what it knew and when. Every check saved on the worksheet carries the time it ran and the user who ran it, and every run is written to the SecureWebX audit log, so the store can show that it checked the title and theft records on a unit before it financed it. That record sits inside the same credit application security the rest of SecureWebX is built on: two factor authentication on every sign in, encryption at rest for application data, and a full audit log.

The same record strengthens the lender relationship. When a worksheet is attached to a credit application, its numbers freeze on the application, and the lender's view notes that the vehicle data was provided by the dealership's data service for the deal VIN on the dates the checks were run. A lender reading the file sees exactly what the store saw, with the dates attached. That is the kind of file that builds trust with a buyer one deal at a time.

How do I turn the checks on, and what should I pair them with?

SecureWebX is created with your LeadLocate account, your users sync across from the CRM, and the console opens from the SecureWebX button on the CRM dock. Tell us which vehicle checks your store wants on its worksheets, the title, stolen vehicle, sales history, auction and warranty checks alongside the VIN decode and the book-out, and our team puts them in production for your dealership. From then on, any user with permission to edit worksheets runs them from the deal vehicle area.

Pair the checks with three features. Worksheets attached to credit applications carry the checked vehicle into the application. Send to Lender delivers the file, results included, in a code gated, expiring, watermarked share. And the push from CRM desking gets the desk's structure and vehicle into SecureWebX in one click. Plans are month to month and listed on the pricing page, and the all features list shows where the checks sit among everything else in the platform.

Frequently Asked Questions

What vehicle checks run inside a SecureWebX worksheet?

The worksheet decodes the VIN into full factory specifications with warranties and open recalls, looks a unit up by stock number against your inventory, records the manager confirmed build and runs a Kelley Blue Book QuickValues book-out. Title, stolen vehicle, sales history, auction and warranty checks are set up per dealership, and our team puts them in production for yours.

Can I run a stolen vehicle check on the deal VIN?

Yes. The stolen vehicle check reads reported theft records for the deal VIN from inside the worksheet and posts a clear or alert marker with a one line summary, saved with the time and the user who ran it.

Does the lender see the check results?

Yes. When the worksheet is attached to the application and sent with Send to Lender, the lender's view shows a vehicle history and checks panel with each result, next to the proposed deal structure, the confirmed vehicle build and the book-out.

How does a VIN warranty check work in SecureWebX?

The VIN decode lists the factory warranties whenever the manufacturer data carries them, along with the maintenance schedule and repair cost estimates. The warranty check adds the factory coverage for the year, make and model as its own saved result on the worksheet.

Do I retype the VIN for every check?

No. The VIN is entered once on the worksheet, or arrives with a deal pushed from CRM desking, and every check reads that VIN. A repeat check on the same VIN reuses the saved result and keeps the date it was actually run.

How do I get the checks turned on?

Ask our team which checks your store wants on its worksheets. We put them in production for your dealership, and from then on any user with permission to edit worksheets runs them from the deal vehicle area.
