How to Run a Book Value in SecureWebX
The book figure belongs on the pencil, next to the numbers it governs. Here is how to book a unit out inside the worksheet and keep the report on the deal.
Step by Step
Open the worksheet on the deal
In the SecureWebX console, open the application and then the worksheet attached to it, or create the worksheet if the deal does not have one yet. Book values belong to the pencil, because the number you are about to pull is the number your advance and your trade allowance lean on.
Put the right vehicle on the worksheet
Decode the VIN into year, make and model, or look the unit up by stock number against your own inventory so the price, mileage and equipment come from your records. For a trade, enter the VIN and the mileage the customer's unit actually shows, not the mileage from the appraisal three weeks ago.
Confirm the build and the options
Have a manager confirm the factory build, the packages, the options and any dealer added equipment from the window sticker, and mark it confirmed. Equipment moves a book figure, so a unit booked as a base model when it is not is a conversation with the lender you did not need to have.
Open the book-out
Use Vehicle book-out on the worksheet. The book-out sits in the same panel as the title, stolen, sales history, auction history and warranty checks, so the whole vehicle side of the deal is documented in one pass.
Run the values
Run Kelley Blue Book QuickValues for the unit and read the Kelley Blue Book values that come back. Pick the figure that matches the job in front of you: the trade figure when you are appraising, the retail book when you are testing what a lender will advance.
Put the figure to work in the pencil
With the book on the worksheet, your loan to value line reads against a real figure instead of a number somebody remembered from last month. Your store's Max LTV vs retail book (%) guideline for each lender is kept in the console, so the desk structures to the program before the file leaves.
Keep the report with the deal
Open the Kelley Blue Book Report and keep it on the record. When the file is shared with a lender, the book-out shows in the deal recap alongside the structure and the checks, which is one fewer question on the callback.
Before you start
You need a SecureWebX login with a role that works deals, and a worksheet on the deal you are pricing. The console opens from the SecureWebX button in the LeadLocate CRM dock with one login, and SecureWebX is created with your LeadLocate account, so the book-out is in the worksheet from your first pencil.
Have the vehicle facts in front of you: the VIN, the true mileage, and the window sticker or the confirmed build for the equipment. A book value is only as good as the unit it describes, which is why the deal vehicle section comes first on this page and in the worksheet. What you should see
The values for that unit, in the worksheet, next to the structure they govern. No second tab, no copying a figure across a desk, no screenshot in a group text. The report is kept with the deal, so a manager or a lender reading the file later sees the same book the desk read when the number was quoted.
The vehicle panel around it carries the rest: the decoded VIN or the stock lookup, the manager confirmed build and options, and the title, stolen, sales history, auction history and warranty checks. A finance manager who learns about a branded title before the lender does is running the deal, not reacting to it.

Trade or retail, which figure to use
Use the trade figure when you are deciding what to put in a customer's unit. Use the retail book when you are testing the deal against a lender's advance rules, because that is the number their program is written against. The store's guideline for each lender, including Max LTV vs retail book (%), is kept in the console so the desk is not guessing at the ceiling.
Either way, book the unit as it sits. Mileage and equipment move the number, a confirmed build settles the equipment argument before it starts, and a unit booked the way it sits is a unit that funds without a second look. If it did not work
The values look wrong for the unit. Check the vehicle first, not the book. A missing package, the wrong trim from a partial decode or last month's mileage will each move the figure. Confirm the build from the window sticker and run it again.
The VIN will not decode. Look the unit up by stock number against your inventory instead, or enter the year, make and model and confirm the build by hand. The VIN decode and vehicle database page covers what the decode returns.
The lender is working from a different number. Send them yours. When the file is shared, the book-out travels in the deal recap with the structure and the checks, so the conversation starts from one document instead of two. Send to Lender covers the share.
You need the book on a unit that is not on the deal yet. Build a worksheet with the vehicle on it anyway. A wish list structure holds the numbers for a unit that has not landed, and the book-out runs against it the same way.
