How to Attach a Worksheet to an Application in SecureWebX

The structure you quoted and the application the customer signed belong on one record. Here is how to put your pencil on the deal and decide who sees it.

Open the credit application in the SecureWebX console and use Attach a worksheet. Find an existing pencil with Search Worksheet ID, vehicle, VIN, stock #, name… or start a fresh one with Create New Worksheet, then click Attach to this deal. The structure now travels with the application, and you choose whether a lender sees it. See credit application worksheets.

Step by Step

  1. Open the application

    In the SecureWebX console, find the deal in the inbox and click Open application. The worksheet belongs to this record, so start from the customer's file rather than from a list of loose pencils.

  2. Open the worksheet panel

    On the application, use Attach a worksheet. The panel shows anything already attached to this deal and gives you the two ways forward: pick a worksheet you already built, or build one now.

  3. Find the pencil you already built

    Use Search Worksheet ID, vehicle, VIN, stock #, name… to pull up the structure the desk worked earlier. Searching by stock number or VIN is usually fastest, and the worksheet ID is what a manager will quote you across the desk.

  4. Or create one from the application

    No pencil yet, click Create New Worksheet and build it from here. Your store's defaults fill the new sheet so tax, fees and the term grid start where your desk starts, and the vehicle can be decoded from a VIN or looked up by stock number against your inventory.

  5. Attach it to the deal

    Click Attach to this deal. The worksheet now shows on the application, and the application shows on the worksheet, so a manager landing on either one sees both. An application can also stand alone: choose No worksheet (documents only) when the desk is running the numbers in the CRM and the file only needs to move.

  6. Name it so the file reads

    Open it with Open this worksheet and give it a Worksheet name that says what it is: the unit, or the structure, or the lender it was built for. Three unnamed pencils on one customer is how the wrong number gets quoted at delivery.

  7. Decide what the lender sees

    When you send the file out, Deal worksheet (optional: the structure the lender sees) controls whether your structure travels with it. Attached and shared, the lender opens a deal recap laid out the way a buyer reads it. Attached and not shared, the worksheet stays inside your store.

  8. Swap it when the deal changes

    Customers change direction, and the record should follow. Duplicate the worksheet to try a different term or a different unit, attach the new one, and detach the structure that no longer describes the deal. The history stays on the file.

Before you start

You need a SecureWebX login with a role that works deals, and an application in the credit application inbox. The console opens from the SecureWebX button in the LeadLocate CRM dock with one login, and SecureWebX is created with your LeadLocate account.

It is worth setting your worksheet defaults once before the first deal, so every new pencil starts with your store's tax treatment, fees, term grid and disclaimer instead of a blank sheet. And know where your numbers come from: worksheets here run at parity with the LeadLocate CRM desking engine described on the desking tool page, so a payment quoted on the floor and a payment attached to the application agree to the dollar.

What you should see

The worksheet listed on the application, with the vehicle, the structure and its worksheet ID, and the application listed on the worksheet. Opening either one gets you to the other. A deal with no structure attached shows that plainly too, which is exactly right for a file the desk has not priced yet.

When you share the file, the lender's copy of the structure is the deal recap PDF: the vehicle with its confirmed build and options, the term, the numbers and the checks your store ran on the unit. Cash, finance or lease, and where the numbers come from

A worksheet is built as a cash, finance or lease pencil, and it carries the deal vehicle with it. Decode a VIN into year, make and model, or look the unit up by stock number against your own inventory so price, mileage and equipment come from the record you already maintain. A manager confirms the build, the factory packages, the options and the dealer added equipment from the window sticker, and marks it confirmed, so the structure prices the car on your lot rather than a guess at one.

From there the checks and the book-out live in the same panel: title, stolen, sales history, auction history and warranty on the unit, and Kelley Blue Book QuickValues for the book figure. That is why a lender reading the recap can answer faster; the vehicle side of the deal is already documented when the file arrives.

If it did not work

The worksheet is not in the search. Search by stock number or VIN rather than by name, since a pencil built in a hurry often has no name yet. If it was built on another customer, create a new one on this application instead of attaching the wrong deal's numbers.

You attached the wrong one. Detach it and attach the right one. The application records both, so the file shows the structure you actually sent, not just the last one standing.

The lender got the application without the numbers. The share was sent with documents only. Send a fresh share with the worksheet included, or attach the worksheet first and then share.

Every new worksheet starts wrong. Your defaults need a pass. Set the tax treatment, fees, term grid and disclaimer once at the store level and every new pencil starts there, which saves a correction on every deal after it.

Frequently Asked Questions

Can one application carry more than one worksheet?

Yes. Duplicate a pencil to try another term or another unit and attach the one that describes the deal. Detach the structures that no longer apply, and the history stays on the file.

Does the lender always see the worksheet?

Only when you send it. The share panel asks whether the deal worksheet travels with the application, so you can send the structure to one lender and the documents alone to another.

Can an application move without a worksheet?

Yes. Choose documents only. Stores that desk in the CRM often work that way, with the application carrying the customer's file and the numbers living where the desk already keeps them.

Do the numbers match what we quoted on the floor?

They do. Worksheets in SecureWebX run at parity with the LeadLocate CRM desking engine, so the payment on the showroom pencil and the payment attached to the application agree to the dollar.
