How to Email a Lender From the SecureWebX Mailbox
Lender email belongs with the deal, not in somebody's personal inbox. The SecureWebX Mailbox sends from the store, keeps the thread, and holds every reply and attachment where the whole finance office can find it.
Step by Step
Open SecureWebX from the CRM
In LeadLocate CRM, click the SecureWebX button on the dock at the bottom of the screen. The console opens with the login you already use, so there is no second password between you and the lender.
Open the Mailbox
Click Mailbox in the console menu. This is secure email with your partners and lenders: every conversation the store has had, with the correspondent, the subject and the date on each row, newest first.
Start a new message
Click New message. The top of the compose page shows the address the email is sending from, so you can see at a glance that the lender receives it from the store and never from a salesperson's personal account.
Choose the lender
Under Pick a partner, start typing in Search partners by name or email…. Lenders from your Partner List appear as you type; pick one and the To field fills with the right address. A lender you have never worked with can be typed straight into To.
Write the subject and the message
Give the Subject something the lender can file, such as an application reference and what the email is about. Then write the Message: what you are sending, what you need back, and by when. Short and specific gets a faster answer from a busy buyer.
Attach the stips
Click Attach files and add the proof of income, proof of residence, insurance card or whatever the lender asked for. Every file is scanned for viruses automatically on upload, which protects both sides of the conversation.
Send it and watch the thread
Click Send message. The conversation sits at the top of the Mailbox, and when the lender answers, the reply lands on the same thread with any attachments they sent back.
What do you need before you start?
You need a SecureWebX sign in, which is set up from your LeadLocate CRM users, and the lender's email address. The console opens from the SecureWebX button on the LeadLocate CRM dock with single sign on, and SecureWebX is also on iOS and Android for the finance manager who is away from the desk.
It helps to have the lender on your Partner List first. A lender on the list comes up by name as you type, carries its contact details, and keeps every thread the store has had with it in one place. From the Partner List you can also click Email partner on any row that has an address, which opens a new message with the lender already in the To field.
Have the documents ready as files. A clear PDF or a sharp photo of each stip saves the lender a second request, and a second request is a day lost on a deal a customer wants to drive home tonight.
When should you email a lender, and when should you use Send to Lender?
Use the Mailbox for the conversation around a deal: a question on a program, a stip the buyer asked for, a note that the customer brought more down, a funding follow up, or an introduction to a lender you want to start working with. It is ordinary business email, sent from the store and kept with the store.
Use Send to Lender on the application for the credit application itself. That share is code gated, expiring, revocable and watermarked, the lender answers in its own response portal, and the application record keeps who received it. How do you send stips to a lender by email?
Attach them to a Mailbox message with Attach files, as in the steps above. Name the application reference in the subject so the buyer can match the documents to the file without calling you.
When the stip was recorded on the application, fulfil it there as well. Open the application and use Upload for this lender, so the document lands on the application and the stipulation shows as met for everyone working the deal. What should you see after you send?
The Mailbox list shows the conversation with the lender as the correspondent, your subject and the time. Open it and you see the full thread: your message, your attachments, and each reply as it arrives. Replies come back to the store's Mailbox rather than to one person, so the desk manager can pick up a thread the finance manager started this morning.
Everything in the thread sits behind the same two factor sign in and full audit log that protect the applications, so the record of what you sent a lender, and when, is part of the store's SecureWebX file. Use Back to mailbox to return to the list at any time.
Quick checks
Pick from the list rather than typing. A lender picked under Pick a partner fills the exact address on file, which keeps a typo from sending stips to a stranger.
Read the sending address at the top of New message. It confirms the email leaves from the store's mailbox before you click send.
Add a new lender to the Partner List once. After that it comes up by name in every message, in Send to Lender and in the rest of the console.
Writing to the customer instead? Open the application and use Email this customer from your Mailbox, so the customer conversation sits on the same record as the lender's.
Keep the reference in the subject. A consistent subject keeps the lender's reply on the right thread and makes the Mailbox searchable a month from now.
