How to Send a Fax in SecureWebX

Lenders, insurance desks and compliance departments still ask for a fax. SecureWebX gives the store its own fax numbers and sends the document from the application it belongs to, with no machine and no second login.

1. Open the fax area of the console

   Sign in to SecureWebX and open the fax settings for your store. The panel at the top is Assigned fax numbers. If it reads No fax numbers yet, nobody has set a line up for this store and step two is where you start.

2. Assign the store a fax number

   Click Assign fax number. Give the line a name a teammate will recognize; the field shows the hint e.g. Main fax line, F&I fax, and those are good names. A store with a busy finance office usually keeps the F and I line separate from the one the front desk hands out.

3. Enter the number in full international form

   Type the line into Fax number (E.164) *. That format is the plus sign, the country code, then the number, with no spaces, brackets or dashes. A number typed the way you would read it out loud is the single most common reason a new line will not save.

4. Switch on outbound faxing

   Turn on Outbound (send faxes) for that line. A line can take faxes in without sending them out, which is what you want for a published number the public uses, so this switch decides which of your lines the store sends from.

5. Pick the document on the application

   Open the application you are working. Anything already on the record can go out: the credit application itself, a supporting document a customer uploaded, a stipulation, or the deal recap from the worksheet. If the page you need is not on the record yet, upload it there first so the fax and the file stay together.

6. Send it and read the status

   Enter the destination fax number, confirm the document, and send. The fax appears under Recent fax activity with its destination and a status that moves from sending to delivered. A lender who would rather click a link than read a fax gets Send to Lender instead, which is a code gated, expiring share of the same application.

You need a SecureWebX login that can reach the store's settings, the destination fax number, and the document sitting on the application you want to send. Fax numbers are assigned per store and per partner, so a group with four rooftops gives each rooftop its own line and each line its own name.

Have the destination number written the way the field wants it before you open the form: plus sign, country code, then the digits. Everything you send stays attached to the application it came from, which is the point of faxing from SecureWebX rather than from a machine down the hall. Three months later, the record still shows what left the store, when, and to which number.

The fax you just sent listed under Recent fax activity, with the destination number, the document name and a status. Refresh the page and the status advances as the far end answers and accepts the pages. Before your store's first fax, that same panel reads No fax activity yet, which is a fresh store rather than a problem.

Faxes that come in to the store's number land in the same activity list, so a lender's stipulation sheet or an insurance certificate is in the console next to everything else on that deal. The application record keeps the fax alongside the uploaded documents, the stipulations and the worksheet, and the audit log carries who sent it.

The number will not save. It is not in the form the field asks for. Re dial it mentally: plus sign, country code, then every digit with nothing between them. No parentheses around the area code, no dashes.

You cannot send from a line the store owns. That line takes faxes in only. Open it and turn on Outbound (send faxes), then send again.

The lender says the pages were blank or unreadable. A fax renders in black and white at low resolution, so a paystub photographed on a phone in a dark office arrives as a grey square. Send that one as a secure link with Send to Lender, which shows the original file in a watermarked viewer, and keep the fax for clean, typed pages.

The document you want is not on the list. It has not been uploaded to the application yet. Add it as a supporting document first; the fax picker reads from the record, which is what keeps the sent copy and the stored copy identical.

Getting a whole application to a lender or into the store's DMS in the layout it expects is a different job, and lender and DMS export formats covers it: the standard XML layout, fixed width, CSV and JSON, delivered the way the receiving side asks for it.
