How to Restore a Deleted Lead From the Trash Bin
A lead deleted by mistake is one click from coming back. Every deleted record goes to the Trash Bin with who deleted it and when, ready to restore.
Step by Step
Open Account Settings
In the CRM top bar, open Menu controls and choose Account Settings. The Trash Bin sits on this page for every user, whatever their role.
Open the Trash Bin
Scroll to Deleted Records Archive and click Trash Bin Records. The list opens with every deleted record you are allowed to see, newest first, with its Type, the Record name, Deleted By, Deleted At and its Status.
Filter to deleted leads
Set the type filter to Leads and the status filter to Deleted. Narrow the dates with Date From and Date To if you know roughly when it happened, type a name, phone, email, note or ID into the search box, and click Apply.
Check it is the right lead
Click View on the row. The Archive Record panel shows a snapshot of the lead exactly as it was when it was deleted, with a journal of who deleted it and when. Two leads with the same name are easy to tell apart here.
Restore it
Click Restore in the row's actions. A confirmation asks whether to restore the record to its original location. Click Confirm. A notice reads Record restored, and the row's status changes to Restored.
Open the lead
Go back to Leads and search for the customer. The lead is back as the same record, assigned where it was, and any appointments that were deleted with it are back on the calendar.
Before you start
You need a login to LeadLocate CRM. What you see in the Trash Bin follows your role: Managers and Master Administrators see every deleted record in the store, and each User sees their own. If a teammate deleted the lead you are looking for, a manager can restore it in a few seconds.
It helps to know one detail about the customer, such as a name, a phone number or an email, because the search box reads all of them. The Trash Bin keeps far more than leads: contacts, appointments, notes, File Library files, DealTracker deals and documents, Deal Jacket files, identity scanner documents, trade info documents, and SMS and email conversations all land there when deleted and restore the same way.
What you should see
After you confirm, the row's status reads Restored and the lead is live in the inbox again, as the same record rather than a copy, so its details, assignment and appointments are where they were. The journal on the archive record now shows who restored it and when, beside who deleted it, which gives a manager a complete trail for every record that ever left the inbox.
Appointments deleted on their own sit in the same list with the reason picked when they were deleted, such as a duplicate appointment or one made by accident, so the manager sees why each one went and can bring it back just as quickly.

Quick checks
Widen the status filter. Set the status to All Statuses and click Apply. A row marked Restored means someone already brought the lead back, so search the inbox for it. A row marked Purged was permanently cleared by a Master Administrator.
Search by phone. Names get mistyped on the way in; a phone number or email finds the record every time.
Ask a manager. Managers see every deleted record in the store, including the ones other users deleted.
Look for a duplicate first. If the customer came back in as a new lead, restoring the old one and then using merge duplicate leads keeps one clean record with the full history.
Why the Trash Bin makes deleting safe
Deleted leads, appointments and every other record type above go through the Trash Bin first, so a rep cleaning up the inbox at the end of a long Saturday never costs the store a customer. Each record keeps a snapshot and a journal, which means a manager can answer who deleted a lead, when, and what it looked like at that moment. Purging is reserved for the Master Administrator and is recorded in the journal too. Records are always safe, and the store decides when anything leaves for good.
What are the best habits for deleting and restoring leads?
The Trash Bin works best when the whole store follows a few simple habits. A manager who sets them once spends a minute or two a week on deleted records, and the inbox stays clean without a single customer going missing.
- Delete only what should never have been a lead. A test submission, a spam number or a record entered twice belongs in the Trash Bin. A real customer who bought elsewhere or stopped answering gets a lost reason instead, so the reason feeds your reports and the customer stays on file for follow up.
- Merge duplicates rather than deleting them. When the same shopper comes in twice, merging keeps one clean record with the full history, so every call, text and note stays in one place.
- Review the Trash Bin once a week. Filter to Leads and Deleted, set Date From to the start of the week and click Apply. A quick look down the Deleted By column shows who is cleaning up their inbox and which records deserve a second look.
- Restore before you recreate. When a customer calls back about a lead that was deleted, restore the original rather than typing a new one. The details, the assignment and the appointments come back as they were, and the salesperson picks up the conversation where it left off.
- Leave purging to the Master Administrator. Purging clears a record for good and is recorded in the journal, so the store decides when anything leaves for good.
With these habits in place, managers get a tidy inbox and a complete, restorable record of every customer the store has worked.
